In order to meet the deadline for the July newsletter, I have to pen the ‘President’s Message’ column before I actually am President of the chapter. What a month June has been with California Division in San Mateo, San Jose Chapter’s meeting and installations, looking forward to EFAM and digesting my new role that begins July 1st.

July Chapter Meeting – Time Management with Linda McFarland Are you challenged with prioritizing and managing your time? At the San Jose Chapter Meeting on July 10, you will learn ways to overcome procrastination, practical techniques to help you become more effective, ideas and tips to help you focus, and tools to help you enhance your skills.

Linda McFarland launched Ascend2Success (www.ascend2success.com) to help administrative professionals maximize their potential through training and workshops, and offers personal coaching for executives and assistants. With extensive hands-on experience supporting high level executives, Linda has held executive assistant positions with a variety of start-up and Fortune-listed companies, spanning the legal, medical, energy, and high-technology industries.

PlanetAdmin, a training company for administrative professionals and along with other CEO assistants, developed the first certificate program for administrative professionals with UCSC Extension in Silicon Valley. She is also a founding member of the Silicon Valley Catalysts Association (SVCA) which is a group for CEO Assistants in Silicon Valley.

Linda is the co-author of the book “Sitting on a File Cabinet, Naked, With a Gun: True Stories of Silicon Valley CEO Assistants”; from 2009-2011, co-founded

June Chapter Meeting Recap – We Welcomed a-Board! by Amy Ramos The meeting started with Linda McCabe initiating our new members. After over 20 years with the San Jose Chapter, Linda announced her retirement. Thank you Linda for everything you have done! You will be greatly missed. Next up, the installation of the new Board! Murphy Jones, CAP-OM, newly installed CA Division President was gracious enough to travel all the way from Fresno to help us install the new Board for the 2012-2013 year. Agree on job responsibilities and a definition of success. Ask for a meeting to discuss issues such as: Where does my job fit into the organization? Shifts in job responsibilities. How will performance be measured? Always be aware of timing. Provide just the right amount of information: Is this a 411 or 911 situation? Determine your communication mix.

Does your boss prefer face to face time or will an email work instead? Prepare, prepare, prepare. Every problem needs a solution. Be a good listener. Focus on what your boss is saying. Ask questions!! Observe others: How do your colleagues and their bosses communicate? Is there someone who just “gets it” -Shadow her and learn something. Consider your boss’s perspective: Focus on result, not process. Adapt to your boss’s personality. How does your boss respond to stress? How can you approach stressful situations?

May CAP Exam Results and Study Group for the November Exam By Tracey Blair Congratulations to Deana Hernandez, CAP and Maureen Grant, CAP for passing the exam in May!

Maureen and Deana participated in the SJ Chapter study group earlier this year and took advantage of the study material provided by the chapter. They also had the benefit of studying in a group to gain insight on the material from different perspectives. According to Maureen, “It was a very rewarding experience and the relationships developed will last through my career and beyond.”

“Change Makes a Difference” Family Giving Tree Back to School Backpacks Change is inevitable and even as we transition from one board to the next, the new Board realized that what doesn’t change is our mission and commitment to remain involved in our community. So we have replaced the “Change for Change” plastic paint cans on the tables at each monthly chapter meeting with a quicker, hopefully more convenient way to make a difference. This quarter, when you register for meetings – look to the bottom of your registration page and you will see an opportunity to donate $5 (or more) to the Family Giving Tree organization for their Back to School Backpack Drive. Even if you can’t make the meeting, you can make a donation and continue to participate in our chapter’s community service. Each quarter we will have a different charitable organization listed on the registration page.

Are you interested in joining a study group for the Certified Administrative Professional (CAP) exam on November 3? If so, mark your calendar for a CAP Study Group Planning Meeting on Wednesday, July 18 at 6:30 p.m. For details, contact Tracey Blair at [email protected]. The CAP Exam Guide recommends approximately 30-40 hours of group study, in addition to considerable personal time spent reviewing materials. Although not mandatory, joining a group allows you to:    

discuss questions with your peers and leverage their expertise stay motivated and on track share study materials acquired by the Chapter network and make new friends

The CAP certification is one way you can show your commitment to excellence, improve your professional qualifications and increase your skills. If you have been putting off getting certified, why wait? Do something for yourself and your career today!
