JOB DESCRIPTION Position Title: Manager, USA Programs Operations Division: Enactus United States Reports to: VP, Enactus USA Programs Location: Enactus World Headquarters, Springfield, MO USA Job Class: Full-time, Salaried Job Grade: 4 OVERVIEW This position is responsible for managing information, resources, and logistics for all USA Programs activities and events and managing internal knowledge management systems.
KEY RESPONSIBILITIES Events and Activities (35%) Manages information and logistics for USA Programs events including FLC, Regionals, and Expo. This includes coordination of travel, budget, and meeting logistics such as room requirements and menus. Programs rep for team to manage design and deployment of online registration for events and managing registration closing deadlines. Initiates and manages development and distribution of all USA Program surveys (campus visit, mid-year, special events as necessary). Manages team competition winnings disbursements of funds. Manages the procurement of trophies and other awards including bid process and budget oversight. Team Management & Tracking (35%) Manages new team and new faculty advisor enrollment processes and assures UMS is updated to reflect accurate team status. Has sole responsibility for making the decision to move teams from inactive to active status UMS based on fulfillment of all mandatory requirements. In conjunction with the VP of USA Programs manages the database (UMS and/or Salesforce) to assure accuracy of data and reporting. This includes data architectural decisions and reporting formats. Manages the end of year reporting for UMS to including decision making for rollover data processes/timelines and archival storage of historical data for tracking end of year metrics. Responsible for running BOY and EOY reports and calculating program output numbers. Division Communications (15%) Manages Program updates on the Enactus USA website. In conjunction with the Director of USA Programs, manages the development and distribution of the monthly USA Programs Enactus newsletter. Interface with Enactus Teams, faculty and administrators to field questions, requests and provide quality customer service.
Serve as backup to the Director of USA Programs to create and deliver official communications/reports as needed. Operations Management (5%) Manages office supply ordering process and equipment repair schedules. Maintains the internal operating manual for the USA Programs Division to include documenting processes and procedures for key activities and events. Supervises the USA Programs Administrative Assistant. Other duties as assigned. Faculty Advisor Committee (5%) Manages the support of the Faculty Advisor Committee in their service to USA Programs. This includes communications and official records such as agendas, minutes, contact information and terms. Manages travel arrangements and reimbursement processes for two annual Faculty Advisor meetings. Student Scholarships & Awards (5%) Manage all Service Leadership Award communications, mailings and UMS updates. Oversees and manages the USA Programs student scholarship program. This includes applications, processing and awarding students. EDUCATION, EXPERIENCE AND CERTIFICATIONS
Prefer Bachelor’s degree but will consider 5+ years’ experience in office management or customer service. Supervisory experience a plus.
KNOWLEDGE, SKILLS AND ABILITIES
Strong customer service skills. Able to multi-task in a fast paced environment. Excellent written and verbal communication skills as needed to communicate professionally to constituent groups including university/college administrators, faculty, business partners, and students. Analytical and problem solving skills to be able to make data driven decisions. Ability to organize and prioritize tasks and manage conflicting priorities. Working knowledge of Microsoft products and the ability to learn new programs as needed. Ability to work independently as well as part of a team.
