PLAYER/COACH/TRAINER/MANAGER REGISTRATION • • • • • • • • •

Every player, Manager and all bench staff must be registered with the OLA; Insurance coverage starts upon registration; Maximum bench staff per game is four (4) i.e. Three coaches and one trainer; Field is separate from Box - you will have a set of field cards and a set of box cards; Field Registration Deadline is April 20th to meet deadline of April 25th to OMFLL; New Field players must submit a photocopy of their birth certificate/passport/new health card; Box Registration Deadline is May 15th; Trainers must submit a photocopy of their course certificate each year; Coaches must submit OFFICIAL (with address) NCCP Transcript with registration form OR course certificate photocopy if they have just taken the course this year; Coaches and Trainers must submit documentation for Field EACH YEAR, since the field registrar does not keep this information on file; A list of team personnel (coaches, trainers and manager) needs to be submitted to the registrar with phone and email contact information as soon as the positions are confirmed; A rep team roster needs to be submitted to the registrar immediately after tryouts so that he/she can compile the lists of players that need to be withdrawn from house league.
COACH/TRAINER CERTIFICATION
Each team needs a Certified Trainer (Hockey Trainer Program, St. John’s standard first aid or equivalent). OMLA will reimburse course fees through an averaging formula for all Rep Teams.
RESPECT IN SPORTS/SPEAK OUT (for all Rep teams) All team staff must take the online Respect in Sports/Speak Out Course certification. If you have been certified within the last two years, a new certification is not required. Please refer to the OMLA website for information on how to get the online certification. The Hockey “Speak Out” certification is also acceptable, in lieu of Respect in Sports.

SIGNED OLA FORMS: WHEN DO YOU NEED TO SHOW THEM?
Team Managers will be contacted by the Registrar to sign on receipt of white OLA signed field and box forms (players, coaches, trainers, managers). These are sometimes referred to as Cards. Managers will need to have the forms on hand at all games and will have to present them at: first field game, field qualifier tournament, field provincials, every box tournament, box qualifiers (for A teams) and box provincials.
SECURITY CLEARANCE (FOR BENCH STAFF)
All Team Staff must obtain and provide a criminal reference check. These are available through the Halton Regional Police, as shown below. The Security clearance must include a Vulnerable Sector check. Location

TRYOUT LOGISTICS Each team/division is responsible for managing their tryout sessions. There is a fee charged to all players trying out, which helps the OMLA offset the cost of facilities. Tryout sessions are posted on the OMLA website www.oakvillelacrosse.com A player is only able to step on the floor for tryouts IF THEY ARE REGISTERED WITH THE LEAGUE. This means that attendance needs to be cross referenced with the league database (Registrar will provide at tryouts). If a player is not registered, they cannot try out- they are not covered by Insurance if they are not registered. Keep a list of attendees.
MEDICAL FORMS Team Managers are responsible for collecting completed Medical forms from parents for all Players, prior to their participation in practices or games. Due to Privacy issues, medical information collected is to be kept secure and confidential. Any medical conditions that need close monitoring, such as Asthma, epilepsy, recent fractures, concussions, etc., are to be communicated to the Head Coach and Trainer, prior to the players participation in any practices or games. If the Trainer requests the players medical forms for review, they should be provided. Page 4

