Project Specific Provisions: 1. All inquiries during the bid and evaluation process must be directed to the Buyer of Record, OSU and the A&M Systems Purchasing Department, by phone at 405-7445984, fax 405-744-5187, email [email protected], or if you are responding to an online solicitation please use the associated Question and Answer Board. Contact with the end user, department, or contracted parties during the bid and evaluation process may disqualify bid. 2. All questions are to be submitted on the Online Q&A Board associated with the Online Solicitation. All clarifications, revisions or changes to the bidding documents will be addressed in writing and published in OK Corral. Bidders may access these changes by logging into their profile and accessing the Online Solicitation. Bidders will receive an automatic notification of any amendment made to the event. Bidders are encouraged to monitor the Online Q&A Board associated with the Online Bid while the bid is open, all questions and answers will be published to the Public Q&A Board for review by any associated Bidder. OSUA&M-RFP-000347-2018 GENERAL SPECIFICTIONS FOR FURNISHINGS COLLEGE OF BUSINESS OKLAHOMA STATE UNIVERSITY STILLWATER, OK

SCOPE The work shall consist of furnishing all deliveries, equipment, materials and labor necessary for a "set in place" installation. Furniture must be placed in specified rooms. PROJECT LOCATION Furnishings are to be installed at new Spears School of Business on the campus of Oklahoma State University, Stillwater, OK 74078. The building is scheduled for completion in November of 2017. This date may change and successful bidders will be notified of the current construction status at the time of the bid award.

DELIVERY AND INSTALLATION Oklahoma State University will not accept delivery of any materials on behalf of the vendor. The vendor must be present at the job site when materials are delivered. At this time the delivery and install will be Begin January 2018. If furniture arrives before that date or if we must change that date the vendor will hold all furniture until time of install. Vendor will supply installation crews with furniture plans indicating location and quantities of products installing. SITE LOCATIONS Building is located on the campus of Oklahoma State University, centrally on Hester Street between Morrill Avenue and Athletic Avenue. Furniture shall be brought in via the east side of the building. No loading dock will be available. Items will need to be delivered by a lift gate truck to areas via dolly or other form of carting with non-marking wheels. PROTECTION OF EXISTING SURFACES Vendors shall verify that surfaces to receive work under this contract are satisfactory in every way for complete, flawless, and permanent installation. Prior to commencing work any condition which is unacceptable, or in any way unsatisfactory shall be brought to the attention of Oklahoma State University to the attention of Cheryl Dillard, Interior Designer, or Jay Cheves, Project Manager, by written notice stating the areas involved and detailed reasons for unacceptability. Any damages to any surfaces either in the work area or other areas of the building resulting from the vendor's work shall be repaired by the vendor without cost to the owner. CLEAN-UP WORK Each vendor shall clean up their work areas every day. A thorough clean up leaving areas and surfaces in a neat and clean condition shall be performed upon completion of installation. All trash and debris must be disposed of by each vendor at an off-campus location. OWNER'S TRASH RECEPTACLES MAY NOT BE USED FOR THIS PURPOSE. FREIGHT CLAIMS Each vendor shall receive, inspect, and handle all inspections prior to installation. Full responsibility rests with the vendor for settlement of claims and damage on all equipment and furnishings. PARKING REGULATIONS The vendor shall comply with all parking regulations now in effect at the Oklahoma State University campus.

TOBACCO POLICY Oklahoma State University is a tobacco free campus. Smoking and the use of all tobacco products are prohibited on campus. This policy applies to both employees of the University and visitors. As such the installation crew will not be allowed to use tobacco products on campus during the installation. GROUP BIDS AND ALTERNATE PRODUCTS A: Group 1-15 all equals will be considered. Brand names indicated are for establishing the style, function and quality of furniture desired and not restrict the specifications or limit the bidding to a particular manufacturer. ALTERNATES should be submitted to OSU Purchasing for evaluation with the bid. The submittal shall include manufacturer makes and model numbers, technical specifications, photos, and environmental data sheets. It shall be the responsibility of the vendor to establish the quality of items. Samples of alternative products shall be submitted within a 3-day period upon request by OSU. FABRIC, LAMINATES, BASE COLORS AND POLYPROPYLANE SURFACES There are NO SUBSTITUTIONS for fabric, laminates colors, base colors and polypropylene surface as these were chosen by a committee of staff and faculty in the design of the Spears College of Business. Customer’s Own Material, C.O.M., resulting in a remnant exceeding 1 yard is to be returned with furniture upon installation. WARRANTY All furnishings shall be warranted free of defects in materials and workmanship and suitable for the intended use in a public institutional environment for a period as defined in the group specifications. Vendors will make repairs on a timely base upon receipt of the written request of the owner. STANDARD EVALUATION CRITERIA Evaluation Criteria for each group: a. Appearance, Durability, Similarity to Spec, Function b. Value Added. (Product or services added that meet or exceed our specification) c. Cost d. Overall Satisfaction e. Warranty -No partial group award bids FURNITURE PRE-INSTALLATION MEETING Awarded vendors will be required to attend a furniture pre-installation meeting on the construction site premises. Date for meeting to be determined by Cheryl Dillard, Interior Designer. Vendors will be required to attend meeting in appropriate construction protective apparel. (Hard hats, safety glasses, safety vest, jeans, closed toe shoes (prefer boots), and shirts with sleeves) Attendees will be required to bring floor plans with items they will be supplying, list of awarded items, and estimated arrival dates of product to aid in creation of installation schedule. SHOP DRAWINGS Shop drawings will be required for systems furniture in order to verify the quantities and parts required. In the event specifications and plans conflict, notify OSU purchasing for verification prior to bidding. It is the vendor’s responsibility to verify all parts and quantities needed for a complete installation as shown on the drawings. QUANTITIES SPECIFIED Quantities specified are assumed to be sufficient to complete the project, but the owner reserves the right to add or deduct from the quantities up to 120 days after the purchase order is issued.

ALTERNATES Should an alternate be proposed, OSU reserves the right to request a sample of the alternate product for further review. Product must arrive within 3 days following the request.
