Admissions: Both Blackbrook Breakfast Club (BBC) and the After School Club (ASC) will accept all children currently at Blackbrook Community Primary School. The leaders will always strive to provide places but there may be times when the Clubs are full. Registration: Parents/Carers will be asked to complete and sign a Registration Form before attending the Clubs. Booking: Both the BBC and ASC will operate during term time only. BBC – operates from 8.00am Monday - Fridays ASC – operates from 3.15pm – 5.45pm Mondays – Thursdays Bookings are made monthly in advance. Children who have not been booked in may be able to attend the Clubs if there are sufficient available places and will remain in the care of the school. If a booking has not been made and the child/children’s club/activity is cancelled by the school at short notice, due to unforeseen circumstances, the child can be accepted at the ASC without the usual notice, for the duration of the activity at the usual charge (provided there is sufficient space. Fees: BBC = £2.50 per session ASC Full Session – 3.15 – 5.45 = £7.50 Part Session – 3.15 – 4.30 = £3.75 Part Session – 4.15 - 5.45 = £4.50 Payments are made in advance by cash or cheques payable to Blackbrook Community Primary School and handed into the School Office with the booking forms. The Clubs will accept Childcare Vouchers with the exception of any urgent additional sessions which must be paid in full on collection of your child. Children must be collected by 5.45 pm. If a child is not collected by 6pm there is a charge of £10 per quarter of an hour to cover the costs of the two staff who are legally required to stay. Fees will be charged for non-attendance unless there are exceptional circumstances. The level of fees will set by the Business Committee and reviewed annually in the light of the Club’s financial position. If fees are not paid on time, the School’s Business Manager will notify the parent/Carer in writing and request payment at the earliest possible opportunity. Parent/carers are encouraged to speak to the School Business Manager if they have any query about the fees policy, or if, for any reason, they are likely to have a difficulty in making a payment on time. If fees are paid persistently late (over 28 days) or not at all with no explanation, the Business Manager will discuss the matter with the Headteacher. If all options have been explored and the fees are not paid, the Club will have no option but to terminate the child’s place. Arrivals and Departures: The Club will give a warm and friendly welcome to each child on arrival and ensure that they depart safely at the end of each session. Parents/carers are expected to sign children in at the beginning of the BBC session and sign children out when collecting from the ASC. If the child is to be collected by someone other than those named on the registration form this must be indicated to a member of staff prior to the start of the session and recorded by the club. Ideally the adult nominated to collect a child must be one of those names on the registration form. Only adults – aged 16years and over – and with suitable identification, will be authorised to collect children. In the event that someone else should arrive to collect a child without prior knowledge being given to the Club, the Club will telephone the parent/carer immediately.

If the parent/carer or designated adult is going to be late in picking up their child they must call to inform the Club at the earliest opportunity. If the Club is not informed , then the Uncollected Child Procedure will activated. Uncollected Children The Clubs have the highest regard for the safety of the children – from the moment they arrive to the moment that they leave. Parents and carers will be informed that persistent late collection will result in penalty charges and/or the loss of their child’s place at the club. At the end of every session, the Club will ensure that all children are collected by a parent, carer or the designated adult. If for some reason a child is not collected at the end of a session, the following procedures will be activated. If a parent, carer or designated adult is more than 15 mins late in collecting their child, the Club leader will call the parent, carer or designated adult, and use any other emergency contact details available in order to ascertain the cause for the delay, and how long it is likely to last. Messages will always be left on any answer phone requesting a prompt reply. While waiting to be collected, the child will be supervised by at least two members of staff who will offer them activities and as much support and reassurance as is necessary. If, after repeated attempts, no contact ids made then the leader will call the Head for advice after 30 mins of the Club closing. The Club will act on the advice of the Head. Unless absolutely necessary the child will not be taken to the home of a member of staff, or away from the Club premises, in the course of waiting for them to be collected at the end of a session. The child will remain in the care of the Clubs two staff members until they are collected by the parent, carer or designated adult, or alternatively placed in the care of Social Care if contact cannot be made with anyone on their contact list. In the event of social Care being called and responsibility for the child being passed to a safeguarding agency, the Leader will attempt to leave a further telephone message with the parent/carer or designated adults’ answerphone. Furthermore a note will be left on the door of the school premises informing the parent/carer or designated adult of what has happened. The note will reassure them of their child’s safety and instruct them to contact the local Social Care Office. Incidents of late collection will be recorded by the Leader and discussed with parents/carers at the earliest opportunity. Behaviour The Club recognises the importance of positive and effective behaviour management strategies in promoting children’s learning, welfare and enjoyment and will follow the school’s approach to behaviour management. All children will be expected to follow the school rules and parent/carers will be asked to collect their child if their behaviour is unacceptable. Administering Medication The school’s policy on administering medicines will apply. Wherever possible, children who are prescribed medication should receive their doses at home. If you wish us to administer medicine to your child, please follow the school’s guidelines to ensure that there is no risk to either your own or any of the children: 1. You must complete the relevant form and return to the school office with the medicine. 2. Medicines must be clearly labelled with the child’s name, timings and dosage instructions. 3. Medicines must be handed personally to the school office for safe- keeping. Use of the Internet The Internet is a very useful resource to the Club. As a school all parents/carers will be asked for signed permission before their child may use the internet in line with the school’s Internet Acceptable Use Policy. Documentation and Information The Club recognises the importance of maintaining up to date and accurate records, policies and procedures necessary to operate safely, efficiently and in accordance with the law. The Club is also aware of its obligations with regard to the storing and sharing of information under the Data Protection Act 1998, and is committed to complying with its regulations and guidance. The school has overall responsibility for the maintenance and updating of children’s records and ensuring that they are accurate and kept secure. Registration and medical forms will be renewed when information changes and generally on an annual basis. Healthy Eating The Club is committed to providing healthy, nutritious and tasty food and drinks for children during all sessions. The staff will make every effort to ensure that food and drink is safely prepared and sensitive to the dietary, religious and cultural requirements of all the children. When preparing foods and drinks, staff will be mindful of the standards. All staff will hold a Basic Food Hygiene certificate and are fully trained in food storage, preparation and cooking and food safety. Parent and carers are required to complete the registration form, including information about any special dietary requirements or allergies the child suffers from. No child will be forced to eat or drink anything against their will. The staff will make every effort to promote healthy eating. Staff will make sure that there is a regular supply of drinking water available to children at all times. Staff will ensure that children are adequately protected from the sun during outdoor activities; sun cream is to be provided by the parent/carer.
