CMFA BOARD MEETING MINUTES ATTENDEES

SEPTEMBER 27, 2016

7:00 PM

7:02 pm Bill B called meeting to order Agenda topics – Special Meeting called to discuss Amalgamation with Twin Cities DISCUSSION

President’s Report – Bill B

-Discussions to unite Twin Cities and Cambridge Minor Football into one club -Met last week with their President -Will need both Board and AGM approval to amalgamate -Bill B opinion is good thing to market together, good for FB Canada and to increase kids playing FB -Coined as Waterloo Regional Football Alliance (WRFA), equal partners and all a party to this new organization -Decided best course of action is a new entity –reps from each association that would work together to further develop over the course of next two years to phase in -Phase 1 - Next year start with Winter/Skills Camps series together – invite to both camps this year, run high school all-star game together and Spring House League integrated (some variation of teams – CFL/Universities , 4 teams practice/play out of Cambridge – JHSC and other 4 out of Cameron Heights, based on population interest) as first initiative together -Three areas – KW/Elmira etc. North, Hespeler/Deer Ridge/Doon Flex, South of 401 Cambridge – Blair, Ayr, South Galt South team South – JHSC,, North Cameron Heights, Flex will be dispersed between the two -Flag FB for winter similar set up to spring -Phase 2 – OPFL new league 2017 WRFA would get a spot in OPFL and participate in all tiers, this is a regional league -Details will be worked out by joint committee and once two AGMs adopt the idea -Ask is – should we move forward with this idea of WRFA? -We do require approval from league -Not new idea, other leagues have done this – York and Markham -Potentially could have 1200 kids, fall they have a few more kids (60 kids) Summer way bigger and Spring a bit bigger in Camb ridge – 60-40 split, budget smaller in KW and expenses greater in KW, fees higher -All these types of things would need to be worked out for WRFA -There are also lots of opportunities – combined Marketing opportunities, equipment savings/buying power, a lot of strengths within the organization, University support, etc. -Will improve inner workings of association too -Potential to be next step forward -600-1200 participants can you run it in an effective manner and maximize the group potential ?, need people to step up and set structure in place -Possible idea – create rep league as one combined league and keep lower levels within organizations (atom and pw still T/C and Lions) Major and Minor -Funding may be an issue with this idea -Potential to be great for lower levels – more kids playing fb, introducing sport to new kids, may allow us to grow -T/C has approved to move forward -Are people truly supporting this idea? This integration has to be positive philosophy. -What will happen if AGM rejects this idea? -What will happen if we don’t decide to do this? FB competitive perspective, need the best from the region, we currently get 70% of best, development of fb to the kids learning fb -Cyclical depending on group of kids – is our goal to be most competitive or to more kids playing football? -Our philosophy is to get more kids playing sport of football in our community -We’ve grown this business and are in a good spot, is it necessary to start a new entity? -A concern is what this looks like? Difficult to manage from an organizational structure perspective because it will be double the population and work -Risk is no continuity with two groups unless we stay the course it could become difficult, need commitment -Are we willing to explore this moving forward – is this viable? Can we work together? -Concern with spring divisions not being grassroots but location and travel are concern and splitting teams up by skills -Joint club 2017 and 2018 new club -Process – 4-8 people as Regional board to come up with unified solution to build new organization and eventually become one but over 3 years build together while keeping two organizations until we are ready to be together -if we ratify tonight, determine 2-4 reps from each organization to explore further and investigate a merger as WRFA -Suggest President, VP, Treasurer on the committee from both organizations- keep it small

CONCLUSIONS

Steve motions to have Board approve establishment of joint committee equally represented by Cambridge and Twin Cities as the Waterloo Regional Football Alliance in order to explore, plan and report back to both respective Boards on the viability of merger between the two associations. Brad F seconds the motion 8 in favour 1 no – concern with establishing committee Tasha motions to have Bill B, Tracy and Steve represent CMFA on the WRFA committee. Tyson seconds the motion All in favour, unanimous Therefore, we will participate in WRFA committee with noted representatives to move forward.
