JOB POSTING ADMINISTRATIVE ASSISTANT SportMedBC is committed to identifying, developing and promoting Best Practices in Sport Health, Sport Safety and Sport Training. SportMedBC coordinates access to a network of sport medicine and sport science practitioners and strives to be the ultimate sport medicine and sport science resource within the provincial sport system and for all active British Columbians.
HOURS OF WORK STATUS: This is a part-time position of up to 30 hours a week. The hours of work are semi-flexible. We will attempt to coordinate to the successful candidate’s needs, such as 4 days per week or accommodating school hours. Accommodation of school breaks can also be discussed. Very occasionally, weekend or evening work will be required but dates and times are known well ahead of time.
RESPONSIBILITIES: Reporting to the Executive Director, the Administrative Assistant provides day-to-day administrative support to management and staff for the activities and operations of the association. Responsibilities include: · coordinating incoming and outgoing mail and shipments · processing purchase orders received through the SportMed Online Shop · maintaining the data base of SportMedBC members and supporting member servicing and benefits · providing assistance to the bookkeeper for day-to-day bookkeeping requirements · updating and maintaining the physical and electronic central records and storage systems · coordinating the organization's Contact Management System · providing coordination and support for meetings · supporting HR services for staff · overseeing leases from external suppliers · working with the Executive Director to ensure compliance with annual filings and licenses · assisting with inventory controls, including loan or rental of equipment, supplies and publications · monitoring the Practitioners’ Director and facilitating new clinic and directory postings

Administrative experience in a small office environment. Experience with a non-profit is an asset. Excellent knowledge of MS Word, Excel and Power Point Able to effectively communicate verbally and in writing Able to multi-task with a strong orientation to detail and a commitment to quality Be a team player, project and deadline driven Familiarity with the provincial sport and recreation system is an asset
