Box 368 Kimball, MN 55353 Phone: 320-398-7700 ext 335 Fax: 320-398-7733 Facility Use Philosophy Kimball Independent School District 739 recognizes that the schools are an integral part of our community and the School Board welcomes and encourages public use of school facilities. Kimball School District facilities are available for use after-school, evenings, weekends, and during non-school days. Kimball Area Public Schools ensures each space will be clean and safe for all community members. This brochure provides you with information that is vital to your successful use of school facilities. Please familiarize yourself and your group with the content of this handbook. General Information The use of all facilities will be arranged through the Community Education Office located at Kimball Area High School, 100 W. Hwy 55, Kimball, MN Office hours are 9:00 AM-4:30 PM Monday-Friday. Call Community Education at 398-7700 ext. 112. District Facility Calendar Community groups and organizations can view the school district facility calendar on the Kimball Area Public Schools website www.kimball.k12.mn.us. Requests can be made on-line at http://fs-kimball.rschooltoday.com/authentication/credential/requesterlogin or you can download a copy and send in your request to Community Education. Facility users will be notified by email within 48 hours of the request.
Rules for Use of Facility 1.
Facility Reservation Forms for non-school activities and events must be submitted and approved at least three working days prior to the requested date of use. A deposit or payment may be required prior to the use of the district facility. Requests will be first come first serve based on the reservation priority chart.

Equipment: Facility users may use school equipment if arrangements are made in advance with the Community Education Department. Additional charges may apply for use of equipment. Any equipment brought into the building must be approved in advanced by the Community Education Director. Equipment should be removed immediately following the activity.

Damage to facility and equipment: Facility users are responsible for all damages made to the facility and equipment. Future use of the facility will be determined by the superintendent.

Supervision All planned activities must have adequate supervision in the building at all times, during the activity That supervision will be provided by a “designated representative”. In order to qualify as a “designated representative”, that person must be contributing to the overall purpose of the planned activity. The “designated representative” will be responsible for: Being on site when the group is using the building Building security (This includes keys) Lights Equipment Reporting to the Community Education Director on any problems and/or damage If needed, being trained by the Community Education office staff If the facility user does not have or does not wish to provide a “designated representative”, the district will hire a district building supervisor and the cost will be charged to the facility user. Large Events Supervision Events that are large (100 or more) or require significant assistance for their event will be assigned a district building supervisor for the event. The district building supervisor will provide light maintenance, building security, trouble shooting, maintaining bathroom supplies, and supervision of clean up. $15/ hour will be charged to the facility user. A custodian may or may not be needed depending on the event size and needs.
5. Set up/Clean Up: For planned activities that require set-up and clean–up duties, a minimum of two hours may be charged to the facility user. The building supervisor/custodial time may include: set up, clean-up, supervision of the facility users during clean-up and ensuring the facility is back in order and secure after the conclusion of the activity or event. 6. Suitability: All facilities shall be used consistent with their designed purpose, unless the Community Education Director has granted prior approval. All food and refreshments are restricted to cafeterias, FACS room, experience room or outdoors, unless approved in advanced. Authorized District personnel shall have access to facilities at all times to verify appropriate use. Users shall assist with clean up. 7. Cancellations: All cancellations of the facility must be made 48 hours in advance of the scheduled rental or renters may be liable for all renter charges. Contracts will be canceled when schools are closed due to inclement weather with no additional charges assessed upon reschedule. Announcements will be made on the radio and efforts will be made to contact facility use and rental groups. If a group chooses to continue with their event, any costs incurred, such as snow removal, will be the responsibility of the facility user. 8. Regulations: All ordinances, laws and District policies pertaining to use of school facilities must be observed. Gambling on school grounds is prohibited. The use or possession of alcoholic beverages or illegal chemicals on school property is prohibited. The use of tobacco products on school property is prohibited. District 739 reserves the right to cancel reservations for just cause. District 739 is not responsible for mechanical or electric failure. 9. Liability Insurance: Groups or organizations that use the school for practices need to have their own general liability insurance. A copy of liability insurance must be on file in the Community Education Office. One time Events which: 1. 2. 3. 4. 5.

Will require a certificate of liability and property damage insurance. The minimum amounts will be $50,000 in property damage insurance and $1,000,000 in liability insurance. Kimball School District must be listed as additional insured. (Questions contact Thomes Insurance at 398-3043) The superintendent of schools or designee shall determine the need for insurance coverage. District 739 assumes no responsibility or liability for damage, loss, or personal injury resulting from the use of District Facility.
Reservation Priorities Applications for the use of facilities will be considered and scheduled according to the following priorities: Priority Classifications 1. School Functions/Events (Activities and School Events) 2. School Organizations (Community Education, Student Government, FFA, NHS, etc.) 3. Non School Groups Non School Group Classifications Class I (No rental charge. Personnel charges and/or Reservation Fee may apply.) Local non-profit youth entities and groups located in District 739 Governing agencies serving residents in District 739 Political Caucuses Non-profit community groups located in District 739 Civic organizations located in District 739 or serving a majority of residents in District 739 Churches and religious organization in District 739 Class II Commercial business or private organizations located in District 739 Individuals residing in District 739 Class III Non-profit community groups not located in District 739 Civic Organizations not located in District 739 Commercial, business or private organizations not located in District 739 Individuals residing outside District 739
Facility Rental Information

Base/Soft Ball fields require dragging and lining. These services will be provided by a school district field supervisor. $15 per hour will be charged to the facility user for these services. Football Fields are mowed on a weekly custodial schedule. Facility use that requires lights on the football field will be charged an extra $10 per hour. Facility use that requires air conditioning will pay $10-$50 per use depending on area size. Food is only allowed in the following spaces: HS Cafetorium, Ala-Cart Area, Kitchens, Experience Room, HS FACS Room and Concession Stand. Fees and services not listed will be up to the discretion of the Community Education Director. Kitchen personnel are required if using any of the kitchen facilities at Kimball Area Public Schools.
