Using the ruler on this project can be very helpful. Many find it works to do them in certain increments. Let’s look at how to do it in increments of 5 records. When using the ruler, it works best to use the slider bars to move the image when needed.
To activate the ruler click View and then click Show Ruler to put a check mark in front of it.

Some batches have more than one document to index. Examine the entire image to avoid missing one of the documents. The documents may be stacked vertically or be side by side.
Some images have two pages, one on top of the other. One page is upside down in relation to the other page. Index the correctly oriented page and then rotate the image to index the second page. While the order of indexing is not critical, for consistency it would be helpful to index the correctly oriented page first and then rotate and index the second. For arbitrators- if you get a batch where both pages were indexed by both indexers, no matter in what order, please do not send them back to be re-indexed. If you get a batch where one indexer did it one way and one the other, please record match and move the records rather than sending it back for re-indexing.
Don’t “over think” the residence. Simply type what is on the document with no punctuation or expansion of words. Because of the large number of possibilities for this field there is no look up list. Allow the indexing program to auto capitalize after spaces for all residence information.

Sometimes there is a local residence column and a post office column, if both are listed, index the residence that was recorded in the local residence column. If only the post office column is listed on the image, index the residence from the post office column.
Please Note: Enter the residence information as recorded with no punctuation or expansion. (Enter any ampersands (&) as “and”. The first record in the box above would be entered – Seminary Av Nr Virginia - (Allow the auto capitalize feature to capitalize the first letter after a space.)
If both a local residence column and a post office column are listed, index the residence that was recorded in the local residence column. If no residence is recorded in the local residence column, use the Post Office Address. The residence for the second record above would be San Leandro. The Residence field entry would be San Leandro because there is no entry in the local residence column for the second record, the entry in the Post Office Address column may be used. The local residence column always takes precedence.
If the form does not have a local residence column but has a Place of Residence, Precinct column and a Post Office Address column, index the Place of Residence, Precinct column for the residence.
At times you will have corrections like the one below. There may be a block of corrected names. Add a record for each name and index only the corrected information. This name would be indexed as Given: William Whitside, Surname: Moore
Some registers are split into two separate images. Index the requested fields from both images to create one complete record. When necessary, open the next image to find the missing fields for the document. This image may not be in your batch. If the second image is in the batch and you combine information from both images to complete the batch, mark the second image No Extractable Data.
