President’s Annual Report This has been an amazing year for the Quintus Chapter and I would like to thank our dedicated Board members, enthusiastic Committee Chairs and wonderful members for making this past year’s successes possible! As President, I was very fortunate to have the experience and support of wonderful Board members, Committee Chairs and membership to guide the Quintus Chapter successfully! I would also like to congratulate the following chapter members on their anniversaries: Elsie Blad Carolynn Wyckoff, CAP Bonnie McKay, CAP-OM Fern Sitzer

Congratulations and kudos from the entire Quintus Chapter membership to our own Bonnie McKay, CAP-OM; incoming Central Canada Division President! Quintus Chapter is very proud of Bonnie and her commitment to “Be The One” in the upcoming year! Carolynn Wyckoff, CAP represented Quintus Chapter as our delegate at CDC in Lethbridge, AB. Our Membership has grown by leaps and bounds in 2013 – thanks to the hard work of our Membership Chair, Millie Anderson! I am especially happy to report that 2 of our new members are students and their membership is a direct result of attending our APW Event! Financially, the Chapter is in a good position – thanks to our Treasurer, Carolynn Wyckoff, CAP and Cindy Landry, Fundraising Committee Chair! Sales are up from our famous Mint Smoothies and that combined with some new fundraising initiatives as well as another successful APW Event, which was chaired by Laura Hoo, has allowed the Quintus Chapter to overcome new financial restrictions imposed by HQ. I appreciate the opportunity to be President of the Quintus Chapter and I look forward to more exciting opportunities for the Chapter and its membership in the future!!! Vice-President’s Annual Report As the Vice-President this year, I provided monthly support and back-up to our President, Vicky Stewart CAP-OM. I extended this role to become a member of our Chapter’s APW Committee. I enjoyed the opportunity to serve the Chapter in this position under the leadership of Vicky.

Secretary’s Annual Report This was second term as Secretary, and second year being a member. Holding this position has helped me tremendously in learning how the Chapter is run, and increased my knowledge of the IAAP organization. I was mainly responsible for taking minutes at the Quintus Board and Chapter meetings. The roster was updated on a regular basis as well as the program schedule. I was also a member on the APW Committee. Thank you to all members for your support.

Treasurer’s Annual Report My first experience serving as the Quintus Chapter Treasurer started out with much trepidation and anxiety. Fortunately, former Treasurer and the 2012-2013 President, Vicky Stewart CAP-OM was a wealth of information and good advice. The books from the prior period were turned over seamlessly, along with a concise and satisfactory report from the auditor’s review. I also relied heavily on Quintus Chapter, CCD Liaison, Teresa Doucet, CAP-OM to keep me on track while working with Chapter funds and records. Teresa is the CCD Treasurer and the expert knowledge she shared with me was invaluable. Quintus Chapter will complete the 2012-2013 fiscal year with a stable financial forecast going into 2013-2014. The fundraising restrictions imposed by IAAP headquarters to comply with US tax regulations hampered some of our fundraising initiatives. However, this stimulated sales of Mint Smoothies and brought to the fore the creativity of Fundraising Chair, Cindy Landry, who conducted a quality used purse auction at several monthly meetings. We celebrated Administrative Professionals Day with nearly 100 guests and this added $875 to our bottom line. The APD organizing committee, under the leadership of Chair, Laura Hoo should be very proud of their success. At the time of this writing, Membership rebates total $280 and increased payments for 2013-2014 are anticipated. I was delighted to serve as the Quintus delegate at the May 2013 Canada District Conference held in Lethbridge AB. Increased funding was allocated this year, and the account closes with unspent funds. Since chartering in 1956, the fiscal responsibility exercised by all Quintus leaders, allows the Chapter to provide educational resources and funding for IAAP events to our Members. This year, we were able to partially support Members who attended the 10th Anniversary celebration of Grand River Chapter. As well, the Chapter encouraged all members to attend incoming President, Bonnie McKay’s Leadership Workshop on June 22, 2013, where a $70 single fee will be paid to CCD to cover all registrations. I look forward to serving the Chapter as Treasurer in 2013-2014 and I am grateful for the trust and support I have received from all Members and our Officers. Through serving in this capacity I have gained professional growth and much more personal growth than I ever foresaw. Thank you for the opportunity. Administrative Professional Day® Annual Report On Wednesday, April 24, 2013, Quintus Chapter Brantford joined the rest of the world in celebrating Administrative Professionals Week. Since 1952, the International Association of Administrative Professionals has honoured office workers by sponsoring Administrative Professionals Week. Today, it is one of the largest workplace observances outside of employee birthdays and major holidays. As in past years, Quintus Chapter agreed that we would celebrate this special event by forming a Committee of Chapter members to organize a dinner and educational session, in a format that would benefit not only those working in office administration and related fields, but also members of the community with a stake in our profession. In keeping with this year’s IAAP theme “Be The One”, we were fortunate to engage Susan Gregory; a dynamic and interactive motivational speaker. She helped us to learn new skills in communication and productivity and inspired her audience to use what they learned in their own lives and in the lives of others. We were very honoured to have CCD President, Melanie Lambert, extend greetings. Quintus Member, Charlene Charles, did an outstanding job at emceeing the evening. To encourage interest in Membership in IAAP, our very own Quintus Member, Bonnie McKay, CAP OM, President-Elect CCD, presented the “Benefits of Membership in IAAP”. For the first time we had numerous vendors participate in our event. Publicity for the APD event was conducted through a multitude of avenues, such as Press Releases to several local newspapers, through the City of Brantford’s website Calendar of Events, through Community websites such as UR Brantford and UR Paris, as well as to personal networks of each individual Chapter member. Quintus members did an amazing job of soliciting support from local businesses, industry, social organizations and their employers. As in past years, attendees were delighted with what we offered through the door prizes, silent auction and mint smoothies. No reflection on our APD event would be complete without a comment on the wonderful buffet provided by the BGCC. We especially want to extend a sincere thank you to all Quintus Members on the APD Committee who so willingly volunteered to be part of this working group. These active Members spent hours after work at meetings, and they dedicated time, energy and ideas during the months leading up to the launch of this annual event. As Chair I was most grateful for their help. Our Chapter was honoured to have Brantford City Council adopt a resolution proclaiming Administrative Professionals Week on Monday April 22, 2013. We expect next year’s APW and APD events will be successful from many perspectives for Quintus Chapter Members and we wish the new planning Committee the very best in 2014. Respectfully submitted,

