POSITION DESCRIPTION: ASSISTANT TO THE ARTISTIC DIRECTOR INTRODUCTION Melbourne Theatre Company (MTC) is the oldest professional theatre company in Australia, the largest theatre company in Victoria and one of the major performing arts companies in Australia. It is a semi-autonomous department of the University of Melbourne. Southbank Theatre, which was purpose-built for the MTC in the Southbank arts precinct, commenced operation in 2009. Southbank Theatre comprises the Sumner Theatre with 500 seats and the Lawler Studio (a rehearsal or a flexible performance space), state of the art back of house and front of house facilities, function spaces, a bar and café and other amenities. Southbank Theatre is available for hire by external organisations when it is not needed for MTC performances and events. DUTIES AND RESPONSIBILITIES The basic rationale of this position is to provide support and service to MTC's Artistic Director. The duties of the position involve regular and occasional responsibilities. It requires a combination of initiative and willingness to respond to the Artistic Director’s personal needs. Duties include but are not limited to: Administrative/Secretarial Support to the Artistic Director  Diary coordination and appointment booking  Prioritising and distributing incoming correspondence  Drafting outgoing correspondence  Administrative assistance such as phone messages and filing

Coordinate AD’s travel and accommodation arrangements, in cooperation with MTC’s Casting Executive Managing all aspects of the Artistic Director’s day-to-day activities Research on creative topics – including productions and individuals – upon request Liaise internally and externally on behalf of the Artistic Director – upon request Coordination and maintenance of office systems, equipment and supplies

Additional Company Support  Limited switchboard relief when required  Maintain a database of external productions attended by MTC Artistic team  Additional tasks as required, and as directed by the Artistic Director including Artistic and Producing Department support. SKILLS AND ATTRIBUTES This position requires someone who is capable of working independently on important projects whilst also willing to do a range of boring but necessary tasks. A general knowledge/understanding of theatre and an empathy with artistic personnel and the day-to-day demands on personnel working in the high stress environment of a major performing arts company is essential. The successful candidate will need to:         

Be flexible Have an eye for detail Ability to prioritise effectively Have initiative Have an effective telephone manner Excellent communication skills, both verbal and written Efficient and proficient in word processing, spread sheets and internet research Happy to take direction with the ability to generate work independently An ability to multitask with ease

REPORTING AND WORKING RELATIONSHIPS A member of the Artistic team, the position works closely with and reports directly to the Artistic Director, but may also take direction or instruction from the Associate Producer. The position must also maintain good relationships with all actors and creatives working with the Company. ENVIRONMENT HEALTH AND SAFETY All MTC staff must:      

Take active care of their health and safety and that of all other staff and contractors. Follow all EHS policies and procedures covered in the manual and adopt work practices that support EHS programs. Report all hazards, accidents, incidents (including near misses) and issues to their supervisor or EHS representative using the applicable form. Not interfere with, remove, or displace any safety guards, safety devices or protective equipment. Wear personal protective equipment as provided. Complete the required staff induction training and other EHS training as required.

SALARY AND CONDITIONS MTC is an equal opportunity, smoke-free employer. The position is offered on a full-time basis with a salary of $45,320pa, plus 9.25% statutory superannuation. The position is covered by the Live Performance Award (2010) and other Company policies as they apply. Ordinary hours of work are 37.5 per week, Monday to Friday. Any additional hours worked shall accrue time-in-lieu, in accordance with the Award. Benefits of employment include 4 weeks annual leave loading, an in-house subsidised canteen and complimentary theatre tickets.