EQUIPMENT The OMLA Equipment Managers email address is
[email protected] Balls, jerseys, shirts, shorts, etc. can be picked up upon notification that supplies are received. Every team must go through the equipment director for team purchases. Our logo cannot be shared and teams are not allowed to design their own rep wear. We have a contract with The Box Lacrosse Store. A team uniform has been designated. We want to maintain a consistent look so that we are easily identifiable as the Oakville Hawks. Each Box Rep team will be provided with Home and Away Jerseys (White themed Away Jerseys and Home Navy themed jerseys). The jerseys that are to be returned to the OMLA at seasons end are not to be sponsor crested; however the other Sponsor crested jerseys can be kept by players along with the shorts and travel (Golf style) shirts. Jerseys are to be turned in to the OMLA as soon as the team’s season has ended (usually after Provincials). Note: Player names are not to be added to Jerseys/shorts.
ONE LOOK, ONE BRAND, ONE TEAM
ONE LOOK: Blue is the official Oakville Hawks rep color and is being used in all divisions, tyke to intermediate. Every rep player must have a current OMLA travel shirt and khaki shorts, and they are to be worn to ALL games and tournaments. (If you would like to purchase extras, they are available from The Box Lacrosse Store online.) The travel apparel for ALL rep teams is the navy travel shirt with khaki shorts. The shorts are the responsibility of the parents to purchase. They can be any style or brand as long as they are the right color. Do not let the kids wear the game shorts to and from games. It is the responsibility of the managers and coaches to enforce this policy. This is an effective brand strategy which creates a unique identity for Oakville that will differentiate us from the competition. ONE BRAND: The executive have established a cooperative arrangement with The Box Lacrosse Store to ensure that we have an apparel company that can and will meet our needs. We are branding Oakville and we can only do this with your help. Other associations watch to see what Oakville Lacrosse will do with our jerseys so the box jerseys are the only things that will change year to year. The executive has agreed that NO NAMES ARE TO BE PUT ON THE JERSEY for player safety reasons, NO EXCEPTIONS. Teams are being provided with two sets of jerseys (home and away) and one can be Sponsor Crested and kept by the player at seasons end. The other jersey is to be collected by Team Staff at seasons end and returned to Inventory. An apparel program is being implemented with different options and will be on our website. There will be packages available (Gold, Silver & Platinum) for individual players to purchase. The bench staff may also Page 5
order items for themselves. A parent section and house league section is also available. You will notice that we have 2 sets of wings; the Gold Wings and the multicolor wings. The gold wings have been designated for rep players and bench staff only. The multicolor wings are for house league players and parents. The Box Lacrosse Store will have all the rosters on hand to confirm which wings they will receive when any order is placed. The program is also set up for you to order as a team. Please send all team orders to
[email protected] so a P.O. # can be processed to The Box Lacrosse Store. No other orders will be allowed other than what has been approved. ONE TEAM: We are one team lets work together to make sure we are leaders in everything we do. Please ensure that players and parents all know, follows and understands the policies we have implemented. But most of all Let’s have fun.
TOURNAMENT SELECTION PROCESS The treasurer will provide cheques to the Team Manager/Head Coach for their tournaments and they will be reflected on the team assessment. Teams must handle their own correspondence concerning tournament registration, payment, rosters, schedules, etc. DO NOT DELAY on selecting tournaments...they fill up quickly.
SPONSORSHIP PROCESS Many rep teams seek sponsorship to help offset the cost of the team assessments. It is recommended that you enlist the help of team parents in sourcing a Sponsor and when one is found, All SPONSORSHIP FUNDS MUST FLOW THROUGH THE OMLA. The team will be credited for the amount of the Sponsor Fees on their Team Assessment.
TEAM PICTURES Team photographs are taken in May. Please cooperate fully with our Photo day Coordinator, since there is a very tight timeline for processing all of the teams through the photo sessions. If for some reason your team would prefer to opt out of the Photo sessions, please contact the OMLA Photo Day Coordinator
[email protected] FINES: TOURNAMENT AND OLA If a player or coach receives a major penalty during a tournament or during Provincials, on-site officials will issue a fine sheet. DO NOT PAY THE FINE AT THE SITE. A copy of this fine sheet is sent to the OMLA for payment. We will pay the fine to the OLA on your behalf and then we will bill you for the fine.

MAJOR PENALTIES/SUSPENSIONS
The OLA rules dictate that suspensions may be imposed if a major penalty is assessed: • Fighting: two games in our zone • Match Penalty: minimum three games (with a review) • Gross Penalty: minimum five games (with a review) The suspensions must be served in the next scheduled games after the suspension (note: you cannot schedule exhibition games after the fact to burn off a suspension). Clearly indicate on the game sheets that a player is serving a suspension (e.g. 2 of 3 games). If you are in doubt, contact the Referee in Chief, VP of Rep, Rep Convenor or the OMLA President immediately after a game where a possible suspension has happened. DO NOT LET A PLAYER INTO A GAME IF THEY ARE SUSPENDED.

