How do I Edit a Report in Power BI?

If you need any new reports created in Power BI, please contact the FMS System Support team for assistance.
The following conditions must exist to be able to edit a Power BI report: a. You must have Administrator Rights to your Site Group. b. You must be working in your Site Group or your Personal Workspace. This is a COPY of the FMS Metrics Content Pack that has been renamed.
1. Click Edit Report in the Top Menu bar. • You now have the ability to change the filters in the report.

2. The filter panel on the right hand side opens to display your options.
3. There are three levels of filters: • Visualization Level Filters Filters: Affect a single visualization only. • Page Level Filter Filter: Affect all the visualizations on a single page. • Report Level Filters Filters: Affect all pages in the report.
4. The default mode is Data Configuration (as shown by the bar chart icon). • This works in combination with the Fields on the far right. • To add a field to a visualization, page, or report, simply search search, click and drag to the proper place.
5. The paint roller icon is for formatting mode. • This is where you would find titles, data labels, page size, and more.

6. If you want to save the file with the changes to the filters, simply choose File > Save from the menu bar.
7. If you want to Save a copy of the report, under a different name, Choose File> Save As.

How do I import Power BI Charts into PowerPoint using SmartShapes?

1. Open your site metrics master deck or the Site Template from the FMS Metrics Dashboard.
2. Ensure you have one blank slide with the title, action items, and footer in correct placement.
If this is the first time you are building the deck, you will not need any other slides. The rest will be imported using the SmartShapes app.

3. Click on the Power Bi SmartShapes Tab.
4. Choose Add Power BI Visual.
5. Select the your Site Group from your Workspace options.

If you have custom reports, select your site's group workspace.

6. Click on the plus sign to expand the reports.

If for some reason there is no plus sign next to the reports, click on the FMS Metrics Dashboard and choose Reload Selected from the upper right corner.

7. Click the plus sign again to expand to see the individual pages contained in each report.
8. Check your settings in the SmartShapes header.
• One Per Slide should be checked. • You can choose to begin with a new slide or insert over a slide that you already have. • Hyperlinks can be set. • Leave the height and width at 100%
9. For each page you want to add to your slide deck, simply check the related metrics page. In this example, I've chosen to add slides for Availability Critical 1, Availability Critical 1 & 2, PM Compliance Critical 1, PM Compliance Critical 1 & 2, and Proactive Percentage Critical 1.

Once you have selected all your metrics, select the Insert Checked button in the top left of the header.
10. A message appears telling you that your visuals are rendering to your PowerPoint deck.

11. The selected charts are loaded into the deck.
12. Arrange them in the order in which you want to present them. 13. Save your deck. File>Save As. Include your month in the file name. The charts in this deck are not dependent on the internet connectivity. There is no need to save as images or to make a duplicate copy. 14. The deck will update with new tiles by simply clicking the refresh button under the Power BI SmartShapes Tab.

The file can be distributed as necessary. The recipient does not need SmartShapes to be able to view the charts.

How do I customize reports in Power BI?

1. The FMS Metrics Dashboard has already been loaded into your Site Group Workspace and customized for your site. 1.1. Go to the Workspaces tab and select your site.

2. The screen that loads defaults to Dashboards. Many sites do not use dashboards, so you may not see anything listed. Click on the Reports Tab.
3. Under the report heading is a listing of all the reports available.
4. Click on the report to load
5. In the upper right corner, an error message saying a new version of the content pack is available. You must click the X to cancel out of this message to be able to view all the separate pages contained in this report.

6. Each Report contains multiple pages, filtered for different configurations.
Please check the various combinations of reports and pages to ensure that what you're requesting isn't already available.
7. If you need an additional report to present to your Customer, please contact FMS System Support.

Is there a way to get to the 3.0 Data behind the Power BI Reports?

For all the Power BI reports, the 3.0 transactional data is being captured and stored in Excel files. The report shows the past 3 months of data. This allows you to dig into the Task detail, all the way down to the tech comments, without having to do research in the CLIENT or the Portal. 1. From Workspaces, choose your Site Workspace. This will always be the one that starts with your site number.
2. Click on the three dots at the end of the Site Name. Choose File from the Menu that populates.

3. Click on the word Metrics. This is a hyperlink that opens the file folder.
4. The file that has all your transactional data for the last three months is DW.Tables.Last.3.Months.To.Present.xlsm.
• The file should have been updated late last night by the pbiservice. ◦ If not, please contact Power BI Support to have your data refreshed before going any further.
5. Click on the ellipses and Download or Open in Excel (NOT Excel Online.)

• You may get an internet security warning to approve. If you do, click Allow.

6. The spreadsheet opens to the page showing the two created macros:
• Control + Shift + D allows you to filter all reports for a certain date range. • Control + Shift + Z shows work order comments.

8. By sorting and filtering in this worksheet, you’ll be able to drill down to the base data.

9. If you find that you want to investigate further, and want to save your filtered view, you will have to save a copy.

My Tech Utilization number seems off for in my Current Month Report. Why is that?

