RLHC Group Meetings Made Easy Program Summary: National Sales is introducing the RLHC Group Meetings Made Easy and our goal is to be the most responsive, hospitable and the easiest Brand for our group customers do business with. The RLHC Meetings Made Easy desk enables us to be highly responsive by completing the booking process with one contact for any RLHC hotel. Objective: To utilize our one-stop shopping full service booking capabilities to increase our group bookings for up to 25 room’s peak and under 50 guests peak within 9 months of arrival date. Procedure:
Meetings Made Easy (MME) desk checks availability of guest rooms, quotes the guest room rate and “closes” the sale with the customer.
MME Desk has Duetto access for all hotels and will quote rates equal to Hello Rewards showing in Duetto.
If a rate lower than Hello Rewards or other concessions are required to close the business, the MME Desk will contact the Revenue Manager, the Property Director of Sales or GM for rate guidance.
MME will only quote meeting space availability and pricing only for hotels on the Compass system. No more than 2 meeting rooms being used consecutively will be quoted by MME without consulting the hotel. MME desk will fully qualify the opportunity and send a lead for groups requiring meeting space – for hotels not on the Compass system.
If the group closes, the MME Desk will send an e-mail confirmation to the customer, copy the hotel and outline the specific terms including:
Arrival Date & Departure Date Number of rooms and room types per night Room rates Reservation method and cut-off date (21 days standard) Payment terms (individual or group pay) Any other terms agreed upon

The Hotel follow up needs to happen within 24 hours of receiving the MME E-mail Confirmation. Hotel will complete the booking process which includes the following steps:
Building the group in Compass or other Sales/Customer Tracking System (Delphi) – Must complete Business Origin Field by selecting “BME” Building the block in Opera Providing booking codes and instructions for booking to the customer Arranging method of payment Facilitate arrangement of catering, meeting and space requests to fulfill the booking All hotels receiving MME bookings are required to use the standard confirmation provided by RLHC. Group desk standards are a 21 day cut-off date and a 30 day cancellation.
