San Mateo Little League American Election Process

Nominations   The  Secretary  shall  preside  over  the  Nominations  Committee.    The  Nominations   Committee  shall  recruit  candidates  and  prepare  an  election  ballot  from  April  1   through  April  30.    

  Notice  of  Election   The  Secretary  shall  provide  formal  notification  of  the  Annual  Meeting  of  Members   and  Election  of  Officers  to  all  Regular  Board  Members  in  good  standing  via  mail  or   email  on  or  before  May  1.    

  Absentee  Ballot   The  Secretary  shall  issue  Absentee  Ballots  if  Paper  Ballots  are  cast.  Absentee  Ballots   must  be  returned  in  a  sealed  envelop  by  May  29  at  6:00  PM  to  be  tallied  in  the   election.

Election  Procedures   The  Secretary  shall  preside  over  the  Annual  Meeting  of  Members  and  Board   Election.  SMLLA  will  hold  their  Annual  Meeting  of  Members  between  May  15  and   May  31.  Each  Regular  Member  can  cast  one  ballot.       Paper  Ballot:  the  Secretary  will  select  a  single  election  date  between  May  15  and   May  31.   Electronic  Ballot:  The  election  dates  will  be  from  May  15  to  May  31  at  6:00  PM.   A  Regular  Members  are  Board  Members,  Managers  and  Coaches  that  have   successfully  passed  SMLLA’s  Background  Check  and  Child  Safety  requirements.     The  election  process  will  be  by  secret,  paper  or  electronic  ballot.  Absentee  ballots   will  be  made  available  if  paper  ballots  are  used.   The  number  of  ballots  cast  must  be  at  least  33%  of  the  number  of  Regular  Board   Members  for  the  election  to  be  valid.  Example:  250  Regular  Board  Members   requires  83  votes  be  cast  for  a  valid  election.   50%  plus  one  (1)  vote  of  all  ballots  cast  are  required  to  be  elected  to  a  board  seat.   Example:  94  ballots  cast  would  require  47  +1  or  48  votes  to  be  elected  to  a  board   seat.   The  Board  may  not  be  fewer  than  six(6)  members  and  no  more  than  thirty-­‐five  (35)   members     The  New  Board  shall  be  announced  on  June  1   The  Secretary  shall  preside  over  a  meeting  of  New  Board  Members  for  the  purpose   of  electing  new  officers  between  June  2  and  June  14.    The  following  Officers  shall  be   elected:  President,  Secretary,  Treasurer,  Player  Agent,  Information  Officer,  Vice   President  of  Operations  and  Vice  President  of  Operations.  The  President  shall  meet   with  the  remainder  of  board  members  to  appoint  or  elect  individuals  with  a  skill  set   that  best  matches  the  position  at  hand.   The  newly  elected  Board  and  corresponding  positions  shall  be  announced  on  June   15.

Summer  Transition   The  purpose  of  a  summer  transition  is  to  provide  adequate  time  for  planning  and   transfer  of  knowledge  between  outgoing  and  incoming  Board  Members.     IMPORTANT:  The  outgoing  President  shall  make  certain  to  complete  the  City  of  San   Mateo’s  Certificate  of  Agency  Compliance  Form  no  later  than  August  1.   http://www.cityofsanmateo.org/index.aspx?NID=235  

  New  Board   The  newly  elected  Board  of  Directors  shall  assume  responsibilities  on  September  1.      

Fall:  Updating  Officers  with  Little  League  International   Little  League  International  is  now  preparing  to  send  Charter  Applications  for  the   coming  season  to  local  Little  Leagues.  A  critical  step  in  the  process  is  for  each  local   Little  League  to  update  the  list  of  officers  with  Little  League  International.         Once  the  local  Little  League  elections  are  completed  and  the  new  board  of  directors   elects  the  officers,  it  is  important  for  the  president  or  the  secretary  to  notify  Little   League  International  of  all  the  newly  elected  officers.           Little  League  International  will  use  this  list  of  contacts  in  the  local  league  to  provide   important  information  and  updates  throughout  the  season.  These  updates  include   policy  changes,  rules  and  regulation  updates,  and  reminders  about  the  league’s   charter  status.       To  update  your  officers,  you  may  use  the  Little  League  Data  Center.  To  access  the   data  center,  click  here  (http://datacenter.activeteamsports.com/llb/index.jsp)  and   then  select  “Update  Officers.”       If  you  do  not  have  an  access  code  for  the  Data  Center,  please  send  an  email  with   your  league  number  to  [email protected]     You  may  also  print  a  blank  form  at   http://www.littleleague.org/Assets/forms_pubs/OfficerChangeForm.pdf     Remember,  if  the  league  normally  uses  a  Post  Office  box  (recommended),  it  must   supply  headquarters  with  a  physical  address  as  well,  so  packages  can  be  shipped.