The Tech Utilization Report in Power Bi should really only be used from a MONTHLY perspective. When looking at it in the DAILY, WEEKLY, or CURRENT MONTH views, it is often skewed. Remember that Power BI is your analytical tool - it is comparing two sources. In this case, Tech Utilization compares the labor stamps from EFP3 with the Payroll hours entered in Workday.
Because Payroll Hours are entered every two weeks into Workday, and Labor hours in EFP3 are updated every day, there are really only two days of the month that this view will be accurate in "Real Time". That is why it is best to use the information from the MONTHLY view to see a trend, as all hours from the month will have been entered in EFP3 and Workday.
The site as a whole is averaging 84.9&% Tech Utilization for the Month. The company goal is just over 81.25%.

If you were looking at this from a CURRENT MONTH perspective, or even a DAILY perspective, you can see how much the data would change, based on where it aligns with the payroll cycle. • The range is from 0% to 124% depending on the day.

If you want to check the accuracy of your Technician's Time Entry in EFP3, to see if anyone is falling behind on entering their work, simply run the accumulated labor report. Accumulated Labor Report: How can I see all the Labor Stamps for my Technicians for the last week?

How do I update my Metrics Deck each month?

Now that we use SmartShapes with Power BI, updating your Site Metrics Presentation has never been easier. 1. Open your metrics deck in PowerPoint.
2. Click on your PowerBI SmartShapes Tab.
3. You may need to Login. If so, click on the Icon.

4. Enter your email. This will take you to the ATS Login.
5. Enter your User Name and Password and click Sign-in.

6. This brings you back to the same place, but now the SmartShapes Icons are active. Click on Refresh.
7. All of the Slides that are in your deck are automatically checked. All you have to do is hit Update Checked.
8. You will get a message that states the progress in updating your reports.

9. Once completed, check to ensure everything copied correctly, then choose File>Save As.
10. Add the correct month to the title and save.

The charts are saved as graphics. No one needs to have Power BI or SmartShapes to view the presentation from this point.

Dashboards, Reports, Workbooks and Datasets. Click on the proper tab to load. You will use Reports. A report is defined as one or more pages of visualizations or charts. When you click on Reports, all reports for the content pack you have loaded will be displayed.

Search allows you to search in the content you're viewing (aka Reports)

Allows you to sort criteria in Ascending or Descending order once it is loaded.

Shows any updates that have been made to to groups of which you are a memeber.

How do I work with the eFP3 Metrics Data File in Power BI?

1. Go to app.powerbi.com or Click on the Power BI logo from your App Waffle. 1.1. Enter your credentials if required.
2. Click on the Pancakes under the App Waffle. 3. Click on Workspaces and find your Site Group Workspace (your site's number and name.) 4. Click on the 3 dots next to your Site Group Workspace and choose Files from the drop down menu.

5. Once you're on your site's workspace, click on the three dots under your User Icon in the Upper Right Corner and choose Files.
6. Click on the Metrics folder to open.

7. Select the file named DW.Tables.Last.3.Months.To.Present.xlsm. • Ensure that the file was modified "Yesterday (late evening)" • The file should be "Modified by pbiservice"
If the file is out of date, please reach out to
[email protected] to get the data refreshed.
8. Right Click on the file name and choose Open in Excel. You can also choose to download the spreadsheet if you prefer this option.
If you Open in Excel Online vs. the desktop version, the Macros do not work properly.

10. Macros are now enabled for the workbook.
11. Three months worth of transactional data from 3.0 is stored in the spreadsheet tabs. Sort, filter, and combine as necessary to get to the information you need.

How do I get access to Power BI and Power BI Smart Shapes for my Monthly Metrics Presentation?

Your Manager must approve this license.
1. Go to My Enterprise and Request Application Access.
2. From the drop-down, choose "Power BI" as the Application. 3. Choose "FMS" as the Dataset View. 4. Enter your Site Number in the site field.

5. Under Request Type, Choose "Add Access".
6. Enter "Power BI Pro License with access to Site # ______" in response to "To what functions do you need access?" and "Comments Fields."
7. Click the green checkmark to Submit.

8. You will receive a KSR number for tracking the process of your software request.
9. You will also need Power BI SmartShapes for PowerPoint. 10. Call the Help Desk: 1-800-662-4001 or 309-693-4001 and request that Power BI SmartShapes for PowerPoint be installed.
The Help Desk Representative will assist you with getting the software installed and ensure it is working properly.

How do I use Cross Filtering in Power BI?

There is Cross-Filtering Functionality built into Power BI. You do NOT have to be in Edit Mode for cross filtering to work.
1. In the example below, we are in the PM/PdM Completion Report. 2. The Stat Card shows that in the month of January, there were 3 PMs not completed.

5. Now you can use the drill-down filters to into the information even more.
