Dear Mr. Vipul Patel, This is in response to your recent email for sending utilization report of the funds received from Asha Sheffield for our educational sponsorship project. You are aware that we have sent our offer letter to a local school viz. Deulia Balika Vidya Mandir ( Deulia Girls High School) in Feb.2013 by explaining our project concept Project Concept Summary :- Nabarun Seva Niketan carried out a field survey to find out the basic reasons for this drop out. It is found that the most important reason for discontinuation of formal school education at this level is the inability of their guardians to meet genuine requirement of regular expenditure under various heads to carry on their studies. The age group students around 12-13 years of class VIIVIII are at the greatest risk of being dropped out from the school education while the girls in that particular age group are more vulnerable. In order to motivate the students as well as their parents to continue their studies, we intend to enroll the selected students under educational sponsorship. We invited application from the school authority for the educational sponsorship for 10 poor but meritorious students. The school was told to prepare a list of 30 students in the first round and finally select 10 students by organizing two elimination rounds. n The school has sent us a list of 10 selected students accordingly. The list of students is enclosed (Annex —1) Sort listed 10 students appeared for a final interview along with their parents in front of the 3 committee members including the Secretary of Nabarun Seva Niketan. All the selection was satisfactory. nA sponsorship form has been developed and particular of all those 10 selected students were recorded. A file containing scanned copy of all 10 filled up forms is enclosed( Annex-2) Fund Disbursement Amount of fund transferred to NSN Bank Account from Asha SF = Rs. 36,205 Bank deducted (Rs.150 as commission + Rs.36 as postage + Rs.45 as service charge) = Rs 231 Amount of fund deposited to NSN Bank Account after amount of deduction by bank =.Rs- 36,205 - Rs 231 = Rs 35,974 Since this is a foreign donation, it is obligatory to get this project to be audited by an external auditor who will charge around Rs2000. ( say 1974) . As a voluntary organization we will render our free service in this year and will not charge any administrative cost for NSN office expenses, books of accounts, office material, telephone, email- computer exp, monitoring travel exp etc. Hence the total project cost = Rs.(35,974 -1,974)= 34,000 for 10 no. of educational sponsorship. Therefore cost of each sponsorship = 34000/10= Rs 3400/n An A/c payee cheque of Rs 34000/- was handed over to the Headmistress of the school by the VicePresident of Nabarun Seva Niketan. The photograph of this cheque handing over is enclosed. ( Annex3) n The School issued an official money receipt scanned copy of which is also attached. ( Annex-4) n The School has been distributing cash under various heads among the selected students .One photograph of such cash disbursement is enclosed . (Annex-6) n Project Monitoring: - One of the committee members has taken reasonability to monitor this project. He keeps contacts with the children, their parents and collect information regarding timely and regular distribution of sponsorship money among the children. We have seen that the school is very particular about the disbursement of funds. Stipulated school fees are deducted from the sponsorship money. Remaining amount is released to them in every month. It is found that the students spend the sponsorship money for purchasing some reference books, exercise books other basic materials like pen, pencil etc. regularly. The major part of money is spent for taking special coaching on various subjects. This support has given them an impetus to improve in studies. Everyone is happy with this project. Hope this report along with all the supporting documents will serve the purpose. Kindly download the attached files .
