ERYHA Travel Team Tryout Policies & Procedures The goal of the tryout process is to ensure accurate and fair assessment of each player and to place each and every player on a team with similar skill level where they will be provided the best opportunity for growth in their hockey ability.
Tryout Policies It is the policy of Elk River Youth Hockey Association to conduct travel team tryouts at the beginning of each hockey season in a manner and to the extent as fairly and with the greatest degree of integrity as possible. During the tryout process the President, VP and Level Directors will keep in mind that tryouts will be conducted considering the best interests of the association first and foremost, the individual team next, and the individual player thereafter. 1)
Only the Level Director(s), Goalie Coordinator, President, Vice President and Secretary, or, if needed, any recusal-prompted replacement board member substitute are allowed in the office while tryout player scoring procedures are taking place. At the time of team selection, head coach may also be present.

If any of the Board members have a player in the level being evaluated, another Board member (without a player at that level) will be asked to take their role in the tryout process. The parent Board member may be present, but will not have input in the process.
3)
No tryout evaluation data will be shared with anyone other than President, VP, LD, Coaches; and may only be shared as required to facilitate proceedings. The data must be locked down with no printed copies generated and may not be distributed electronically, including emails.
4)
Once each tryout session has been completed, the evaluation sheets must be entered into the computer database. Evaluation sheets will be collected from each evaluator before leaving the premises and will be properly disposed of by the Tryout Administrator.
5)
Parents are not allowed around the office area, on any part of the stairs or in the stands during tryouts.
6)
The dryland shooting area will not be open or accessible to players during tryouts.

Coaches will not be shown evaluation data until the scoring is complete for that phase of tryouts and we are at the point of team selection.

Evaluators are not allowed to sit together or talk with each other while they are scoring.

Evaluators are not allowed in the office other than to turn in their score books. Once the score book is turned in they should leave the office immediately.
10) Evaluators must have their books open during the entire session even if they have finished evaluating the players for that session.
11) Evaluators will use a new evaluation sheet for each session. No player names will be listed on the evaluation sheet and scores from previous sessions will not be listed.
12) The Equipment Room will be made available to evaluators to use as a break room between sessions.
13) Level Directors should refrain from having long conversations with parents that have children a player who is trying out at your level tryout out at your level.
14) Level Directors should forward all parents with concerns or complaints to the President or Vice President of ERYHA.
15) Parents must abide by the 24-hour rule before contacting any ERYHA Board member to discuss his/her player’s tryout evaluation.
16) Making a given level team one year does not guarantee playing at the same level in the following year. 17) A player may only try out for one level of play (i.e. a girl must elect to try out for a Boys team or a Girls Team). The only exception to this policy is documented in the Move Up Policy where in the event of a Mite to Squirt Move Up Request where a player is seeking to place in a level above their USA Hockey age determined skating level. 18) A Squirt/U10 team may field a goalie configuration allowing for any number of goaltenders, rotating goalies out to skate in player positions during the season. At PeeWee/U12 and above, all teams will only field a 2 goalie configuration. 19) In the event that the situation arises at the PeeWee/U12 level or above where there are more goaltenders registered to tryout at a level than can be supported by the number of teams declared by the ERYHA (ex. 4 Bantam teams means only 8 goalie Updated 9/22/2017

positions available), ERYHA’s Goaltending Coordinator and appropriate Level Director will work with families of any goaltenders cut from the lowest tryout phase to a) coordinate a skating position to that athlete on the lowest level team or b) ERYHA will work with District 10 and Minnesota Hockey if necessary to help place that athlete within another nearby association for goaltending play during that season. 20) All ERYHA members, athletes and families are all responsible for their own personal decision-making regarding to opt-in/out of playing youth sports such as hockey. The ERYHA board will not entertain requests from any ERYHA member or other to have a player be placed/not placed on a specific travel team. Any exception to this rule must involve a parent or guardian providing the ERYHA board with a written request outlining a serious reason that will need to be approved by the ERYHA board prior to tryouts. A parent/guardian suggesting that his/her player will quit hockey if the ERYHA board does not capitulate does not qualify as a serious reason.
Tryout Procedures Tryout Phases and Pools • • •
Tryouts will be conducted through a series of Phases, with each Phase resulting in at least one team at that level (AA/A/B1/B2). If a team will not be fielded at a given level, that Phase would be removed from the tryout process (e.g. if no A team will be fielded, tryouts would proceed from Phase AA to Phase B1). If no AA team will be fielded, the Phase AA process would be used to determine the A team, with the tryout process then moving on to the next level team that will be fielded.
Tryout Injury Procedures • •

Parent/Guardian of a player unable to tryout must approach the ERYHA Board of Directors with an appeal for a tryout waiver with a written doctor’s excuse, prior to the tryout sessions. An injured/ill player must be expected to return to 100% of his/her playing capabilities by December 1st, based on doctors’ estimation, to be eligible for a spot on any A or B travel team. This date is based on the Minnesota Hockey roster deadlines. Players who cannot be expected to perform at their full playing potential by December 1st can be placed on a C team for the season, provided there are openings. The matter will be discussed between the player’s previous years’ coach and current year’s level director. The final decision regarding an injured player’s placement will be the respective level director’s, President and Vice President
Tryout Absence Procedures •
Any registered player who misses a tryout session will be assigned a zero (0) score for each missed session of that tryout phase.

