POSITION DESCRIPTION ENVIRONMENT HEALTH & SAFETY COORDINATOR

Introduction

Melbourne Theatre Company (MTC) is the oldest professional theatre company in Australia, the largest theatre company in Victoria and one of the major performing arts companies in Australia. It is a semi-autonomous department of the University of Melbourne. Southbank Theatre, which was purpose-built for the MTC in the Southbank arts precinct, commenced operation in 2009. Southbank Theatre comprises the Sumner Theatre with 500 seats and the Lawler Studio (a rehearsal or a flexible performance space), state of the art back of house and front of house facilities, function spaces, a bar and café and other amenities. Southbank Theatre is available for hire by external organisations when it is not needed for MTC performances and events.

MTC’s annual income comprises of approximately 14% government subsidy with the rest self-generated through box-office receipts, sponsorship and fundraising. The Company usually presents 11 - 12 plays in a Melbourne subscription season, a season of plays in its Studio space as well as touring productions intra- and interstate. MTC also has an extensive Education program, and a program of commissioning and developing new Australian work. Page 1 of 5

The Company employs approx. 93 staff on an ongoing basis and up to 400 casual staff as actors, directors, designers and in other creative and production roles.

Reporting Lines The position reports to the Human Resources Manager.

Purpose of the Position

To assist managers and supervisors to implement all EHS policies and procedures on MTC worksites, and to comply with the EHS schedule of activities.

Responsibilities 

Keep the Executive Director and other managers up to date about any applicable EHS related legislation and best industry practices. - Contribute EHS information to monthly board reports and management meeting EHS agenda items - Provide regular reporting on EHS indicators/ trends to the Executive Director.



Investigate and implement any new EHS initiatives and policies including greening the organisation, wellbeing initiatives and EHS initiatives



Manage the Company’s preparation and response to the University of Melbourne’s Safety Management Achievement Program (Safety MAP) -



Maintain all EHS manuals, policies, records, reports and statistical information. -

Liaison with managers and supervisors to prepare and implement any EHS induction programs. Assist the managers in determining and scheduling EHS training needs and keeping records up to date.

MTC EHS requirements -



Review any safety reports and inspection outcomes.

Inductions and training -



Monitor safety measurements (indicators) and results. Communicate safety performance information to all managers.

Participate in safety meetings, safety programs and accident/incident investigations. Minute and report on the outcomes of the EHS Committee Meetings Produce a regular EHS newsletter to all MTC staff. First aid compliance MSDS compliance Facilitate the development, implementation and review of risk assessments Coordinate workplace inspections and follow up on actions that arise from them

Production EHS requirements -

Participate in Production meetings including Design Presentations and facilitate the development of risk assessments. Monitor production bump in/out activities from EHS perspective and ensure adoption of safe work practices. Page 2 of 5



Incident reporting and system management -

Skills & Attributes

Facilitate the development, implementation and review of risk assessments Annual PPE, safety clothing and footwear needs including any as required items throughout the year.

Manage the Incident reporting system – liaise with the University of Melbourne’s University Risk Management office and the Melbourne University Workcover Unit Assist managers to monitor any return to work activities.

The position requires someone who loves being organized and has extremely effective people and communication skills. You will have to be able to demonstrate that you have:        

A Certificate IV in OH&S or equivalent and at least 1 year relevant work experience The ability to work collaboratively as well as alone The ability to find solutions to problems and to challenge the status quo Capacity to negotiate with sensitivity and patience Planning and organisational skills Initiative to take on tasks with enthusiasm Excellent written and verbal communication skills Excellent computer skills

A basic knowledge of theatre terminology, etiquette and theatre craft would also be helpful. RELEVANT PAST EXPERIENCE Past experience that would provide a useful introduction to this position could include:  Stage Management  Production Management  Arts Administration  Production Administration  Venue Coordination

Key Relationships

Build and maintain effective working relationships across the MTC and externally, in particular with : Internal Relationships  Production department working closely with the Head of Production as the EHS Management representative, the Production Administrator, the Production Managers and Stage Managers assigned to each show.  Southbank Theatre, working closely with Front of House and Back of House to ensure safety, training and compliance, Building Services in contractor management and building compliance. Organisation wide support with safety and incident management needs, training and compliance.

External Relationships  OHS & Injury Management Unit, University of Melbourne. This includes working with WorkCover Officers, OHS Specialists, the Audit Department, Property and Campus Services and the University of Melbourne Business Centre  Arts Centre Melbourne Safety staff  Hirers  General public as needed

Environmental Health & Safety

All MTC staff are responsible for the following safe work procedures and instructions:          

All employees are to comply with the EHS manual Adopt work practices that support EHS programs Take reasonable care for the safety of his/her own health and safety and that of other people who may be affected by their conduct in the workplace Seek guidance for all new or modified work procedures to ensure that any hazardous conditions, near misses and injuries are reported immediately to supervisor Must not wilfully place at risk the health or safety of any person in the workplace Participate in meetings, training and other environment, health and safety activities Must not wilfully or recklessly interfere with or misuse anything provided in the interest of environment health and safety or welfare Wear personal protective equipment as provided Use equipment in compliance with relevant guidelines, without wilful interference or misuse Must cooperate with MTC management in relation to actions taken by MTC to comply with Occupational Health and Safety and Environmental legislation. In addition, people who supervise the work of others are responsible for:

Conditions

developing new work procedures, as required, in conjunction with relevant persons providing all staff with relevant EHS information in an appropriate manner providing personal protective equipment and clothing if hazards cannot fully eliminated providing adequate supervision through technical guidance and support identifying and control hazardous conditions providing appropriate facilities for safe storage, handling and transport of hazardous substances ensuring that all accidents and injuries are reported.
