HIGHAM SCHOOL PTA COMMITTEE MEETING 13th May 2016 MINUTES OF MEETING Present: Nova Molloy, Amy Grix, Michelle Norman, Clare Donnell, Michelle Brown Sarah Blair. Nova opened the meeting at 19.55.
1. Apologies for Absence and correspondence Brenda Cook, Shaun Walton, Nikki Longhurst, Hayley Halls, Kerri Howard, Emma Jenkins, Justine Brown and Zeycan Basch.
2. Minutes of last meeting/Matters Arising All agreed that these were a true and accurate report of the meeting. AP:
Sarah/Nova – Go speak to Brenda/Jenny regarding obtaining the class teachers a brief blurb on each pupil in their classes this year and previous years. Also, to request that they provide a yearbook handover for whoever is going to be taking it on next year.

ALL MEMBERS: If anyone is interesting in taking on the yearbook for next year, please make yourself known to Nova/Sarah.

Nova to confirm which first aiders we will have in attendance at Picnic in the Park. We will also need First Aid Point signs.
AP:
Nova to request the Batchelors’ email from Les to enquire about potentially using the field behind the school for parking. This is at the same time as discussing the Petting Zoo.

Michelle B to approach Dan regarding a membership prize for the Raffle.
Nova had two new keys cut for the PTA mailbox (in lieu of those lost). Members debated the idea of having another Quiz Night/party in October and allowing children to attend. We discussed the incident at the last disco where a child reacted to a glitter tattoo that was applied to his cheek. We agreed that any member/volunteer working on glitter tattoos should be advised not to apply to anywhere other than limbs. The child in question will attend the next disco free of charge. Members discussed themes vs none. All to ask their friends/class parents if their children enjoy having themed discos. It was suggested that perhaps School Council could gather this information and canvass their classmates for theme ideas.

4. Mini Meeting Feedback Mrs. Coombs agreed an annual ‘Book Week giveaway’ and is happy for the School Council to be involved in this. She agreed that if PTA would like to add any information to the school newsletter, that members can email the School Office with the required wording. Mrs. Coombs thought that a Juniors Easter Egg design challenge was a good idea and will think about when/where these could be judged and prizes awarded. The STOMP workshop proved to be a no-go for Year 6 so Mrs. Coombs/class teacher are looking into alternatives. Mrs. Coombs agreed to the PTA selling Father’s Day gifts on Monday 13 th June, with a potential of selling Father’s Day cupcakes on Thursday 16th (as it is Film Night on 17th). Nova presented Mrs. Coombs with a sign-up sheet for each class teacher to gather volunteers and a letter to encourage teachers to participate also. A sign-up form will be placed in the staffroom to secure helpers. Mrs. Coombs said that the budget bids were in and that she will be able to come to us with funding requests following their budget meeting (including a possible item to fund with Summer Fayre proceeds.
5. Upcoming Events Father Day Gifts: Emma Jenkins to manage volunteers and organise having a stall in the playgroup for some pick-ups during the week.
Film Night: We discussed having 4 films in 4 rooms again as that worked well. Suggested films were: Goosebumps, Snoopy, Capture the Flag, Space Dogs and maybe The Good Dinosaur for the younger ones. Members present voted to give away all 4 DVDs at the end of Film Night in a raffle. Quiz Night: Nova reported a £260 profit from the event. Shots went well, although we would charge £1 each next time. Clare will report this in the newsletter.
Summer Fayre (Picnic In the Park): Michelle confirmed that prizes were being received for the Fayre, to include Creams and Lola’s Cupcakes. At this point Michelle stated that following the Summer Fayre, she would like to step down as Raffle Coordinator.

ALL MEMBERS: If anyone is interesting in taking on the role of Raffle Coordinator, please make yourself known to Nova/Sarah. Michelle agreed to do a full handover.
Nova informed us that she had received £395 so far in private stalls and 3 sponsors for the event. AP:
Sarah Blair to confirm again with the Richtones that they are able to play at the Fayre.

Nova to look into buying PTA sashes for our future events.
Sarah told those present about the UK Garrison Star Wars volunteers who will be attending on the day. We plan to have a charge to meet the characters and then people can take their own photos.

Sarah Coupland /Keri J-H to speak to Eagles re them managing the ‘Beat The Goalie’ stall.

Kerri to speak to Joanne Raff about her having a stall at the Fayre and encouraging members of the Youth Club to help on the day. It was suggested that Joanne could have a stall selling crisps/popcorn/candy floss.
Discussed how vital it is to have a very large number of 1 Point prizes for the Fayre for the younger children particularly. These could include tattoos, bouncy balls, Haribo bags etc. Nikki Longhurst has a freezer that we can borrow for the Fayre.
Members present agreed to all help with a leaflet-drop for the Fayre around the village. AP:
Sarah to call AMF Bowling and discuss their proposed ideas for attending the Fayre.

Nikki to ask at Kickboxing whether they would be interested in doing a demonstration at the Fayre.
Those present discussed the idea of having a coffee morning to recruit new volunteers from Infants parents.
AP:
Amy to speak to June/the ladies at ‘Something to Do’ to see if we could use the small hall for this recruitment event, as they would then benefit from the parents purchasing their refreshments.
Members discussed providing tea/coffee at the Sports Day in June. Michelle B offered to do the Infant part and Nova offered to do Juniors. Those present agreed to paying the Butterflies £200 toward their class trip to Kent Life (after the event).

Kerri to ask Joanne Raff if we can borrow her walkie-talkies for the Fayre. We wouldn’t need a licence if they are shop-bought radios.

All members to request crockery, wellies and volunteers for the Fayre.
8. Any Other Business
The newsletter should include a message about the zigzags outside school, a request for crockery, socks and wellies, a shout-out to dads to set up marquees, profits from recent activity, recent spends and Quiz Night success. All agreed that we should attend the presentation of the wooden blocks to Year R. This would make a great photo opportunity for our newsletter. With the school’s budget meeting coming up, Amy agreed to ask at the Governors Meeting for any funding requests. We agreed to pay Emma £300 for Father’s Day gifts – she will then pay us back any unspent money. Nova closed the meeting at 21.30.
