Boardingware At A Glance.

2. Student icons & info explained. At a glance we can see the status of each student. We can see where they are as well as additional information like departure and return time.

Signed In

Student is on Watchlist. Student has upcoming leave.

House icon with a green arrow means that student is currently signed in house.

Student Location. “In House” if student is on school grounds.

Signed Out

Colored tab means student is signed out on leave. Color and Letter refers to the Type of leave the student is signed out on. For example ”Q” by default stands for “Quick Leave”.

Row goes darker gray when student is signed out.

Shows the destination and the time of departure or return time depending on your settings.

3. Main Menu. To open the main menu swipe across your screen from left to right. This menu gives you easy access to all the available features for the iPad application which will be covered in this guide.

Leave Settings.

1. Go to “Manage Leave”. Boardingware gives you the ability to customize your leave system to suit your needs. To customize your leave settings, go to the “Manage Leave” tab in the menu. This Page will allow you to set your default destinations and customize leave forms.

2. Adding Default Destinations. Tap on the “Destinations” tab at the top of the screen. This page will allow you to add default destinations which will automatically appear in destination drop down boxes. Default destinations may include locations that are used on a daily or regular basis, such as school, sports training, home, mall, etc...

Leave Settings.

3. Creating Custom Leave Forms. You can create multiple leave forms for different types of leave. For example: you might have “Casual Leave” which is only used for daily leave within the vicinity of the school grounds. Or you might have a leave type called “Week End Leave” which is only used for weekend and over night leave. You can have as many leave types as you need and customize the requirements for each of them.

Set a default leave type by selecting the leave and pressing the “Mark as default” button.

Leave Settings.

4. Customizing A Leave Form. When you create a new leave form you can set the information that is required for that leave type. This may include fields like destination, address, contact name, departure time, return time, etc. You can easily add required information to custom leave forms by activating the corresponding switch. The easy to use interface will let you create and edit leave requirements within minutes. You can edit an existing leave form at any time by double tapping it.

Display Color. Allow parents and/or students to apply. Send to parents to show their approval when student applies.

Signing Students In / Out.

1. Quick Leave. “Quick Leave” allows you to easily sign students in and out simply by holding down the student row. This will show a drop down box with your default destinations. Once you choose a destination, the boarder will be signed out to that destination. Notice that the row changes color and displays the leave details to the left. You can quickly sign a student back in by holding down their row and tapping “Sign In”.

2. Signing students out with custom leave types. To sign a student out using a custom leave type you created in the manage leave section, simply select the student or students then press the leave button at the bottom of the page. This will bring you to the sign out page.

3. Filling out Leave Form. Once your in the leave page, select the leave type you want to use, fill in the required information and press “Confirm” to sign the student / students out.

Kiosk Mode.

4. Student self sign in / out with Kiosk mode. Kiosk mode can be use to for students to sign themselves in and out from the iPad without being able to access any of the other features in the app. To use Kiosk mode tap the lock icon in the lower right corner of the main page, set a pin number and press confirm. To unlock Kiosk mode press the padlock icon again and re enter the pin you used to lock it. Be sure not to loose your pin number when you turn on Kiosk mode.

5. Choose to use pin codes. When you turn on Kiosk mode, you will be asked if you want to use pin codes. If you choose to use pin codes, then students will be asked to enter their own unique pin when they sign themselves in or out. This increases security as students will not be able to sign each other in and out. You can set a students pin from withing their profile under the “More Info” tab.

Upcoming Leave Page.

1. Upcoming leave page explained. If you schedule leave for a student in advance the leave details will be automatically added to your upcoming leave page. You can find the upcoming leave page in the menu. Students are organized by departure time so that students leaving soonest will be at the top of the page and students leaving the latest will be at the bottom of the page. To activate or cancel the leave hit the info icon and press either the check or cross button.

Pending Request Page.

1. Pending request page explained. The pending request page allows you to process leave request made by parents and students via their own Boardingware account. This page is organized like an email inbox where the newest request go to the top and the oldest request go to the bottom of the page. To view the leave request details simply press the blue info icon to the right and either approve or decline the request. This will automatically update the student’s status and your upcoming leave page. Note the colored icons represent various parental approval status which will help you decide whether or not to approve the leave.

Recording Pastoral Events.

1. Recording Pastoral Events. To record pastoral events in the Boardingware iPad App. Simply select a student by single tapping them and pressing the “Pastoral” button at the bottom of the page. This will show a pop up to categorize and record the event. Choose which category you want to use like “Medical”, “Merit”, “Discipline”, “Academic” or “General”. Fill in the incident, action and note, then press “Done” to save to the student profile.

1. Accessing Student Profiles. To access a student’s profile simply double tap their name from any page.

1. Pastoral History. Student profiles contain a complete history of pastoral records. This information is organized in a timeline format showing the date, category and details for each pastoral event. You can easily filter specific categories if you want to focus on certain events and search any point in time.

Student Profiles.

2. Leave History. The “Leave” tabs contains the entire leave history for that student. You can filter specific time frames and edit these records from this page.

3. Contacts. You can manage student contacts directly through a students profile under the “Contacts” page.

4. More Information. The “Overview” tab contains any additional information associated with that student such as Dietary requirements, Medical Information or any other Special Information.

Groups.

1. All groups page. With the groups feature you can segment your students into groups. These can be used for year groups, dorms, temporary groups etc. In the “All Groups” page you can edit your groups or select a group to manage by tapping on it. Notice that “Watchlist” is preloaded as a default group. You can also sign out an entire group on leave by selecting the group and pressing the leave button at the bottom.

Groups.

1. Creating groups. To create a group press the create group button in the main menu, select the students you want to include then press the “Create Group” button.

Roll Checks.

1. Taking a roll check. Boardingware allows you to do roll checks for your boarders. First go to the “Roll Check” tab in the main menu. Select the name of the roll you are using then select the group of boarders you would like to do the roll check for. By default you can choose from “All Students”, “In House” or “Watchlist” as well as any other groups you may have created.

1. Roll Check Page. When you go through to a roll page, simply check off students as you see them. Students who are on leave will be marked as signed out so you know who your not expecting to see. However if you were to see them you can simply mark them as present and they will be automatically signed in.

Meal Board.

1. Daily meal count. The “Meal Board” shows the number of meals you need to cater for each day. It’s organized by early, on time, late - breakfast, lunch and dinner. These numbers are automatically updated through your leave system as it accounts for students that will be signed out during meal times and counts any saved meals. You can also email this list directly to your kitchen staff by pressing the email button at the bottom of the screen.

Watchlist.

1. Adding to Watchlist. You can add a student to the Watchlist while recording a pastoral event simply by activating the “Add to Watchlist” switch on the pop up. You will be able to see that a student is on the Watchlist by the red exclamation icon next to their name.

2. Editing the Watchlist. Watchlist is a default group that is added to your account. The Watchlist allows you to monitor particular students, this may be for disciplinary, medical or any other reason. You can easily edit, remove or add students to the Watchlist from this page.
