Retain for your records Any players with medical exemptions must be marked as M.E., verified Medical Exemption form, validated by Student Activities to accompany team sheet. Circle the names of any players that require further verification, i.e. did not have ID, not verified by Student Activities, considered to be a higher tiered team player without medical exemption, note the nature of the query and present to your Student Activities for processing.

For Every Game:        

Arrange team selection & Submit a Team Sheet by Weds 10am or on day of fixture to Student Activities. All Team players must be members of your group and you have checked this on your website admin member’s function. Check the opposition kit colours through the BUCS website - http://www.bucs.org.uk//bucscore/Search.aspx. Input Our Institution, your sport etc and click ‘Find’. Then Click relevant Team on RHS. Click the fixtures tab. This will list all your fixtures and kit colour. If a clash let Student Activities know. Take a copy of your Team Sheet, Playing Under Protest (PUP) Form and First Aid Kit and ensure all players have their Student ID (Also take a copy of all players’ student ID to every game as a back up). Collect Team Sheet from the opposition and check against their ID (pre fixture) & input into your Opposition section of the Team Sheet. (This is a BUCs requirement). Indicate if there are any issues and sign the team sheet and complete any essential information. Submit Team Sheet to Student Activities by 10am the following day with the Opposition details completed. Let Activities know if you need to postpone a fixture by midday Monday (or 48 hours before your fixture). If you fail to do so, you forfeit the points. Reporting your results by 10am the next day whether Home or Away. Home institutions input the result on to the BUCS website – please check it is correct. Collect all kit and wash (preferably dry for next fixture)

Home Fixtures:    

Book the correct number and level of officials. Meet and greet match officials and opponents. Pay for officials – They must complete the officials payment section on the Team Sheet or provide you with a receipt. Please note: if the opposition have the same colour kit as you on the day, it is the responsibility of the home team to change their kit if a clash to allow the fixture to go ahead.

Away Fixtures:     

Arrange your transport to the fixture by Thursday midday prior to the next week’s fixture. Personal Vehicles – register cars and drivers with SU and let all drivers know the route! Hire Vehicles- register driver with SU (this takes 10 working days and the driver will be notified via email when they are on our insurance policy) and then you can book a vehicle – see handbook for more information. Coaches – usually the most expensive option. Recommended only using for long distance fixtures or to share with another team going to a nearby destination. Submit your Passenger List by Wednesday 10am or on day of fixture at the latest.

BUCS Rules & Regulations          

All players must be university students (60 credits or more per academic year) Teams should be selected as if all teams are playing- 2014/15 compulsory team sheet and ID for every game. Some officials need to be neutral, some do not. However, officials’ decisions are final. The home team is responsible for changing kit if there is a clash. All fixtures need to be completed by Wednesday 1st April 2015. There are also BUCS Sport Specific regulations, further info: www.bucs.org.uk Final confirmation for all fixtures is due 48 hours before the start time. After this point, the home institution cannot change details of the fixture without written permission from the opposition. Before this date, we may be able to make changes to the fixture if the opposition agrees to move the fixture. If any changes happen within the 48hr period, we will contact you directly. It is always best to check the BUCS website on a Monday afternoon for final fixture details!

Team Selection        

BUCS are implementing new rules this year to help prevent player movement. All players must be Staffs Uni students and paid members of your club- all paid members will have personal accident insurance. Teams must be selected as if all teams are playing that day e.g. if the first team do not have a game, they cannot play for the seconds. Players cannot ‘yo-yo’ games e.g. Football 1st, 2nd, 3rd then 2nd then 1st. This also includes reserves even if they don’t play the fixture but are on the team sheet. This can result in a walkover if a player is found to ‘yo-yo’. We would encourage all teams to have a set squad list for each team which includes reserves. Next year, BUCS will be implementing ‘Squad Declaration’ for all teams. The home institution is now responsible for keeping the team sheet of the home and away team for one year. Home team sheets by Wednesday 10am (If away- take a copy!) Opposition team sheets by Thursday 10am

When Issues Arise:       



If you believe a BUCS rule is being broken, contact us: (Stafford) 01785 353558 or (Stoke) 01782 294687 or (Mobile) 07732 224472. Complete a Playing Under Protest form as soon as a problem is apparent. e.g. incorrect markings will be noticeable before the fixture/ unsafe crowd behavior may not be apparent until the game begins. A playing under protest form must be completed within the first half of the game, after this you are deemed to have accepted the conditions of the game. The opposition cannot refuse to sign the form – it is an acknowledgement of the form, not an admission of guilt. This also applies to you if you are presented with one (let Activities know if you have been asked to sign one). Return the form to your co-ordinator by 10am the next day. We will then contact the opposition co-ordinator and try to resolve the situation without BUCS Head Office involvement. Only if the regulation has affected the outcome of the match will the protest go ahead. If you submit a playing under protest and win, we will not take this to BUCS but may still contact the opposition if it may affect future games such as crowd safety. If the issue is not resolved satisfactorily an Initial Appeal may be lodged. The time constraints and process for lodging an Initial Appeal apply; if contravention before or during a fixture - via BUCScore by 5pm the following working day. Consequence: Respondent- not having team sheets available when requested or not having sufficient information recorded on team sheets to satisfy the request; the responded institution will automatically lose any appeal lodged as a result and may face further disciplinary action.

Suggestion - produce a list of all of the players that have been verified by Activities (ID and eligibility requirements met, signed by Activities). This list is retained by the captain who inserts only those included (and therefore verified) onto the team sheet. This accompanies team sheets for cross reference by opposition on fixture day.
