20162017 Hockey Season Important Information
SFYHA Board of Directors 2016-2017
SFYHA MEMBERS: First and foremost, the board would like to thank all of you for being a part of the St. Francis Youth Hockey Association. We appreciate your membership and want all of you to know that we have each of the player’s best interest at heart. As the 2016-2017 season is soon approaching, we wanted to inform you of some important information and changes which have been made. Please contact any of the board members with any questions you may have. Board member information is on our website; your first contact should be the level director for your player. REGISTRATION: SFYHA registration for the 2016-17 season is now OPEN. Please log into your NGIN account on SFYHA’s website (www.sfyha.com) and click on the REGISTRATION tab. From there, the system will walk you through the process.
Registration for U15 level players, we ask you to please register by August 26th to continue the U15 planning process. Registration will close Sept 9th for the BANT, PW/12U, and SQ/10U levels. Registration will close for the U8, Mites A/B/ C and Mini-Mite levels on Oct 7nd. Form Turn in Nights will be September 13 & 14 @ EBIA from 6:30 -8:00 pm. We need everyone to help spread the word and to register as soon as possible. Early registration helps us plan more accurately for the tryout process and to help with our initial team declarations with District 10. Late registrations result in the board having to adjust tryout information on a continuous basis, so please help our planning efforts and register early. Please help us spread the word and inform others to update their email address if they are not receiving our email blasts. We can only send emails to those addresses that were entered into our online system. To update or add an email address you need to log onto our website and click “becomes a member” and follow the prompts. If you want SFYHA emails sent to more than one email address, you must update your NGIN account with the email addresses which are appropriate for your family.
THE COST TO PLAY HOCKEY IS GOING DOWN FOR SFYHA MEMBERS THIS YEAR: The SFYHA board is pleased to announce we are able to lower the cost per level in comparison to last year’s fees. The board has restructured our budget, fundraised to cover administrative costs and arena needed improvements, and eliminated our past debt to the State of Minnesota. Please thank these people for making it possible to lower the cost of hockey for all of us. We have also lowered the amount of ice ‘hours’ this year to more accurately reflect the quantity of ice we have at our disposal. It is the intention to get your skaters the MOST ICE TOUCHES we can with the ice hours we have. The quantity of times your skater touches the ice will coincide with prior years, so your player is not losing quantity of ice time. BUSINESS & PAYMENT DECISIONS: Over the past few years, SFYHA has had to write off over $8,000 to bad debt, making the operating costs for our association not covered. During this same time period, the board has made several changes to lower the accounts receivable and accounts payable to strengthen our financial position. With these
few changes, our accounts receivable has decreased significantly, but unfortunately there is still an unacceptable amount outstanding. SFYHA bills our members up front for all administrative and ice fees. This is required due to the fact SFYHA does not have a gambling program to offset cash flow timing. In prior years, we have allowed extended payment plans for families. However, these payments plans have not always worked and have caused additional stress and work for our Board Members. To more efficiently manage our cash flow and ensure our bills are paid on time, the following changes have been made to the payment process for the 2016-2017 season.
Upon registration, you will have 2 options for payment: a. Option 1 – pay in FULL and receive a 10% discount for full payment. If you have additional skaters, there will be an additional 3% discount granted for those skaters. 1. You may pay in full directly on NGIN and your credit card or bank account will be charged. Unfortunately, we weren’t able to have NGIN programmed to take the 10/3% discounts in time, so the SFYHA Treasurer will adjust your billing accordingly after the transaction is complete. 2. OR – you may choose the ‘off-line’ payment option at the end of registration and pay in full directly with SFYHA. If this is chosen, you will be contacted by SFYHA’s Treasurer within one business day to secure an appropriate credit card or banking information. At that time, the Treasurer will calculate the appropriate pay in full discount and charge your credit card/bank information accordingly. The pay-off line option will ONLY be allowed for the pay-in-full option as described here. b. Option 2 – choose the payment plan SFYHA has defined within NGIN directly. This payment plan will consist of paying 100% of the administrative fees and 1/5 of the ice fees at time of registration for your skater’s level. Then, on Sept 15, Oct 15, Nov 15, and Dec 15 the remaining ice fees will be deducted directly from your credit card/bank information on file. No discounts will be applied for this option. c. Fundraising Impact: We realize families will take part in upcoming fundraising opportunities and you may have questions on how this will impact the two payment options listed above. 1. If you chose the pay in full method and you fundraise money with the upcoming pizza, coffee, wreath sales, you will be REIMBURSED your overpayment amount from SFYHA after the fall pizza and wreath sales are completed. 2. If you chose the NGIN payment plan method and you fundraise money with the upcoming pizza, coffee, wreath sales, your future NGIN payment plans will be adjusted accordingly. IF there is an overpayment, you will be reimbursed the amount of overpayment. This will happen after the fall pizza and wreath sales are completed. GAME JERSEYS will not be handed out to any player who has an account not in good standing as defined with the above payment process. It is our hope we do not have to enforce this policy, and with the two options laid out above, we feel this situation should not come into play. However, if issues arise with billing and the agreed-upon terms listed above, your player will NOT receive their game jersey until the account is corrected. SFYHA board will continue with the policy that players will be not be allowed to register until their past dues are satisfied.
