[email protected] There is an executive member on each team. They liaise between the team and the executive. They need to be familiar with the league rules and handle discussions with the team captains or referees when questions about the rules or their interpretation arise. This does not include questioning calls during games - that is the team captain’s responsibility. The executive members support the premise of the league, take an active role in issues regarding player safety, collectively rate players and oversee the operation of the league. Executive Structure:
The executive will consist of 8 volunteer members. Each season, some members may step down and new members will come aboard. See below for expanded detail. A quorum (better than 50% of the executive) is required in order to make policy changes and decisions affecting the league. League policies will be determined by a vote of the executive. Each executive member is entitled to one vote. Majority rules. In the event of a tie, the Coordinator's decision will stand. (Executive members not in attendance forfeit their right to vote.)
2|P age
Executive Turnover:
For consistency and efficiency of the executive, turnover is limited to up to 2 positions per season. This effectively changes up to 25% of the executive per season. Volunteers are solicited from the membership on the registration forms. At the last executive meeting of the season (May) the registration forms are reviewed to see how many volunteers we have. The executive is polled to see who wants to leave the committee. Vacancies will be created by executive members offering to step down for up to two volunteers wanting to come onto the executive. If more than 2 players put their names forward, all volunteers names are put in a hat and two are drawn. All volunteers are contacted by the league coordinator in regards to their offer of joining the executive.
There have been years when there have been no volunteers to join the executive as well as years when there have been more than 2. We don’t want to discourage people from becoming involved or have it perceived that the executive decides who will be asked to join or screens anyone out. If someone whose name was not picked volunteers the next season then their name will be put into the hat twice for the draw
Captain Responsibilities 1. To serve as a leader for the team, setting the team's mood and providing direction to the team members. 2. To plan line-ups that maximize the team's talents. 3. To ensure score keeping responsibilities are met on assigned weeks. This means more than having people sign up at the beginning of the season. They should be checking when their team is due that the assigned person is aware, whether they do this verbally at the end of the night for the following week or by email. Please note: Teams who fail to meet this requirement will incur a ONE point penalty against their team season standing per missed scoring duty. 4. Work with the team executive to resolve any team problems or conflicts (morale, absenteeism etc). If this does not result in resolution the executive member can take it to the executive. 5. To assist the league executive with player ratings. 6. Monitor player attendance and consult with the team exec if there are absenteeism concerns. 7. To act as spokesperson for the team in discussion with the referee during game play when issues arise on the volleyball court. 8. To notify the executive member responsible for spares when a spare is required. 9. Consult with their executive member when there are questions regarding league rules or their interpretation. 10. To verify scores with the referees at the end of each game to ensure they are recorded correctly.
Player Responsibilities 1. 2. 3. 4.
Arrive on time for games. Notify captain if going to be absent or late. Register and pay for the upcoming season by May 31st. Leave of Absence: Players must have played a full season before requesting a leave or being granted a subsequent leave, except in the case of illness or injury. Leaves of Absence (for whatever reason) may be taken for a maximum of 12 months, however, to ensure fairness to the team and replacement player, the player must return to play in the September or January following the commencement of the leave. (For example, a player taking a leave starting in September 2015 must return in January 2016 or September 2016. A player commencing a leave in March 2016 must return in September 2016 or January 2017). Failure to return by the required time, as outlined above, will cause the player to forfeit her position in the league. If interested, her name may be added to the bottom of the spare list. 5. Leave of Absence or members deciding to give up their membership in the league must do so writing by August 15th of any given year in order to be issued a full refund of their registration fee. After August 15th the member will be issued a refund of the difference between the registration paid and a non-refundable $75 administration fee. 6. Guidelines for player attendance is as follows:
3|P age
i)
A player who registers with the league should be prepared for the commitment this entails. Each player is expected to attend no fewer than 75% of the regular season games. ii) The executive has the right to remove players due to chronic absenteeism. This situation will be discussed with the player and a warning will be issued. Failure to meet the attendance expectations may result in the player’s position in the league being forfeited. iii) It is each player’s responsibility to notify her captain if she is going to be absent. Two weeks without a call to your captain, or missing 4 consecutive weeks, may forfeit your position in the league.