Fundraising Annual Report The Treasurer will provide a verbal report at the meeting, and the fundraising figures will be reflected in the hand out of the 2012-2013 budget.

Membership Annual Report Wendy Matthews joined the Membership Committee this year and provided much-needed backup for various responsibilities of the committee, especially with her proofreading skills. Each month at our general meetings our membership poster, brochures and OfficePro magazines were displayed to promote membership in IAAP. We held a Membership Drive during our January meeting and Bonnie McKay, CAP-OM presented the benefits of membership in IAAP; membership packages were given to all interested guests. We had several guests registered but due to some very nasty weather, some cancelled. We were, however, successful in obtaining one new member from this event – Patricia Woodburn. Fatema Taskin Chowdhury joined us in January also and an orientation for Patricia and Fatema was conducted on February 25 using IAAP HQ’s PowerPoint presentation… thus enabling us to qualify for Criterion #4 and #5 for Chapter of Excellence. Elaine Hache and Sharon Skingley joined our chapter in March and their orientation was done before the May meeting. Rasha Abdelnour and Jessica Gray joined in May and their orientation was done in June. All new members received an Orientation Booklet as well as a copy of Quintus’ Bylaws. Membership information, monthly meeting flyers and various e-mails containing information on benefits of IAAP membership had been sent to 55 potential members during the 2012-2013 year. At our APW event at the Brantford Golf and Country Club, we ran a PowerPoint presentation continuously at the membership table. Also at APW a very special anniversary was celebrated with certificates of congratulations given to Fern Sitzer for her 50 years with IAAP. Additionally we will recognize Fern again at our June general meeting with an anniversary cake. We have retained 100% membership for the 2012-2013 year! Doreen Giles brought forth a stunning initiative regarding the Denturists Association of Ontario. The president of the DAO, Nancy Tomkins has expressed an interest in having her association’s administrative staff join IAAP. Doreen, as chair of this special committee arranged an informationsharing meeting on June 13 with Nancy Tomkins, Lucy Marco, Dianne Careswell and TEN Quintus members. The meeting was a great success and many ideas on how to accomplish this initiative were put forth. A special thank you to Wendy Matthews and Carolynn Wyckoff who for three years have provided printing assistance for membership package contents. Thank you to all Quintus members who take the time to make our guests feel welcome at our chapter meetings and to all recruiters for bringing in SEVEN new members this year. It’s been quite a ride! By-Laws and Standing Rules Annual Report The Quintus Chapter Bylaws and Standing Rules were passed at the June 22, 2012 meeting. Next steps the Committee will be required to review the approved changes from the CCD and International By-Laws to ensure that Quintus is properly aligned with changes that have been made. The Committee will be required to review the CCD Procedures Manual and create on for our Chapter. Proposed changes to the International By-laws will be reviewed at the June 24, 2013 meeting. Publicity Annual Report Throughout the year, submissions to advertise our monthly meeting notices were made to the following various media sources: Brantford Expositor, Brant News, Simcoe Reformer, Paris Star, Rogers Worth Noting, CKPC Events, Kijiji, UR Brantford, UR Paris, UR Simcoe. We also placed meeting notices on our Facebook page. Monthly meetings were also advertised through the City of Brantford’s intranet system (thank you Carolynn.) Flyers were also distributed throughout Brantford. For the September 2012 edition of “Professionally Speaking”, I submitted a picture and article about Fern Sitzer’s 90th Birthday Celebration. The September 22, 2012, edition of The Expositor contained an article and picture of our newly installed 2012-2013 Board of Directors. For our APW Event in April, in addition to the usual submissions, announcements/invitations were emailed to the Members of the Chamber of Commerce and Industrial Businesses; a notice appeared on the March Hydro bill; and an email was sent through Central Canada Division’s e-group. Millie Anderson and I participated in a webinar in April sponsored by the Illinois Chapter entitled “How to Publicize your APW Events”. Certification Annual Report

The Certification Chair is now responsible to ensure a new name badge is ordered for a member who receives their certification. To assist our certified members to achieve their recertification points, each month I submitted the “Recertification Application” to apply for points for our monthly program. I am happy to report that we obtained approval for six of our monthly programs, as the education content met the standards set by International for a total of 7.5 recertification points. At the meetings, I provided each certified member with a form, which I completed verifying their attendance at the meeting to qualify for the points approved.

