St. Philip’s Publicity / Event Guide Planning a Parish event? Have some news you want people to know about? Communication is important. It’s also more detailed than most realize. FIRST, consider these questions:
WHAT is the event? Is it just for our parish? Or even just for certain members of the parish? …..for all Episcopalians? …..for general public?
WHO is holding the event? Which group/committee is in charge of the event? Who is the main contact person (who to call w/ questions, etc.)? info for this person (including phone number, email)
WHEN is the event? Aside from the event itself, are there any other dates that need to be considered (like planning meetings, or set-up times, such as the two days leading up the rummage sale, which will need to be blocked off on the facility calendar)
WHERE is the event to be held? And where are any planning meetings, etc. to be held?
WHY is the event being held? For example, is it a fundraiser for a certain ministry/committee/group?
ONCE those questions are answered, you’re ready to get the word out (the HOW). Some important things to remember: The more advance notice the church has, the better it will be for your event! First, contact the Parish Administrator Mrs. Lisa Estes-Dorrell for every event, big or small (even if it’s just 5 people for a meeting.) Be ready with information (from questions above):
Who needs to get the information about the event? And how? Should it go in the Parish News? (church office needs at one week’s notice) .....in the monthly newsletter (deadline is on the 15th of each month before publication) ….via email to whole parish? Or just to certain groups? (at least ten days’ notice) ….on the website? (at least ten days’ notice, but more if possible for best results)
N.B. Urgent, unexpected announcements are obvious exceptions to the deadlines above Other things to consider:
With events for the general public, we need to get the information to local media at least one month before the date, preferably even six weeks in some cases. Contact the Parish Administrator for help with this. With most events, we’d like to take a photo for publicity (a simple photo of some people planning the event will usually suffice, though it’s great if we get some “action” shots, too!) [email protected] to schedule a time to have a photo taken, and keep in mind that he needs a good bit of lead time. Have you considered making a poster or flyers to post at church or even to have Friends distribute throughout town? (Office staff may be able to help with the production of these, as well.) Are there signs or banners that need to be placed out by Old Canton Road?
