CAFETERIA ACCOUNTS general info

Aliveschool™ welcomes you to your new cafeteria services. Before we walk you through the set up here are a few details. Cafeteria accounts are maintained on an individual basis. This means that if, for example, there are two siblings in the school, each sibling/student must have their own cafeteria account. This applies to students (including those at the OECC), faculty, administrators and staff. Patrons can pay for food and beverage in the form of: 1) Cash at time of purchase 2) Advance check payment with the designated Aliveschool™ team member in the cafeteria 3) Advance deposits through the PAYFORIT online meal account service website Why open an account with PAYFORIT.NET? 1) All patrons must have a positive balance in their cafeteria accounts in order to obtain food and/or beverages. Otherwise, cash payment must be made at time of purchase. 2) It is the patron's responsibility to manage and maintain a positive balance on their accounts. 3) Setting up an account in PAYFORIT is free and has many helpful features such as the ability to set up: a) automatic notices of low-balance, b) monthly balance emails, c) 30 day consumption details d) auto-replenishment (if applicable)

how to open a cafeteria account? STEP 1: Find the student's ID number During the account set up process, you will be asked for your child's STUDENT ID. To find it: a) Log into the Baldwin School Webpage and under OUR COMMUNITY find and click the Veracross Parent Portal. http://www.baldwin-school.org i. You can also log into the Veracross Parent Portal directly using the following address https://portals.veracross.com/baldwin

b) Enter your credentials and find the HOMEPAGE tab.

The STUDENT ID will be visible when you move the cursor to the photo placeholder. It should reveal for example: Ysa (ID: 000)

c) Write the student ID and repeat for each child if applicable.

STEP 2: Go to www.payforit.net and click on Sign up for an Account

STEP 3: Create New Guardian Account This is the parent/legal guardian's information so be sure to use YOUR name, NOT your child's. a) Complete the information on the Create New Guardian Account screen. Using the pull down menu select and b) fill as follows: Select State: Puerto Rico District: PR- Baldwin School Fill in the remaining contact information State: Puerto Rico

Click NEXT IMPORTANT The system will ask for payment method information in order to set up the account. However, you will not be charged any fees unless you choose to make deposits through the system. Otherwise, all management tools and monitoring features are free of charge.

Step 5 – Enter Payment Method Information a) PayForIt.net accepts Credit Cards or ACH Check Processing, which is a direct debit to your bank account as payment methods b) Even though creating and using to manage and monitor an account is free of charge, if you choose to make any payments through the website, each method has a convenience transaction fee. i. If you choose ACH Check Processing payment, there is a convenience fee of $1.75 per transaction (regardless of the amount of money you choose to deposit). ii. If you choose to pay with a credit card, there is a convenience fee of 3.9% per transaction. c) Once you choose a payment method, the screen will display the information you need to provide. d) The screen below is for the ACH Check Processing set up.

e) The screen below is for the Credit card set up. i. If opting to enter more than one credit card the Nickname field may be useful to differentiate between the different cards (i.e. Mom’s Visa vs. Dad’s Visa). After entering credit card information in this step, PayForIt.net will not display your full credit card information anywhere on the site. For security purposes, it will only display your nicknames during the transaction process.

Click NEXT once the credit/debit card or ACH information has been entered.

Step 5 – Complete the User Information; Email Address, Login, and Password a) Set up user information. This includes providing a valid email address, a username and a password for the account. i. When this information is complete, press the Create Account button to complete the process.

Once you have pressed the Create Account button the following screen will appear

Step 6 – Activate Your Account Wait for the email confirmation to receive your activation code. The email will look like the one below and includes the activation steps.

Follow the activation steps and proceed to register your children.

Step 7 – Add Student To add a student to your account from the homepage, put your mouse over the tab Add/View Students. A drop down menu will pop up, then click on Add Student.

Select Baldwin School and fill out the information needed. Use the Student ID number that you found in the Veracross Parent Portal as indicated in Step 1 of this guide.

Click on Register. Repeat for as many students as necessary to add in the account. Remember Cafeteria Accounts run on an individual basis, so each patron must have his/her own account.

Step 8 – Set up your email alerts Go to My account and on the pull down menu click on MY EMAIL OPTIONS. We highly recommend that you choose: Low Lunch Balance of no less than $50.00 for each account. We also recommend that you choose to receive a statement via email of your balance as well as the monthly statement for more control and management of the consumption details of each account.

Click Update. If you wish to make payments through this site, continue to the next step. Otherwise, you are all set to use all the features of your new cafeteria account free of charge. For those patrons making Advance Check Deposits: 1) All checks must be made payable to Aliveschool™ 2) Deposits can be made at the cafeteria with a designated Aliveschool Team member. 3) The minimum deposit requirements are as follows: a) Student accounts: $100.00 and increments of $50.00 in excess thereof b) School faculty, staff and administrators accounts : $50.00 4) There will be a $15.00 service charge for insufficient funds. Please be aware that Aliveschool™ has a strict policy of not accepting charges to accounts that reflect a negative balance. So take advantage of all these features and fully control, manage and monitor your accounts. Step 9 – Make Payment through the website Go to the LUNCH tab in the drop down menu and select MAKE LUNCH PAYMENT

Select the student and proceed to make payment with the selected payment method in Step 5. Click Create Transaction. And follow the necessary steps for completion. Please take a moment and review the AUTO-REPLISHMENT feature and decide if this option is useful for you.
