The handbook includes important information about all facets of our organization including, but not limited to; organizational structure, important dates, participation, and uniform information. ORGANIZATIONAL STRUCTURE AND FUNCTIONS Officers (A.K.A. Executive Board) The officers of this organization shall be President, First Vice-President, Second Vice-President, Secretary and Treasurer. They shall hold office for two (2) years or until a successor is elected. Trustees The number of Trustees shall be limited to seventeen (17). Trustees will be elected by the membership to two (2) year terms, except for the seven (7) trustee positions filled by head coaches which are voted on by the Board in January and February annually. The trustees shall be responsible to implement the By-Laws, to carry out the directives of the Board, officers and/or membership, and to assume chairmanship of and carry out the duties of the particular committee that is assigned to his/her trustee position. Each trustee shall appoint as many individuals as necessary to operate their segment of the organization, unless stated otherwise in the By-Laws (e.g. Head Coaches). The terms of the President, 2nd Vice-President and Trustees 2, 4, 6, 8 & 16 expire in even numbered years. Officer positions of the 1st Vice President, Secretary, Treasurer and Trustees 1, 3, 5, 7, 15 & 17 expire in odd numbered years. Trustees 9-14, and 17 are designated head coaches and their respective positions are appointed by majority vote of the Board. Once elected, coaches may keep their position with a majority vote of the Board in November. Board Meetings Canfield Little Cardinals (CLC) Board meetings are held the 1st Wednesday of each month. The meetings are for the Board Officers, Trustees, League Representative, & Head Coaches. All Board Members, as well as appointees, must abide by the CLC By-Laws. A copy of the approved By-Laws are posted at www.canfieldlittlecardinals.com or may be obtained via a written request to the CLC address above, ATTN: BY-LAWS League Meetings A Football League Representative, who is appointed to the Board annually, will attend all League meetings. League meetings are held the 1st Wednesday of each month. Cheerleading meetings are scheduled as needed (NOTE: The Varsity Cheer Coach will represent the CLC at all cheerleading meetings). The CLC must abide by the Y.A.C. league rules and By-Laws. J.V GAME SCHEDULE: The 100# squad may play their JV game prior to or immediately following the 100# and 120# Varsity Games on Saturday/Sunday. The 140# games will be held during the week at 5:30pm/6:00pm. (Possible exception of Warren and Steubenville). Some of the J.V. Games are still being scheduled by the teams & Y.A.C. (Please check the website for the most up to date information regarding game times!) The location of JV games is usually the opposite of the varsity games and begin at either 5:30pm or 6:00pm. All J.V. home games will be held at CVMS. GAME DAY EXPECTATIONS Arrival FOOTBALL PLAYERS are to arrive approximately 1-¼ hours prior to the starting time of the game. CHEERLEADERS are to arrive 30 minutes prior to starting time of game. All participants are to report to his or her respective coach for attendance/sign-in and be ready to begin warm-ups. If a participant will be late, his or her coach must be notified prior to game day. Preparation All participants should arrive at each game with all equipment and a water bottle. They should arrive prepared for inclement weather when applicable. Post Game Following each home and away game coaches will advise participants when they may go to the concession stand for their game treat. Parents and participants are kindly reminded to please help keep all fields clean by disposing of trash properly prior to leaving the game. We are confident CLC participants and CLC parents do not need to be told how to dispose of trash. Parents/Siblings/Friends During all games and practices, CLC requires all spectators to remain in the stands and off the playing field. Our Coaches thank you in advance for your cooperation in this matter. Parking at Practice Field For the safety of all our children no parking will be permitted inside the fenced-in area of the football field or in the drop off point (fire -5-
lane). Please park in the front of the Middle School. Only Board members and head coaches are permitted to park inside the fenced area. Please note: Per city ordinance, parking is not and will not be permitted on Edwards Street. RULES AND REGULATIONS FOR PARTICIPANTS
At registration, participants and parents/guardians were provided with a copy of Rules and Regulations for this season. Parents were required to read the same and sign an agreement to follow the rules and regulations provided. The following information is the same information that was provided at registration: I. General 1. All football players and cheerleaders must attend all practices, J.V. games, and Varsity Games. Practice begins on Monday, July 6. Football practice will be held Monday through Friday from 6:00pm to 8:00pm. Cheerleading practices begins Monday, July 27t at CVMS and will be held Monday through Thursday from 6:00pm to 8:00pm. These practice times will be standard through the first scheduled game. Changes to the schedule may be made at the Coach’s discretion (Saturday Practice, Short Practice etc.) 2. After the commencement of the regular football season, football practice will be Monday through Thursday from 5:30pm to 7:00pm. After school starts, Cheerleading practice will be held every Thursday from 5:30pm to 7:00pm to keep participants familiarized with the cheers, half-time routine performances, and notify parents of any changes to the game schedule or any other special notices/ updates. Thursday is an all participant practice day. Changes to the schedule may be made at the Coach’s discretion (Saturday Practice, Short Practice etc.) 3. Varsity Games are scheduled on Saturdays or Sundays. The games are a little over one (1) hour in length. The 100# squad plays at 12:00pm. The 120# squad plays at approximately 1:00pm and the 140# squad plays at approximately 2:00pm.