Field Lacrosse Information
Qualifiers and Provincials will have A, B, C, D divisions; rankings of teams will depend on results of games played during the regular season.
FIELD ROSTER OMFLL official team rosters must be submitted electronically by April 20thtomeet the OMFLL deadline of April 25th. Managers/Head Coaches will receive these forms electronically from the VP of Field. There can be no alterations or additions to teams after the submission of your field roster.
FIELD TEAM ASSESSMENT
The cost per player is due by May 1st toteam managers (cheques payable to OMLA). Team managers must forward cheques to the OMLA Treasurer.
[email protected] FIELD PRACTICES Field practices are held on designated fields. Times and dates will be announced once the scheduler has confirmed information. DO NOT run “rogue” practices on unapproved fields.
FIELD GAMES Every team must provide a Timekeeper (stopwatch is required) or Scorekeeper (bring a backup pen) for their game. Each team must provide a Ball person (and 3 balls) on the end line. What may not be understood about these responsibilities is that they are off field officials. This means that the volunteers should not be coaching on the bench side or end lines; they should not be cheering loudly or questioning referee calls. For this small timeframe, they are an off field official and should be working in partnership with the on field officials. Coaches can help the off field officials by ensuring that the coaches box is always clear of their players. The players should not be lining the sidelines, they should be six yards from the field of play, and they should not be in the change area (unless changing or serving a penalty) or approaching the scorekeeper asking what the score is... The off field officials are required to have an unobstructed and uninterrupted view of the field of play. The respect for the game should never be comprised by the players, coaches, officials or parents. Everyone is responsible to ensure this stays true in Field Lacrosse Page 8

BOX ROSTER Your final OLA Official electronic box roster must be submitted in electronic format by June 15th. You will receive an email containing the official roster as well as the contact person at the OLA. Please send an electronic copy to the OMLA President as well. There can only be a maximum number of 25 players on your final box roster.
BOX TEAM ASSESSMENT Rep teams are managed on a ‘cost-recovery’ basis. Each team will receive an assessment in May. Make sure to build in other expenses for reimbursement from parents (e.g. Exhibition game costs, Referees/timekeepers/Scorekeepers, parties, clothing, etc.)
BOX PRACTICES
The schedule for box practices will be released in early April once the finalized schedule is set. Generally, there are either two (1&1/2) hour practices per week or one (2) hour practice. Intermediate have extra sessions in April in lieu of field lacrosse.
BOX GAMES The schedule is released in mid-April for Zone 10 play. Customary game nights are Wednesday and Thursdays. Teams usually play once each week (home or away) but on occasion will play two games per week to accommodate arena availability, etc.
EXHIBITION BOX GAMES If you wish to play an exhibition game with a team within our zone or a team in a different zone, please email the OMLA President a non-zone game form (found on the OLA website) with all the details completed at minimum one week prior to the tentatively scheduled game. Requests submitted within a few days of the scheduled game may not be approved. The president needs to get permission from the Zone Director and the OLA VP of Minor and this takes time. This time is necessary to ensure that the exhibition game is an “OLA sanctioned” event so that the insurance coverage is valid. Also, Officials have to be booked for these extra games. Page 10
GAME SHEETS AND REPORTS PROCEDURES Each team manager can pick up a set of game sheets (used for home games) from the registrar when they come to sign off on receipt of their OLA cards. Game sheets must be completed legibly and with the team names highlighted. After every home box game, managers must mail the original game sheet to the zone statistician (next day or same evening preferred) within three (3) days of the scheduled game. You will be advised of the Zone Statisticians name and address by your Convenor/VP Rep, and we recommend that you prepare pre-addressed and pre-stamped envelopes, to facilitate mailing of Game Sheets right after the conclusion of your game. Fines are imposed for late game sheets and will be assessed to your team. Ensure that Game Officials have signed your Game sheet. It is recommended that Managers use the preprinted roster labels (clear see through suggested) for listing players on game sheets (Avery type labels). The Chief Administrative Officer will provide teams with the software necessary to create the roster labels. Field game sheets are provided at the playing venue. Please show up at least 30 minutes before the game to complete the game sheet.
BOX RATING PROCESS •

