Most people I work with come to me within the first 6 months of biting the Infusionsoft bullet. They struggle through their kickstart sessions, then are determined they can figure it out as they go… And then life and business happens. Around month 4 or 5 they realize they have no idea what they’re doing. The Ultimate Set-Up Checklist for Infusionsoft Users is meant to help you stay on track and methodically work through the different pillars of your Infusionsoft application so that your app (and business!) are set up for success. This checklist is designed for new to Infusionsoft users as well as those who have been using Infusionsoft, but aren’t sure they have everything set up in all the different areas. As an Infusionsoft Certified Partner, I’ve done my fair share of setting up new Infusionsoft accounts for a variety of businesses - both large and small. I know how overwhelming it can feel - in fact the first time I was introduced to Infusionsoft, I was pretty much thrown to the sharks...
Good thing I can swim. After floundering and ultimately figuring my way around Infusionsoft myself, and then getting fully certified to set it up the “right” way, I can tell you that when there’s a process into getting everything set up, it’s much smoother sailing.

A checklist like this would have made my life so so much easier way back when. Lucky you, I’m sharing it with you today. Each time my team and I start with a blank Infusionsoft slate, we follow this checklist to keep us on track and make sure all areas are good to go. The checklist is broken out by the 4 main pillars you see when you hover over the Infusionsoft logo while inside your app: ‣CRM ‣Marketing ‣Ecommerce ‣Admin **Note: Depending on your package, you may or may not have access to all the areas listed.** When getting started, I recommend setting up the Branding Center first (under Admin). This allows you to set the defaults you’ll see throughout the other pillars in your templates, campaigns and order forms. Your branding guide is usually your best bet here. If you don’t have one, use your logo, website colors and general feel of your website to keep cohesive communication for your brand. © 2014 Foundation & Flow, LLC

After setting up the basics in the Branding Center, the flow we then follow is this: Set up webforms all opt-ins that currently exist in the Campaign Builder Move over nurture emails / auto-responder sequences for all opt-ins Create products / order forms for all your products Move over follow-up emails for your products Replace code on your website and other pages for all opt-ins Replace code on your sales pages for all products Then, after all this is complete, you can import your list and messages from your old email provider. Can you import them before? Sure, but you’ll have to keep doing imports until you get all your optin forms and products moved over, so why not save yourself a step or two?

CRM TIP I don’t recommend importing your contacts first thing. First, make sure all your opt-in form codes are converted over to Infusionsoft so that you don’t have to do multiple imports of “straggling” people who optin during your transition period. A note about “Opportunities” and “Companies” If you see these under “CRM” in your Infusionsoft application, that means you have a “Sales” set-up. This area was designed for companies with large lead gen and sales teams, and most of my audience and clients don’t fit into this bucket. However, if you do, I’d be happy to share some information. MARKETING Campaign Builder Setup basic opt-in Set up all opt-ins that currently exist I recommend making a list of all your opt-ins - Not just your main opt-in but any interior pages of your website, Lead Pages, Facebook (that’s the one most people forget!), etc.
Long term nurture campaign ie, newsletter that’s pre-planned and not on the fly
Delivery of online product campaign Any additional campaigns such as customer ‘wow’ sequences, birthday emails, anniversary notes, etc. The world is your oyster here! Any email or process you do can be made into a campaign or funnel for your business.
Emails & Broadcasts No need to set anything additional up here. This section is where you’ll send out ad-hoc emails with the ability to use a pre-made template to your list and segments using Email Broadcasts. You also have the ability to set up other types of broadcasts, but they aren’t widely used.

Templates Create basic templates to use regularly Newsletter Template and clone each week if you create on the fly *set up a campaign if you plan them out a month in advance
Create note templates with attached actions A note template is used to record a personal interaction or event related to an individual contact record. A note template will add a note to a contact record as well as apply automation (such as apply a tag). Used in campaign builder primarily - Optional
Move over templates and content you want to keep from your current email provider such as auto-responders, nurture sequences, emails for programs, etc. Some systems (like Aweber) allow you to export out all your messages in one zip file. These can be stand-alone templates, though most likely they will fit into a campaign within the Campaign Builder.
Marketing Reporting and widgets Keep it simple, pick 1-5 that you’ll pull monthly… first ask what your metrics are and what you want to measure… remember, what you measure gets improved!

E-COMMERCE Settings Connect Merchant Account If applicable; this is what allows you to accept credit card payments. Examples are Paypal Pay Flow Pro, Authorize.net, etc.

ADMIN Branding Center Setup your brand first thing, this will save oodles of time later. This is where you can set up your fonts, logos and colors that will match your branding.
Default Templates After you create one you can copy that over to all the others. The only one you cannot update in terms of all fonts is the email confirmation template which is used in double opt-in sequences.
Logos Infusionsoft footer Users Setup global user settings and individual user settings NOTE If you have custom fonts, ie not Arial or Times New Roman, you will not be able to use the drag and drop builder, but rather will need to set up your emails with code. I recommend choosing from the fonts available for best end-user readability and ease of use in Infusionsoft. The drag and drop builder is an excellent feature that makes life easier. Trust me.

MY NAV This is an area in your Infusionsoft menu where you can customize it to include your most used areas of the software for convenience. All you need to do is hit “Edit” and drag , drop and delete as desired.
Set dashboard for each user and/or department User calendar and task list Completely optional. You can actually use Infusionsoft as your ‘project management’ system to an extent, though it does not have the bells and whistles in this capacity. For this reason, my team and I stick to Redbooth for calendars, tasks and due dates.
