To Whom It May Concern:

We are currently accepting applications for farmer’s market vendors at the 2016 Hampton Classic (August 28- September 4). Applications are due by June 15th. The Hampton Classic takes place on approximately 60 acres of property, more than 1,600 horses are exhibited, and attracts between 40-50,000 people throughout the week.

We are excited to bring the Farmer’s Market back to this year’s show -- bringing a new customer base to your local,

homegrown and homemade items. These spots can be booked by the day and consist of non-cooking, packaged, to-go farmer’s market type items, ex: fresh fruit, vegetables, flowers, pickles, granola, bread, baked goods, etc. Please note some changes we are making for 2016:   

The Farmer’s Market is moving to Stable Row, there will be room for 6 vendors daily We will provide tenting and tables (no electricity provided)

Fees are lower! $35 per day Monday - Thursday (August 29 - September 1) $50 per day Opening Sunday, Friday - Grand Prix Sunday (August 28, September 2-4)

Please return the enclosed application, filled out completely, along with a description of your items (fill out on the

back). Your deposit MUST be received by our office no later than 6/15/2016. If your application is accepted, this

deposit will be treated as a non-refundable deposit and applied to the total amount due. Deposits will not be charged or checks cashed until notification letters have been sent out in early July. If your application is NOT accepted, your

deposit will be fully refunded. The balance due is payable no later than August 1, 2016. Outstanding balances will be

due for cancellations after August 1st. Failure to pay in full by August 1, 2016 or failure to provide all required Suffolk Country Health Department permits, proof of insurance, and/or NYS Sales Tax Certificate of Authority after August 15th will result in cancellation of your space and forfeiture of your deposit.

RULES FOR THE HAMPTON CLASSIC FARMER’S MARKET: 1. Payment must be made in full by August 1st. 2. All vendors, without exception, must provide proof of general and product liability insurance of $1 million each. The Hampton Classic Horse Show Inc., 240 Snake Hollow Road, Bridgehampton, NY 11932 should be listed as an additional insured. A copy of the insurance certificate must be given to the Hampton Classic by August 15th 3. All vendors must adhere to all Suffolk County Health Department regulations with regards to food temperature, packaging, display and sampling. 4. All vendors must have a NYS Sales Tax Certificate on display at their table and a copy must be given to the Hampton Classic by August 15th. 5. All Hampton Classic Farmer’s Market spots are nontransferable. A complete list of items sold must be given to the Hampton Classic with final payment by August 1st. 6. Accepted vendors must represent the Hampton Classic in a courteous and professional manner. Please refrain from taking anything from the showgrounds or other vendors without asking. If the Hampton Classic receives complaints about a vendor, it will result in denial of vendor privileges in subsequent years. 7. All sellers are responsible for decorative elements such as tablecloth and signage. Stockade fencing will be behind each table for hanging. 8. The Hampton Classic will assign a location to each market vendor. 9. Sellers may arrive up to 1 hour prior to opening to begin setting up (8-9 am). Sales begin promptly at 9 am and end at 5 pm. Sellers must have their market sites dismantled, packed up, and cleaned within one hour of the closing time (by 6). 10. Delivery procedures and set up of your space will be sent upon acceptance to the market. 11. To provide customers with a continuous supply of product, sellers must remain set up until market closing, unless prior permission by the Hampton Classic is given, in accordance with weather conditions and product availability. 12. Each seller will be responsible for all equipment and supplies for the setup of a booth. Displays should be constructed in such a way that they do not block customer walkways nor pose any other hazard to customers. Fee entitles vendors to a 6’x30” table with space under and behind for storage. 13. Sellers are required to keep their market space neat and clear of obstacles, litter and debris. Sellers must clean their sales area and remove all refuse at the end of the day, including the common area. Ice must be disposed of away from the market area. 14. It is a fire hazard to smoke under any tented area. The Hampton Classic could be subject to fines by the Fire Marshall. Please make sure you, your staff, and your customers do not smoke in your area. 15. All vendors must comply with all food and beverage product exclusivity agreements entered into between Hampton Classic and it’s sponsors. You may not display or distribute any item or signage bearing a corporate name or logo other than your own logo, the Hampton Classic logo or logos of the Hampton Classic sponsors. This restriction includes apparel worn, caps, cups, napkins or umbrellas. 16. Absences from your assigned day means forfeiture of your payment for that day. 17. Please refrain from displaying signs or leaving brochures or other sales materials around the grounds. 18. All rules are expected to be adhered to by all vendors. If you send someone to work your space, please make sure they are aware of the above expectations. Repeated violations may result in suspension or expulsion from the market.
