Clubmark: Frequently Asked Questions Can any club take part? Yes, Clubmark is open to all affiliated hockey clubs. That said, Clubmark is very much geared toward the youth section of hockey clubs. As a result we recommend Clubmark to clubs with either a girls or boys youth section (or both). How does my club achieve Clubmark? The process for achieving Clubmark is outlined below:

1. Register your club online • Complete your registration form and pay the registration fee (€75) • Submit your Clubmark Basics (see below for list of Clubmark Basics) 2. Attend Clubmark workshops • 3 workshops running throughout the season • Starting in October /November 2015 3. Complete your Clubmark Portfolio • Work towards, complete and submit Clubmark Portfolio (see below for more on Clubmark Portfolio) 4. Complete Club Visit • Book and pay for your assessment (€75) • A Clubmark Asessor will come out to visit your club

How long does it take to complete Clubmark? This will be different for every club depending on the stage your club is currently at and how quickly your club can complete the Club Portfolio and Club Visit. As a rough guide, it is advised for clubs to consider taking at least 12 months to complete Clubmark. Hockey Ireland runs 3 workshops running throughout the season to help you complete the process. What support is available to complete Clubmark? Whilst the club is ultimately responsible for completing Clubmark, there is help and assistance along the way. This takes the form of workshops which your clubs attends. These workshops are delivered by your Hockey Ireland Regional Development Manager (RDM). As a result the workshops are a great opportunity to come together with your Development Manager as well as other clubs in your locality. There are lots of resources also made available that your club can use as you see fit.

Is my club ready to complete Clubmark? It is recognised that every club has different needs. The club development resources provided can be tailored by clubs through selecting items that will support and enhance their current practices and future development. By registering for Clubmark, clubs demonstrate that they are aspiring to provide quality standards in order to meet a nation al benchmark for high quality club hockey. Gaining an award makes a clear statement about the quality of the club’s practices. The only requirement we have from all clubs is that they have their ‘Clubmark Basics’ in place. My club loves the idea of completing Clubmark but we’re concerned we may not be ready. What should we do? Talk to your Development Manager! We recognise that clubs are unique and face a wide range of challenges and opportunities. If you’re worried that your club is not ready for Clubmark, pick up the phone and speak to your Development Manager for their advice. It may be the case that your Development Manager can provide guidance on areas to concentrate on for the coming 12 months and that you then begin the Clubmark process next year. What are ‘Clubmark Basics’ and how do I submit them? Each club is required to submit a Clubmark Registration Form to Hockey Ireland. There are a few basic requirements your club must complete as part of this registration process. Proof of these must be submitted to your Development Manager via email or post before attending workshops.     

My club volunteers already have a heavy workload, how can we take on Clubmark? Completing Clubmark takes dedication and commitment so definitely consider how your club can take on the additional workload. Our advice is to pull together a group of Clubmark Reps (possibly getting new volunteers involved). Your Clubmark Reps are going to be the main drivers of Clubmark in your club. We advise that these people represent different aspects of the club and are people who are willing to delegate tasks amongst club members / committee members. We advise that at least 2 Clubmark Reps members attend each workshop. It will be the responsibility of the Clubmark Reps to bring any information back to their club committee.

What are Club Workshops and what do they involve? Our club workshops aim to help your club through the process of achieving Clubmark. They are around 1.5 hours in length and cover the 3 main areas of Clubmark. The workshops are informative, interactive and allow for quality contact time with your Regional Development Officer. Main topics covered are below:   

Sustainable Club Structures HookedforLife – Developing Young People through Hockey Creating a Safe Environment

These topics will form the basis for your club portfolio and the club visit. What is a Club Portfolio? Your portfolio contains copies of club processes, policies and procedures and is required prior to your club visit. Your club portfolio is your working document for your club to use going forward. Once complete, your portfolio is given to your RDM for review prior to the club assessment taking place. How do I complete my Club Visit? Your club visit can take place at any time after completion of your workshops and portfolio. For the club visit, an assessor visits the club to observe a youth coaching session, meets some of your club members and to talks about how your club portfolio is being put into practice on a day to day basis. For example, your club portfolio seeks a copy of the Accident Report Form that is used by coaches if a player is injured. The club visit looks at how that form is being used, seeks proof that it’s been put into use, coaches know about it etc. What happens after your club visit? Following the club visit, Clubmark will either be awarded, or the awarding of Clubmark may be deferred. The decision will be made and communicated to the club within 2 weeks of the Club Visit.

Clubmark – make your club the best it can be If the club is awarded Clubmark, they will receive their Clubmark prizes and the club will have use of the Hockey Ireland Clubmark logo. What is included in the Sustainable Club Structures section? This section looks at processes and policies that the club needs to ensure that it’s strong and sustainable. It includes finance, club development and communicating with members amongst others. What is included in the HookedforLife – Developing Young People Through Hockey section? The aim of HookedforLife is to recruit, capture, develop and retain players for life whilst maximizing their potential. The model is player centred with a view to providing a pathway in which a fun and enjoyable game is delivered through quality coaching. This section of Clubmark is all about keeping players by having the best coaching structure possible as well as having the right competition structure in place. What is included in the Creating a Safe Environment section? Implementing Code of Ethics at club level can seem like a daunting task! This section of Clubmark focuses on the critical components of the Code of Ethics and offers clubs a simple structure to make sure that all Code of Ethics requirements are being met. This section also looks at upcoming legislation and how the club can meet its legal obligations. Can I attend the workshops without completing Clubmark? Yes, you can. The registration fee of €75 is required. Simply let your Regional Development Manager know in advance of the workshops beginning.