4. The 100# and 120# squads may play their JV games immediately following the 100#and 120# Varsity Games on Saturday/Sunday. The 120# & 140# games will be held during the week at 5:30pm/6:00pm. Cheerleaders are required to attend all home and JV games, including games played immediately following the Varsity games on Sunday. Some of the J.V. Games are still being scheduled by the teams & Y.A.C. (Please check the website for the most up to date information regarding game times!) All games are approximately one to one and one-half hour in length. II. Practice Attendance All participants must attend all practices unless an excused absence is obtained prior to that practice. If you believe you will be late to a practice due to prior obligations, please speak to your coach. We are aware that soccer, baseball and swimming practice can sometimes overlap ours. Coaches will make every effort to accommodate prior scheduling so children can attempt to attend all activities. Please refer to the attendance portion of this handbook for additional information. 1. Only one excused absence is permitted per week. A participant may be excused for health reasons, other activities in which he or she is involved, or for family reasons if the participant’s coach is notified prior to the practice and the absence is approved by the coach. 2. A participant will be granted an excused absence for a family vacation with advance notice to the coach. 3. It is the responsibility of the participant to catch up on any material or instruction missed due to any absences. 4. Every two (2) unexcused absences will be considered an offense. The first two (2) unexcused absences will be considered a First Offense; the second two (2) un-excused absences will be considered a Second Offense, and the third two (2) unexcused absences will be considered a Third Offense. Please see Section IV for penalties.

All CLC participants are required to attend all Varsity and J.V. games unless an excused absence is obtained from the participant’s coach prior to the game. A participant will only be permitted one excused absence from a Varsity or J.V. game per year. Exceptions may be made for personal illness with a medical excuse or documentation. No participant will be excused from the last regularly scheduled game of the season without medical documentation. Please see Section IV for penalties. A participant may be excused for a personal illness, family, or personal matters with a coach’s approval upon providing sufficient documentation to the participant’s coach. The first unexcused absence from a Varsity or J.V. game will be considered a First Offense; The second unexcused absence from a Varsity or J.V. will be considered a Second Offense; The third unexcused absence from a Varsity or J.V. game will be considered a Third Offense. Please see Section IV for penalties. IV. Unexcused Absence Penalties

MEDICAL CARE Parents are responsible for completing a medical form and informing the Manager/Coach of any medical condition the participant may have. Parents are responsible to keep this form current by updating the form as needed. Because CLC does not require a physical by a physician prior to participation, the organization relies upon the parents to provide all necessary pertinent medical information. Please keep in mind that conditions such as allergies to bee stings, heart conditions, asthma, fainting spells, and seizures can be very important. Any and all emergencies will be handled by calling 911 and/or the Fire Department. If a parent is unavailable or cannot be reached, the Coach will make all decisions in a minor injury situation. The Coach will inform the parent of any incident. It is imperative your child knows how to reach his or her parent and/or guardian in the event of an emergency! Medical coverage is included in your registration. The policy will help cover any portion of emergency medical expenses not covered by your health insurance. Information regarding coverage may be requested by submitting a written request to the CLC address listed above on Page 1.
UNIFORMS and EQUIPMENT Uniforms are, and remain, the property of the Canfield Little Cardinals. All uniform questions should be directed to the Equipment Director. COACHES ARE NOT RESPONSIBLE FOR THE CARE, FIT, DISTRIBUTION, REPLACEMENT AND RETURN OF YOUR UNIFORM! Equipment Deposit and Refunds A deposit of $25.00 was required at registration. The date(s) of uniform return will be announced. Refunds will be given upon return of your clean and undamaged uniform. A deposit will be refunded, in the form of a CLC check made payable to the person returning a uniform. -9-
Equipment deposit may not be refunded if any of the following are applicable: Equipment is returned dirty Equipment is returned damaged or destroyed. You will be required to pay for all damaged or destroyed equipment at replacement cost. Equipment is not returned on the scheduled date. If you are unavailable on the scheduled date, arrangements must be made in advance with the Equipment Director to return equipment at another time. If the Equipment Director must come to your home after the season closes to retrieve any portion of the uniform. Equipment returns will not be accepted at the annual banquet. If any or all of the uniform is not returned clean and undamaged, you may be billed for the approximate value of the uniform. The approximate value of a football uniform is $380.00. The approximate value of a cheerleading uniform is $110. Any outstanding equipment or monies owed to CLC not turned in by the end of the year will result in forfeiture of the equipment deposit. Equipment deposits that are not refunded will be reviewed on a case by case basis by the CLC Board. After review, a decision will be issued by the Board and the participant and parent/guardian will be notified. As all uniforms are property of CLC and all decisions regarding uniforms will be made by the Board. Football Uniforms and Equipment Equipment handout is scheduled during the first week of practice and will be at the CLC equipment shed at Canfield High School. Your coach will inform you of the specific time for your equipment handout. Per the Youngstown Athletic Conference, each football player is required to wear molded plastic cleats only. Proper Care of Football Uniforms and Equipment GAME SHIRT and PANTS-Wash in cold water/ gentle cycle. NO fabric softener! Line Dry. DO NOT machine dry!! These items have been treated with a stain resistant chemical that will be damaged by the heat of the dryer.