Referee Responsibilities 1. Set-up of the nets is the responsibility of the referees. As play is scheduled to begin at 6:45 p.m., set-up must be completed by 6:40 p.m. 2. Calling balls which are close to the line is the responsibility of the ref not the scorekeeper or other players. Refs will call a re-serve if they are unable to make the call.
Score Keeper Responsibilities 1. Count and indicate when a server has completed 5 serves. 2. Help take nets down and put equipment away at end of last match.
Linesman Responsibilities Linesmen may be used during playoff games. When acting as a linesman: i) Make calls as required regarding balls landing close to the boundary lines. ii) STAND at diagonal corners of court opposite servers iii) Linesperson is there to help the ref. The ref has the last say regarding calls. NOTE: it is important that the linesperson remain focused on the game at all times.
League Structure 1. The league is open to women aged 21 and older. 2. Players must possess volleyball game knowledge and a 2.5 rated playing ability to join the League. 3. Players who do not register and pay by May 31st forfeit their position in the league. Players forfeiting their position in the league may request to be moved to the bottom of the wait list or be placed on the spare list. 4. New members must be Ancaster residents to join the league. An Ancaster resident is defined as someone living within the boundaries of the former Town of Ancaster. 5. If a player who has played a full season with the league as a spare moves out of Ancaster she may continue to play in the league, remain on the spare/wait list and be eligible for a permanent position in the league in her turn if she so desires. 6. The league is non-profit. The aim is to charge registration fees that will cover the league's operating costs plus allow a small balance for increases in operating costs. It is not the league's intent to build up a cash surplus.
League Rules 1. Teams i) ii)
Ancaster Ladies' Volleyball League (ALVL) is made up of eight (8) teams of eight (8) players each. Each team will have an executive member and a captain. The executive member cannot be the captain. iii) Maximum of six (6) players and a minimum of five (5) players are allowed on each court. iv) Teams are encouraged to field a team of at least 6 players by making use of the spare list. v) Players arriving late may join in the ongoing game at the discretion of their captain. 4|P age
2. Game Play i) ii) iii)
iv) v) vi) vii) viii)
ix)
Players must rotate on in position 4 and off from position 5. No random substitution is allowed (injury excepted). Teams must have a continuous rotation of players during each game. Line-ups may be altered at the end of each game. Substitution for an injured player is allowed. If the injured player returns to the game, she may assume her position by calling for a substitution or is allowed to wait on the bench until natural rotation allows her to reenter the game in her original spot in the line-up. Rally point rules are in effect. A point is scored on each serve regardless of which team has service. A serve contacting, and clearing, the net is in play Limit of five (5) consecutive serves per player. The team serving for the first time, after opponent's loss of service, must first rotate. The volleyball is considered dead if it contacts the ceiling, poles or walls. Due to the basketball hoops position on the playing court, if a live ball contacts a basketball hoop and was, in the opinion of the referee a "playable ball", it shall be considered a "re-serve". The team losing the first game of the match starts serving the second game.
3. Player Safety i) ii)
All jewelry must be removed before the commencement of play (earrings, necklaces, bracelets, watches, etc.) Players expecting a child during the volleyball season should note that (based on the results of the questionnaire), it is the league’s preference that players retire from play at their 32nd week of pregnancy. iii) Intentional contact below the waist (i.e. kicking the ball) is not allowed and will be treated the same as an illegal hit. iv) A player who arrives to play displaying obvious signs of impairment from alcohol or drugs will not be allowed to participate in the evening's games. Any player who believes that another player is unfit on this basis should speak immediately to their executive member or in their absence to another executive member. The executive member will take the player in question aside to assess the situation and make a decision as to the player's fitness to participate. They may consult with another executive member or the ref in order to make this assessment. If it is determined that the player is not fit to be playing they will be asked to sit out. Play will not continue until the player has left the court. The exec member will ascertain that the player has a safe way to return home. Repeat offenders forfeit their position in the league. It is imperative that such issues be dealt with immediately at the time they occur. The executive cannot act on allegations that are brought to their attention after the fact.
