Program Facilitator's Guide for VPP (Volume Purchasing Program) As the designated Program Facilitator for your department, you will be responsible to: 1) Work with the end user to manage iDevice(s) in your department 2) Collect and maintain user agreements for devices in your department 3) Purchase voucher cards from ITS, based upon user's request and funding 4) Purchase redemption codes for end users based upon requests 5) Maintain a list of “Apps” purchased by users All paid “apps” purchases must be made using the Volume Purchasing Program (VPP) from Apple Education, using the designated web site. Purchase a Voucher: Send a request for the voucher to ITS via email. Include the following: • Voucher amount. Vouchers must be purchased in amounts of $100.00, $500.00, $1,000.00, $5,000.00 and $10,000.00. • Org key • Name of Program Facilitator ITS will purchase the voucher, which may take up to five business days. Once the voucher has been received, ITS will send the voucher to the Program Facilitator via courier. This Voucher closely resembles a gift card in appearance, but can only be redeemed at the VPP site by an authorized Program Facilitator. Additional Vouchers can be purchased and added to the account as needed. Redeem the Voucher Code The Program Facilitator will receive the voucher card, which looks very similar to a gift card. The voucher must be used only on the Apple VPP site, by an authorized Program Facilitator using a facilitator's login credentials. http://volume.itunes.apple.com/us/store
2 Make sure you use the Program Facilitator account to login. This should be an email account you were provided by ITS, and contains the initials .pf as part of the email address. Once you have this site opened, be sure to have the voucher card available. Scratch off the code area on the back to reveal the Volume Voucher Code. Key the code into the textbox area on the screen. The code is not case sensitive. Click “Redeem.” The first time you redeem the Code the site will confirm the code is valid and show your account balance. You may not always see the balance each time you log in. Purchase “Apps” Once an iDevice has been purchased, the user will send a requisition to the Program Facilitator requesting paid “Apps” to be purchased. The requisition from the user should include: a. The exact name of the “App” b. A copy of the link for the “App” from the ITunes website c. Cost of the app d. The funding “org key” or voucher to be used e. The Apple ID account (iTunes login) for the device and serial number Once you have entered your Volume Voucher Code into the account, you may begin purchasing “apps.” http://volume.itunes.apple.com/us/store

3 You can search for an application by name by keying the name into the “Search Paid Apps” box on the Volume Purchase Program web page, or by copying and pasting the link sent by the user when requesting the app. Using the link insures that the users get exactly what they want as many “Apps” have similar names. This is an example of an email/requisition you may receive requesting purchasing of an “App” Right click on the link in the email, and select copy hyperlink, then Paste it into the “Search Paid Apps” box and click Search. This will display the actual “App” the user wishes to purchase. Enter the quantity of the apps you wish to purchase. Notice there is a price break when more than 19 copies of the application are purchased at the same time. This will require additional planning on the Program Facilitator's part as more iDevices are purchased and managed. Click the “Continue” Button Check to see that the quantity and the Title are correct, and then Click the “Buy” Button.

4 Once you click the “Buy” button, the purchases will appear on your list as shown. Under the Heading “Get Codes” the order will appear as “Processing.” Once you receive the email confirmation, this will change to “Download Spreadsheet.” You will receive an email, from iTunes confirming your purchase. It may take up to an hour for the purchase to be sent to you via email. Click on the Link “go to your Volume Purchase Program account.” in the email. You will have to sign in to your account again. Click on the link that reads “Download Spreadsheet.” Currently, each new “App” will download into a separate spreadsheet. You can cut and paste to combine multiple spreadsheets or copy and paste the codes into an email to send to the user.

5 An example of an email you may send to the user would look like this: When the user enters the link into the web browser, it will automatically launch iTunes and bring up the iTunes account dialogue box. The user will enter the Apple ID (Email Account Assigned to the device) and the password. Click on the “Redeem Code” button. The “App” will automatically download to the users iTunes account. The users can then enter another code, and click “Redeem” or click the “Done” button.

6 Free “Apps” To download “Free App,” users can log directly into their accounts on iTunes and download appropriate “Apps” Remember “Free Apps” can quickly take up storage space on your iPad, so be sure to research “Apps” prior to downloading. Voucher Balances Each time you purchase an “App” from the VPP website, the balance of your voucher account will be reflected at the top of the page.
