Club Constitution of Jimmy Carter Early College High School

ARTICLE I: NAME, PURPOSE, AND CLASSIFICATION Section 1. The name of this organization shall be the Jimmy Carter Early College High School AVID Club, also referred to as the AVID Club. Section 2. The purpose of this organization is to raise funds for an end of the year field-trip, provide opportunities for community service, and learn more about the college admission process.

ARTICLE II: AVID CLUB MEMBERSHIP Section 1. A club member must be a student of Jimmy Carter Early College High School. Section 2. Membership to the AVID Club is free. No dues are required. A member must attend meetings and participate in fundraising activities. Membership will continue until a member verbally or by written notice tells the AVID Club President that he or she no longer wishes to be a Member.

ARTICLE III: AVID CLUB OFFICERS Section 1. The officers of the Jimmy Carter AVID Club shall be President, Vice President, Secretary, Treasurer, and Historian, and Social Chair.

Section 2. The President will be responsible for any dealings with the Jimmy Carter Early College High School administration, as well as the community at large. Additionally, the President shall be responsible for running weekly meetings, and in all other ways, ensuring the smooth functioning of the club. In order to overrule the president, all officers or just the club advisor can vote against him/her. Section 3. The Vice President shall be responsible for a yearly constitutional review. The Vice President is also responsible for aiding the President in ensuring the smooth functioning of the club. If the President is temporarily unable of fulfilling his or her responsibilities, the Vice President shall assume the responsibilities of the President as needed, until the President can assume his or her role. Section 4. The Treasurer shall be responsible for managing club funds. The Treasurer will be concurrently responsible with the President for running any events that make the use of club funds. Section 5. The Historian oversees taking photos at events as well as keeping a catalog of photos and organizing them by event. The Historian is also part of executive decisions made by the officers. Section 6. The Secretary oversees the records of meetings that take place with the AVID Club, as well as events that the AVID Club participates in. Section 7. The Social Chair is responsible for all outside of school activities for the club, This officer is in charge of getting in contact with local community members. Section 8. Officers are required to be present at the mandatory meetings unless officers give a written or verbal notice to the President and/or Vice President. If an officer does not notify the President and/or Vice President and accumulates three (3) unexcused absences, the officer will be subject to impeachment. A simple majority of remaining officers will be sufficient to remove the officer from office. In case of a tie, the Advisor will serve as tie breaker.

ARTICLE IV: MEETINGS AND PROCEDURES Section 1. The Jimmy Carter AVID Club shall hold meetings on Wednesdays during lunch at a designated room location. It is mandatory for all elected officers and AVID Club Members to attend the Wednesday meetings unless the officer and/or Member has notified either verbally or in writing the President or Vice President. Any Member who skips three (3) mandatory Wednesday meetings without notification to the President or Vice President will be subject to removal.

Section 2. The AVID Club Advisor shall advise the AVID Club Members and Club Officers on school objectives and regulations. At the Advisor’s personal discretion, the Advisor can overrule any AVID Club decision if the decision does not conform to district, school, and administration policy. The Advisor will aid the AVID Club by helping Members have a designated space to screen their selected programming. In case of a tie for officer elections, officer decisions, or general assembly voting, the Advisor will serve as tie breaker. Additionally, the Advisor will aid Club Officers with all matters pertaining to money, fundraising, local trips, and chaperoning for school-sponsored events.

ARTICLE V: VOTING PROCEDURES AND ELECTIONS Section 1. Officer elections will be held the last week of April for all AVID Club offices. In the case of a tie, there will be a run-off election. If the tie persists, the Advisor will serve as tie breaker. Also the candidates for the positions will be free to any member that wants to participate in it. Section 2. The office of the President must be filled by a Member who has been in the AVID Club for at least the previous year prior to running. No new AVID Club Member can hold the office of the President. Section 3. In the event of a vacancy or resignation, the remaining officers will appoint through a majority decision a new officer to take the vacancy. In case of a tie, the AVID Club Advisor will serve as tie breaker.

ARTICLE VI: LIABILITY WAIVER Section 1. Jimmy Carter Early College High School will not be held responsible in the event of an injury or damage to any person or personal property as the result of an organization-sponsored activity.
