SANTA FE FARMERS’ MARKET INSTITUTE JOB DESCRIPTION Position Title: Office and Info Booth Coordinator FLSA Status: Non-Exempt Department Name: SFFMI Supervisor's Title: Operations Manager Starting Salary: $15-$17/hour PRIMARY PURPOSE This position requires excellent written and verbal communication skills and superb attention to detail. Must be willing to work within a fast-paced, small nonprofit office setting as well as in a public, customer service-oriented setting and demonstrate flexibility and ease in interacting with a variety of individuals, both within the organization and in the community at large. Major aspects of the position are split between managing day-today office operations and providing administrative support and coordinating the operation of the SFFMI Information Booth at the Santa Fe Farmers Market. This position must be available to work during regular business hours Tuesday – Saturday. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES Provide administrative support for other Institute staff members as needed, including but not limited to: maintaining and updating contact lists and shared calendars, preparing board documents for monthly board meetings, assisting with mailings and other projects as needed. Maintain office equipment and relationships with contractors including IT support, phone system, office supplies and equipment. Manage day-to-day office operations. (i.e., overseeing front desk functions, answering phone, greeting walk-ins, receiving deliveries, checking and distributing mail, ordering supplies etc.) Work at the Information Booth during the Farmers Market on Saturdays year-round (as needed) and on Tuesdays May – November. Schedule other Info Booth staff and volunteers. Maintain info booth supplies and facilitate communication between Info Booth, Market staff and Institute staff as needed. Coordinate Information Booth operations and insure excellent customer service is provided at all times. Record and monitor customer token sales data on a per-market basis. Coordinate volunteer recruitment for info booth, administrative projects and special events as needed. Process volunteer intakes and maintain volunteer database. Plan and execute volunteer incentive program, including appreciation events. Project a positive image of SFFMI at all times and practice integrity, reliability and honesty in all business transactions to ensure Institute’s success. Other duties as assigned. KNOWLEDGE AND SKILL Bachelor’s Degree or relevant job experience preferred Non-Profit experience required Bilingual (Spanish) a plus and strongly recommended Ability to demonstrate strong customer service skills Knowledge of basic accounting concepts a plus Retail experience a plus. Competent in MS Office products, especially Excel, and efficient in email and internet applications Experience with data entry Experience with special events and volunteer management Demonstrated problem solving and people skills High accuracy in work, attention to detail and thoroughness Proven verbal and written communications skills required PHYSICAL DEMANDS Sitting for long periods of time Frequent alpha/numeric keyboarding Oral communication over the phone and in person Ability to view a computer monitor Occasional ladder use and some heavy lifting