The only exception to the policy stated above is if the player is missing because of a logistical conflict with participating in the District 10 Tier 1 Boys or Girls select team tournaments. In this case, the Parent/Guardian of a player must approach the ERYHA Board of Directors with an appeal for a tryout session waiver, the player will instead receive a ‘null score’ for the missed session (total score averages will be summed from remaining attended sessions for that tryout phase) instead of a zero (0) score.
Tryout Evaluator Selection • •

ERYHA Level Directors will seek to source a minimum of between 4 to 6 evaluators per onice evaluation session A list of valid evaluator candidates as well as the age levels each evaluator candidate is eligible to evaluate at is managed by the ERYHA board but is not shared with ERYHA membership as evaluators typically prefer to remain generally anonymous before, during and after tryout procedures Any non-parent head coach may be involved in any evaluation session as an evaluator related to the team he/she will be coaching ERYHA will seek out evaluators that have/are: o Knowledgeable about youth hockey o Current and/or former hockey coaches & instructors o Current and/or D10 board members o Current and/or former referees o Former ERYHA players and/or ERHS Alumni An Evaluator does not qualify to evaluate a tryout session if he/she... ... has previously coached any of the kids being evaluated as an ERYHA coach/assistant coach in the past two seasons. ... has previously instructed (hockey clinic, summer AAA team, etc.) any of the kids being evaluated in the past two seasons. ... is related (mother, father, uncle, aunt, in-law, step-relative, cousin, …) to a kid being evaluated. Finally, in the case where there are unplanned evaluator cancellations which threaten the ability for the board to meet the 4 evaluator minimum for a given tryout session, the ERYHA board reserves the right to fill evaluator spots with individuals that the President, VP, and Level Director agree are adequate substitutions.
Tryout Evaluation Session Scoring • •
For every Skill Session evaluation session, the corresponding Level Director is responsible for planning the skill session drills. Drills should be designed to allow evaluators to score both skating, puck handling, stick handling and shooting skills. For each drill, each evaluator will submit two scores for every player on his/her evaluator sheet, each score is defined as follows: o Skating Score: this score is for overall demonstrated skating ability

o Puck Skill Score including Stickhandling, Passing & Shooting: this score is for demonstrated ability to manage the puck in both small and open area play as well to be able to effectively shoot the puck. • Evaluator Scores are recorded by evaluators during the sessions and are transcribed and summarized by the ERYHA Secretary. • Each player score transcription is independently verified by 3 ERYHA board members including President, VP and Level Director to ensure transcription accuracy from paper to digital format.
Equal Team Formation Procedures
In any situation where Elk River will declare more than one team at a given district playing level, the ERYHA Board will make a best-effort attempt to form teams that will equally be able to compete at a playing level based on tryout results and scoring. Equal Team player formation process will proceed as follows: • •

ERYHA will host a player draft involving the two head coaches selected by the ERYHA board Prior to the beginning of the draft, each Head Coach may select a parent assistant coach from anywhere within the player and goalie pools to help coach the team – this assistant coach must have a submitted coaching application with ERYHA to qualify for this selection. The list of available assistant coaches with players at this level will be presented to coaches by the board the day of the draft. This is this the one and only player selection not made using the player draft process. The player draft will start with a coin toss to determine which pool (player or goalie) the teams will select from first. The coin toss winner will select first from the pool of his/her choice and coaches will select from that pool until the player/goalie slots have been filled (2 goalies and equal roster size for players) for all teams. The loser of the coin toss will have the first pick of the second (player/goalie) pool. While selecting players, coaches will select players from the pool using a “snake draft” approach, picking from the 3 top available remaining players/goalies in top-to-bottom order

For the scrimmage sessions, players will be split into teams as equally as possible according to last season’s team level. Depending on the number of skaters, there may be two or more groups. Teams may be adjusted after the first scrimmage session to create more balance or create specific matchups for further evaluation. Session 1 > Scrimmage Players will scrimmage 5-on-5, and/or 4-on-4 and be evaluated by a minimum of 4 evaluators, and up to 6 evaluators. If the AA/A head coach is a non-parent, they may be one of the evaluators. Session 2 > Scrimmage

Squirts/10U Tryout Procedures At the Squirt/10U level, tryouts will consist of an individual skills session along with scrimmages. Evaluator’s scores will be compiled and a weighted overall score will be created based on individual skills and scrimmage play. Skills Phase – This phase will consist of individual skater evaluations. All skaters electing to try out at either the A or B level must take part in this phase. If numbers dictate more than one group is necessary, players will be split as equally as possible into groups according to last year’s team level. Session 1 > Skills Evaluation
- A pre-determined set of drills will be used to evaluate skaters on forward and backward skating, stickhandling and shooting. There will be a minimum of 4 evaluators. If the A head coach is a non- parent, they may be one of the evaluators. Phase A – This phase will consist of all players electing to try out for the A level team. For the scrimmage sessions, players will be split into teams as equally as possible according to their individual skills scores from the Skills Phase. Depending on the number of skaters, there may be two or more groups. Teams may be adjusted after the first scrimmage session to create more balance or create specific matchups for further evaluation. Session 1 > Scrimmage

Goaltending Tryouts (Squirt/U10 and above) • • • • • • •
The first session for goalies will be a skill portion of the tryouts. This portion of the tryouts will be done by an outside goalie evaluator and worth 50% of their total score. Goalies will also be evaluated in all sessions of the first scrimmage Phase of tryouts which will account for the remaining 50% of their total score. All of the scores will be totaled and we will have our goalie ranking completed. The top three goalies will be sent to the AA/A pool. At the end of this Phase the Level Director will give the coach his top goalie. The coach then gets to pick the next goalie for his team. The goalie that is not selected becomes an automatic lock for the next level team and will be done trying out. T his process will be repeated all the way through to the B2 team, with the Level Director giving the coach his top goalie and the coach picking the second goalie from the next two highest scores. The coach will only get two goalies if the numbers support two goalies at each level. If we are short goalies, we will ask some goalies to continue skating through tryouts even after they have been place on a team.