4. Game Format & Scoring Regular Season i)
Games commence at 6:45 p.m., 7:30 p.m., 8:15 p.m. and 9:00 p.m. sharp. There is no grace period. Spare List Procedures
We have one executive member who handles calling the spares (ExSpare). If she is away the responsibility reverts to the coordinator. Captains/executive members should not be contacting spares directly. Specific spares cannot be requested. The opportunity to spare is offered fairly and equitably to all those on the spare list based on ratings. When requesting spares please provide the names of the people who are missing on the team. We try to get a spare as close to the rating of the highest rated missing player as possible. If you know that you will be missing someone a week ahead of time then let the ExSpare know right away. We realize that nothing can be done about people who call at the last minute to say that they won't be coming that evening, however, remember that it may not be possible to find a spare at the last minute. The ExSpare will notify all suitably rated players by email that we are looking for a spare and that the first person to respond will get the opportunity to play. If no one accepts then unfortunately the team will not have a spare for the evening. The executive reserves the right to replace players lost due to sickness, injury, absenteeism, etc. During the Second Round and Final Match of the playoffs, teams must field a full team of 8 players. The executive will endeavor to fill positions of missing players with like-rated players from the 4 teams which were eliminated in Round 1. The executive may rule that a team will be able to play with fewer players if they are unable to secure substitute players. During playoffs, if there is a shortage of spares on the regular list, players from teams that have been eliminated can be called on as spares for matching ratings.

Spare/Wait List Guidelines 1. Persons interested in becoming a member of the A.L.V.L. must contact an executive member and are placed at the bottom of the wait list. 2. New players must possess volleyball game knowledge and a 2.5 rated playing ability in order to play in the league either as a spare or as a permanent player. 3. All players must be rated in order to play. All non-rated players appearing on the wait list are invited to the next rating clinic in order to evaluate their ability in terms of the League skill level. 4. Players are rated by members of the executive on a scale of 1 – 5. Note: the rating is an estimate of the current playing ability based on the player’s performance at the rating clinic. 5. A player with a rating that is less than 2.5 will be counseled to join the Ancaster Recreational League to improve their skills. They will remain on the wait list and will be invited to the next rating clinic to be reevaluated. 6. Player ratings are confidential and are available only to the individual and the executive. 7. Non-rated individuals who do not attend 2 consecutive skill clinics, without a reasonable explanation, will be removed from the wait list. 8. When a permanent vacancy in the League occurs, beginning at the top of the wait list, the next rated player with a 2.5 or better rating will be offered the position. 9. A player who declines a permanent position in the league will be removed from or go to the bottom of the wait list (their choice). 10. Once rated, wait list players can be called upon to spare for an evening’s play or for part or all of a season. 11. For occasional sparing, an absent player will be replaced with a rated wait list player who has the same rating (+/- .25) whenever possible. 12. Long term sparing positions (for full or half season) may occur as a result of permanent players taking Leave of Absence due to injury, pregnancy etc. Where such leaves are known prior to the team draft for the season, positions are offered in the same manner as for permanent positions (see 8). Where such vacancies occur after the teams have been drafted then the filling of such positions is conducted in the same manner as for occasional sparing (see 11). 13. If a “sparing” player does not demonstrate the expected ability of play, consideration will be given by the executive to replace this player with another spare. 14. It is the responsibility of the wait list players to ensure that the league has their correct contact information. 15. All wait list players who attend a skills clinic will be given a copy of these guidelines. 16. We have one executive member who handles contacting players for occasional sparing. She will notify all suitably rated players by email that we are looking for a spare. The first person to respond will get the opportunity to play.