CHIN STRAP, ELBOW PADS, and GIRDLES – Machine wash with whites only. Line dry. DO NOT machine dry!! Chin strap should be periodically washed in Clorox for sanitary reasons. The girdles may be washed with pads in. RIB VEST - Wipe clean with damp cloth. SHOULDER PADS - Wipe down with damp cloth. Should the shoulder pads get extremely muddy, they may be taken apart and washed. HELMETS - Wipe clean with a damp cloth or wet sponge, if needed. DO NOT use harsh chemicals or abrasives. Take special precautions when cleaning the helmet to preserve the Cardinal decal. For sanitary reasons, the helmet should be cleaned inside and out, including chin strap, pads, and mouthpiece. HIP, TAILBONE, THIGH AND KNEE PADS - Wash with a damp cloth if necessary.
Cheerleading Uniforms Uniforms will be distributed during the Uniform fittings on May 17th and July 19th. You will need to register online prior to fittings. In the event you believe a special size may be required, please see your Head Cheerleading Coach. Uniforms will be fitted as best as possible. If alterations are absolutely necessary, you MUST get approval from the Cheerleading League Representative prior to having ANY alterations. In the event approved alterations are made to the uniform, the uniform MUST be returned to its original condition at the end of the season prior to its return. The first week of Cheerleading practice will begin on Monday, July 27th. Your coach will give you specific times or you may check our website for the most up to date information.
Proper Care of Cheerleading Uniforms Hand wash or machine wash gentle cycle in cold water. Use mild detergent. DO NOT bleach. Tumble dry on the lowest setting in the dryer, removing garments promptly to prevent wrinkling and shrinkage. If necessary, use a warm iron with care to touch up wrinkles or to flatten pleats.

VOLUNTEERS and PARENT PARTICIPATION CLC is requesting parents get involved and donate a small amount of time. While CLC realizes that parents have already invested a great deal of time by taking their child(ren) to practices and games, it is imperative to our organization that parents volunteer to help during games. CLC needs parents, siblings, and/or friends to lend a hand for Field Set Up, 50/50 Raffle and Gate Work, Chain Crew, Announcements, Spotting, and Concession Stand. At least one parent from each family is required to donate their time for two games in one of the aforementioned positions. In order to secure an appropriate spot on a date that will accommodate their schedule, parents were asked to sign up or you will be contacted by the Home Game Chairperson to setup your scheduled time. The Home Game Business Director will contact you prior to your scheduled volunteer date. Unless we are notified prior to game day, failure to complete a scheduled volunteer assignment may lead to forfeiture of the equipment deposit. PROGRAMS CLC will publish a program for the 2015 season which will be sold at all home games. We encourage local businesses to advertise in the program. Furthermore, we invite and encourage parents, grandparents, siblings, and friends to place personal ads for participants. Please check with your friends and family as they may wish to place an ad to send a special note to a special participant. The program will have a group picture of all participants. An individual photo of any participant may be placed in the program in the form of an ad for an additional fee on picture day. Please note: Only digital photos from picture day will be accepted for the program ads. Questions regarding the program should be directed to First Vice-President. All ad money is due at the time group and individual pictures are taken. All money should be turned into the participant’s coach along with the advertisement form found on Page 21 prior to photos being taken. Please see the calendar for picture dates and times.

WEATHER According to the Y.A.C. league rules, the football team is required to play until the referee calls the game. If the CLC is informed a game has been cancelled or will be cancelled, coaches will make every effort to get the information to participants as quickly as possible. FUNDRAISERS CLC will conduct several fundraisers during the season. Profits from all fundraisers will help defer CLC organizational expenses (i.e. uniforms, league insurance, referees, etc.) We hope to make these endeavors profitable for the organization in order to pass on those financial benefits to the participants. CHEERLEADING COMPETITION The 2015 Y.A.C. Cheerleading Competition will be held at Fitch High School on Saturday, October 24 th (Time TBA – check the CLC Web for the latest information). The Y.A.C. Cheer competition is not mandatory. There are no tryouts permitted. Information will be distributed the first week of practice. SENIOR GAME The Senior Game will be on Sunday, October 3rd 2010. All senior #140 Football players and Varsity Cheerleaders will be introduced. All seniors will be required to arrive earlier for the game for the purpose of organization. If you are interested in participating on the planning committee, please contact the Second Vice President.