Preseason box ratings are only useful for slotting your team into appropriate tournament(s). Final ratings are earned through the results of games played in May and June. During the last week of June, the local Zone conducts a rating meeting at which we “self-assess” and provide commentary on the self- assessment of other centers. Game results up to that point are the prime consideration for the final assessment. You will be asked for a brief summary of team results to date just prior to that zone meeting. As an association, we place teams where they belong. We DO NOT WISH to be known as “sandbaggers”. Please note all teams must play in at least one tournament up to and including the July 1st weekend, as part of the ratings classification process. Additionally, teams must play a minimum of 10 games (Exhibition, Regular season and tournament) up to and including the July 1st weekend.

REFEREE, SCOREKEEPER AND TIMEKEEPER PAYMENTS Each Rep Team pays the referees and the timekeepers/scorekeepers for all HOME GAMES. You do not pay for field, zone away games, tournaments or provincials. Pay officials BEFORE THE GAME with exact change (“no pay – no play”). There are two (2) timekeepers required for Novice to Intermediate (1 timekeeper and 1 shot-clock). Only one (1) Timekeeper is needed for Paperweight and Tyke (no shot clock). There are two (2) referees per game. Scorekeeper and Timekeeper rates are currently $10.00 each per game; however the OLA reviews these rates annually and you will be advised of any changes. Please note: a cheque will be issued to each Team manager to pay for the season’s fees at that the cost will be on the assessment. CALLING UP REPLACEMENT PLAYERS Replacement players must be registered with Oakville Minor Lacrosse. PRIOR to the submission of final rep roster, you may call up kids from the same age group or one age group lower. AFTER the submission of final rosters, you are limited to lower age group players with specific numbers as dictated by OLA rule MR4.02. DO NOT BEND THE RULES. If a coach plays with ineligible players, the sanction is severe and it reflects poorly on the organization.

COMMUNICATIONS The OMLA encourages the promotion of our sport, and our teams, using both positive “word of mouth” publicity, as well as through written communications and photos from Association members. (Example-Tournament results, etc.). We want to highlight the positive things that players and teams are doing, and we rely on every team to send us reports and photos to be used on our Website, and perhaps in local Newspapers. Let’s accentuate the positives and let everyone know that we have a very dedicated group of volunteers working hard for the enjoyment of our players, and development of their skills. Communications and photos should be sent by e-mail to the V.P. Rep or to Grant Sloane, Chief Administrative Officer.
OMLA TEAM WEBSITES Each Rep team is provided with an OMLA Website page to be used to record game schedules, game results, calendar of events, team photos, etc. The OMLA has gone to great expense to have these Webpages created and available to teams and it is expected that Managers take advantage of this resource. They are extremely valuable for keeping parents and players up to date on the teams scheduling, contact information, Tournament and Provincials information, etc. We are aware that some teams in the past have created web pages outside of the OMLA, and this is to be discontinued. You will be provided with training on how to use your OMLA webpages, prior to the season. If Managers find it challenging handling both their team management responsibilities as well as managing their Webpage, it is suggested that you recruit a parent volunteer that could assist with the Webpage. Please ensure that The Head Coach is kept informed as to information posted on the team’s webpage. OMLA LOOSE BALL AWARD The Association presents a Loose Ball award to the player on each Rep team, who has the best LB statistic for the season. Managers should organize the gathering of these statistics, so information is available to the OMLA at seasons end. There is a document provided to teams so they can record game statistics, including LB’s.

FINAL NOTE This Manager’s guide is not intended to be all inclusive of rules, or other guidelines. Managers are expected to be resourceful in sourcing out information on the website addresses provided both herein, and on the OMLA Web site. Younger Lacrosse players learn behavioral traits, by what they witness from Managers, Coaches, Trainers, and Association Representatives-‐ Please show them how to improve their skills, enjoy the sport and have fun, and demonstrate Respect for everyone involved in this great game.
