AEYBA Board Meeting Minutes

January 27, 2013

Meeting called to order by Jeff Peterson at 7:10 pm Minutes approved: Motion to approve minutes from December 16, 2012 by Mike Burns, second by Jerry Miller. Minutes approved. Status: Jeff Peterson Popcorn machine adapter found, everything working great. Mike Burns: Volunteer hours really going good this year with online signup. Currently have more people to fill hours than hours available. Created new positions: hall/commons monitor, help with uniform hand in at the end of the year, set up and decorate for End of Year banquet, and added hours for Girls 5th grade state tournament. Mike Burns: create a Facebook page for AEYBA, let parents LIKE it to be used for communication between parents (maybe work on Message board for AEYBA website at another point). FB page used only for communication, not to vent between parents or about players/coaches/parents. If this is abused, will take down the FB page. VOTE: Mike Burns to put together a Facebook page for AEYBA, all in attendance voted YES. Boys program: John Mielke Varsity: About a .500 season so far, great group of boys working hard- great defensive play, struggling for offense at times JV: at .500 , lost some players through moving, injury, but this team is a good example of how the AYEBA program is successful in depth and developing players Freshman: above .500 season so far 10 wins; 6 losses Scholarships: applications starting to come in for this year o Approve scholarships for former players that may have missed applying during their senior year on a case by case basis, to be approved by the AEYBA Board o Possibly remind seniors who may be eligible to apply for this. Send an email out to parents of 8th grade players graduating out of AYEBE program to apply their senior year if they remain in the East program o 2013 will be the largest number of scholarships being awarded

Treasurer Update: Dan Buchberger Current balance 7,965.09 balance One purchase of stamps since last meeting in December 2012 for the amount of $36.00 Profit from the three tournaments’ so far this season (approximate numbers: 7-8th grade girls $2,000; 4-5-6 grade girls $5,100; 7-8th grade boys $5,000) Upcoming tournaments February 2. And Girls 5th Grade state tournament will probably profit approximately $5,000 each. Still have 8th grade boys player registrations coming in which is approximately $2,000; other gross receipts expected are more state tournament registrations, miscellaneous player registrations, and kickbacks from hotels during the state tournament. End of Year banquet cost from last year was $6,600 ($2,000 in cash prizes, $2,500 in tv costs, and $2,500 in food/beverage costs). Expect the cost to be similar this year. With all the above gross receipts and estimated costs we should have approximately $8,000 in AEYBA checking to end the season. New Business: Jeff Peterson

New volunteer hours: Uniform hand out or pick up at the end of the season; hall monitor to keep kids out of commons and school; set up and decorate for EOY Banquet; help inventory consessions with Vicki Picking State Teams: 5th and up are and can be invited to a State tournament; 3-4th grade do have the opportunity as well. 3rd grade boys will be participating in Milwaukee; 4th grade boys will likely not be participating this year (Jeff Peterson, coach will need to be at the banquet) Practice requirements for state team/regular team: John Mielke will be putting together and sending an email to all boys coaches (sharing with Joe LaChapell for the girls teams) to explain the AEYBA program and that coaches should invite players to join in practices after the regular season is complete, and state teams have been chosen. But players who are not on the state team and choose to practice have to commit to coming to practices just like in regular season. Coaches should open up the choice to parents and players. WIAA regulations for Middle School players: o Bill Hanstedt: as a coach for middle school basketball wants the WIAA regulation to remain. o John Mielke: would like them to leave to have the choice, but will still have AEYBA support middle school sports. But sees the AEYBA program as the feeder program for High School basketball, not the middle school as a feeder program. o Dan Bartlett: as a parent/coach supports trying to remove from WIAA regulations because he has seen his son and other player become sloppy and lazy during the middle school season, only to return to AEYBA and not be in shape or at the same skill level as prior to the middle school season o Ann Daily: reminded us that the WIAA regulations is particularly hard on the girls program because they play AEYBA program for two months, then play middle school program for two months, to return to the AEYBA program and have to get ready for a top competition during state runs. o John Mielke: would like to see some continuity with the coaching staff at the middle school to teach EAST and AYEBA philosophy basketball. But will still continue to support middle school program. Just would like to see the opportunity for no WIAA regulations. It is John’s understanding that the Athletic Directors at the three Appleton High Schools are in discussions about the WIAA regulations put on the Middle Schools. o More discussion to come on this topic in upcoming meetings.
