Meeting Minutes March 4, 2015

Attendees: Vicki Robusto, Julie Cregin, Aimee Duprey, Danielle Moretti, Todd Marconi!!!!!! I. Previous Minutes Approved II. Treasurer’s Report $8,090.16 ending Balance HUDL was renewed. We received Buffalo Bills donation $1000, Donation from Teale ($500 to sponsor “Stay Golden” Scholarship & $500 Program Sponsor), and $200 from Duprey Construction for Program. III. Old Business: A. Coaches Clinic-March 7 1. Registration: Aimee, Vicki & Kathy to arrive by 7:15 to set up & take care of registration. Aimee to bring Lap top & keep all info on a spreadsheet to give to Dave when complete. Walk in cost is $40.00, except for coaches noted by Dave that contacted him to say they would be there. Discount registration will be given to City of Rochester Coaches ($25). Aimee & Vicki will handle registration & try to get emails & note who the head coach is. Dave will be picking up the donuts & coffee from Dunkin on 250 that Todd so graciously donated!!! Next year we need to make sure we bring napkins! Kathy will sell meal deals in the morning. Vicki has pre-printed tickets so we know how much to sell. If we need to, we can order more pizza at Cams (315-524-2300). 2. Lunch & Clean Up: Julie & Danielle will arrive by 11:00 am to handle lunch & clean up. Subs, chips, cookies & drinks Julie will pick up before event. Cam’s will be delivering pizza at $14/sheet. Aimee will leave tip for pizza guy. 3. Looking ahead: Next year, we will sell the clinic as a package. $35 preregistration & $45 day of. This will include cost of registration, coffee & donuts,

& a pizza lunch meal. This should reduce the amount of prep work & work day of. B. Club/Officers Roles & Responsibilities -continue outlining for each position/everyone generates a list -to be continued next meeting -OFFICERS: continue to get these lists ready

IV. New Business A. Chicken Barbeque:  May 19th, 3pm-7pm Bad to the Bone… Monica says she is committed. Vicki will try to get contract signed & put down payment on as soon as possible. Same as last year for food (1/2 chicken, mac salad & Salt Potatoes).  Tickets- Danielle has already reached out to Glenn. She will get 1,000 tickets ordered so we can get them sorted for each player & get them sent out by end of April.  Need to have Kathy start looking at advertising. & Aimee will look into yard signs.  We have decided to scrap the bake sale. Since we can not have homemade baked goods, the sales weren’t worth the time put in. A lot of the items were just given away at the end.  We need to remember to order pizza (or something) for the boys that are working that day. B. Rosters:  Vicki and Julie are working on updating the rosters. Julie is trying to get the new Modified players information and Vicki has been updating JV & Varsity. Will need to get whatever info Dave may have to help this process. C. New Fundraiser:

Todd had suggested incorporating a donut sale… Sell ½ dozen donuts for $5 & DD takes $3, WEFB takes $2. All prices & distributions subject to change. This is just a proposal at this point and it would need to be approved by DD before even considering.

D. Things to discuss at next meeting:  Social Media Pages- Aimee suggested having our own FB page, maybe even a Twitter. Before doing so, we should find out if Dave has any objections & if there are any special requirements of the school administration .