CREDITS: The SFYHA board approved to credit back any overbilling from last year due to teams not receiving their allocated ice time. SFYHA will also issue credit checks to anyone fundraising after the registration fees are paid in full (as explained above). Fundraising credits will be applied to all bills and cannot be refunded for any reason. Only cash overpayments will be refunded.
WHAT HAPPENS IF I CANNOT PAY IN FULL OR FOLLOW THE PAYMENT PLAN? If you feel you cannot afford to pay the hockey fee in full or choose the 4 payment option, outlined below is an example of how you may choose the pay in full option by using your personal credit card and paying 12 payments at basically the 4 payment plan fees. This example is based on a twenty percent APR credit card fee and a $1,500 hockey fee. This is an EXAMPLE. You must apply your exact terms from your credit card company to determine the actual costs. For this option to work, you must select PAYMENT IN FULL when registering online. Your credit card will be charged $1350 since you saved the $150 by paying in full to SFYHA at registration. ($1500 x’s .10 =’s $150 discount) Below is an example of 12 equal payments.

UNIFORMS:
Traveling Teams: o Each traveling team will receive a home and away game jersey and socks. The uniform cost is included in the hockey fee o When you register your player, click on the jersey size you estimate your player to be so we have information on hand prior to Form Turn In Night (Sept 13/14) o Each player must try on the sample size jersey during Form Turn in Night for final fitting. IF the parent/guardian is not present to assist, the jersey size will be determined based upon registration selection. Mite: o New jerseys will be provided o Please select the estimated size for your player upon registration. Mite jerseys are ordered prior to the season starting, so we need the best estimate we can have. Your skater will be fitted with a jersey as close to the size requested upon registration.
TEAM SPONSORS: The St. Francis Youth Hockey program will continue to allow sponsors to place their name on the back of the team jersey they wish to sponsor. It is up to each player from every team to recruit for sponsorships. All the proceeds from the team sponsorship will be divided amongst the team players equally according to the sponsorship guideline document. This document is available on our website for reference and payment submission. TRYOUTS: SQ/10U, PW/12U and BT/15U will be held in early October 2016. We will continue to utilize an independent company and work with our Co-Op partners in North Branch to perform the evaluation of the players. A tryout packet will be emailed to all registered players with the final details and pre-skate dates per level are secured. Mite evaluations are tentatively scheduled for late October 2016. These evaluations will be performed by the SFYHA Mite Director and Coaching staff. More information will be provided as soon as registration is closed and details are finalized.
VOLUNTEER FEE and HOURS: Volunteer Fee this year is $300. The volunteer hours have been reduced to 10 hours, of which 2 may be satisfied by completing the on-line Safe Sport module or taking the recertification Safe Sport module on USA Hockey’s website. Volunteer hours will be posted onto DIBS prior to Form Turn in Night and you will have ample opportunity to claim your hours. If you do not fulfil your hours by March 1st, your volunteer fee check will be cashed. If you do not wish to partake in volunteer hours, you may buy out your hours with a $250 volunteer buy out check.
RAFFLE TICKETS: Raffle calendars are no more! Some of you may be very excited about that. The raffle calendars have been replaced with raffle tickets. Your family will be responsible for selling a quantity of tickets. The monetary responsibility stays the same as the calendars (i.e. – 10 calendars =’s $200 20 raffle tix =’s $200). The prizes are cash drawings throughout the 2017 calendar year similar to the raffle calendars from past years.
