Creating Labels There are two ways to export data from Realist Tax. Users may wish to do this to aid in their marketing efforts. The “Create Labels” option offers the ability to print address labels directly from Realist, where the “Export” feature stores the addresses in an Excel spreadsheet to later use the data for labels, mail merges, personal databases or marketing research. Follow the steps below:
1. From the Realist home page, perform your search. Use the “Edit Attributes” button to add any additional fields you may need. Be sure to click “Search.”
2. Once the results grid populates,
there are two options at the bottom for exporting - Create Labels and Export.
CREATE LABELS: 1. Create Labels gives you several options, and allows for the choice of Avery Label types 5160, 5161, and 5162, with 5160 being the most common. Below the label selection, you can begin customizing your labels. The first set of options allows for the use of mixed case or all capital letters. The next set of options are broken into two categories, “Use Tax Billing Address” and “Use Property Address”. Tax Billing Address - Use this section if you would like to create labels where the addressee’s tax bill goes. This is helpful for potential rental properties. Check the Create Custom Label box to type something generic such as “Current Resident”. Property Address - Use this section to create labels for the property addresses. This is useful if you know that the owners reside in their property. Custom labels can also be typed, same as with the Tax Billing Address section. Choose to export all of the data that populated in your search, or choose a range of results to export. Consider exporting the first three results to make sure the labels appear the way you would like them to. Note: Every user is allowed a maximum of 5,000 exports for the month. This includes mailing labels and spreadsheet exports. The number of exports used for the current month, and the number of exports populated in your search will display.
2. Click “Create” and save the file. When the labels are
exported, they are saved as a “.rtf” file. This file is compatible with Microsoft Word. Once opened in Word, the file will be ready to print. 1
EXPORT: 1. To export the data for use in a spreadsheet, click “Export.” The two options for exporting are Grid and Customize. The Grid option exports the information directly from the results grid. Choose Customize to select specific fields to export to your spreadsheet.
2. If the Customize option is chosen, a new window
will appear. There are up to 113 attributes you can select (check mark) from the Custom Export list. You can also drag and drop to adjust the order of selected attributes. If you wish to save your own custom list for future use, click the “Save Export” button after you have created the list. Otherwise, click the “Export” button. There are two presets available, Property Address Export and Mailing Address Export. The Property Address Export will output the property addresses. When using the Mailing Address Export, the Tax Billing Addresses will be used. Choose the appropriate option by clicking “Load”. Once you have selected the list of options you wish to use, click “Export.” Note: This screen displays the total amount of exports allowed in one month as well as how many exports were used in that month.
3. The file will export as a “.csv” file. This can be opened with spreadsheet programs such as Microsoft Excel, Microsoft Works, OpenOffice, WordPerfect Office and many others. In most cases, the file will open automatically.