CDC (Lethbridge) Annual Report To say that attending Canada District Conference (CDC) was exhilarating, exciting, educational, emotional and exhausting just begins to describe the experience. IAAP offers many opportunities throughout our IAAP year for professional growth and development, but the chance to participate in CDC is by far, one of the highlights of membership in IAAP. I want to express sincere appreciation to the Members of Quintus Chapter for financially supporting a delegate’s attendance at CDC 2013. Thank you for allowing me to represent you at this important annual event. The first “official” day of CDC begins with the option to travel with fellow IAAP members to predetermined tour attractions. I took the opportunity to visit “Frank Slide” the largest landslide area in Canada. In 1904, the “mountain moved,” dropping 90,000 tonnes of rock on everything below. This is part of the coal mining legacy in Alberta. To share this experience with IAAP members from Edmonton, Regina, Toronto, St. John’s, Halifax, and Vancouver was especially rewarding. Thursday night kicked-off the formal activities for the conference. No matter how many times I attend these special meetings, I always tear-up when the bag pipes sound, and the dignitaries are marched into the meeting room. Lina Veglia, (Grand River Chapter) International Director Canada District, oversaw the proceedings and didn’t miss a beat. I am proud to call her my IAAP friend. Gillian Nish presented a lively talk entitled “You’re Still the One.” There was no doubt in my mind that if we started our conference with this caliber of speaker, that the next few days were going to be gratifying. On Friday morning at 8:00 a.m. sharp, CDC kicked off the Professional Development day. The day included a vendor market and silent auction tables with items donated from across the country. I spent money in both places! Rosita Hall, a speaker that was first introduced to IAAP by Quintus Chapter, carried the morning’s session with a presentation focused on 21st Century Leadership. Rosita’s advice such as “leadership is not about the position – it is about relationships”, “it’s a lifestyle – not something we turn on and off”, “it is a self-awareness journey” and to “have fun – laugh at challenges” was pulled-off in typical Rosita style. Rosita, whose home is Hamilton, has just launched her second book and I encourage you to visit her website and check out this star. I won one of her books by spontaneously offering to help someone during the session. How cool is that! Friday afternoon’s session was conducted by Todd Hunt, this was the international speaker’s Canadian debut, and he left us in stiches with some of his stories and presentation skills. Todd addresses many communication blunders that people make without even knowing it. His key point of discussion was “we must communicate precisely – not just clearly – to be understood.” For example, at Canada’s famous coffee chain, what do you get when you order ‘a blueberry muffin and banana’ … do you get two different muffins, or a muffin and a banana? We must often adjust our communication style to ‘get’ what we want. Some important email tips to remember are: always use a relevant subject line; don’t answer an email as soon as you receive it; ask only one question per email and now, my favourite, “life isn’t fair – deal with it and move on, there are a lot of stupid people out there.”

Saturday morning, as with every other morning, breakfast was offered at 7:00 a.m., it was a long day with Canada District’s three Divisions commencing meetings at 8:00 a.m. I was very proud to be in the room when Quintus Chapter member, Bonnie McKay, CAP-OM was installed as Central Canada Division’s incoming President. Many congratulatory certificates, including several for Quintus Members, gifts and words of praise were exchanged by all parties. There were 48 proposed amendments to CCD Bylaws and Standing Rules, and our friend Patti Emslie, CAP-OM of BurlOak Bay Chapter handled this business item expeditiously. CCD’s Board Members’ Report was made available in hardcopy to all delegates and I will send a copy to anyone who wishes to review it. CDC continued from 1:00-5:00 p.m. All 2013-2014 officers were sworn-in. Successes and challenges for IAAP were addressed by International Director Canada District, Lina Veglia. I would encourage all members to peruse the HQ website community for updates. It should be noted that a proposed Bylaw will be coming forward at the Educational Forum and Annual Meeting (EFAM) in July 2013, to increase membership dues by $50 in the 2013/2014 year. Delegates at CDC voiced much concern over this proposal and there is no doubt it will be a hotly debated item at EFAM. Two bids were presented to host CDC 2015. The proposals came from Scarborough and Toronto Chapters. Toronto won the bid. The host hotel will be the Marriott downtown, and it is evident planning is already underway to make this a very successful conference. With CDC being so close to Quintus Chapter, there is no doubt that many members will book their calendars to attend May 28 – 30, 2015. I hope many will join me in Charlottetown PEI for CDC 2014. The City of Lethbridge and Western Canada Division hosts have set the benchmark very high, but the enthused and motivated members from Eastern Canada Division that I met are already hard at work to make us welcome in May 2014.
