*Due to attendees schedules the order of the agenda was changed at the meeting. Agenda Item I. Gymnastics Work Group Update (7:00-7:20pm)
Discussion, Consensus & Action Items Group is now meeting more than monthly and focusing on fess and surcharges. There will be a public engagement piece to gather views on the work group’s recommendations. The work has uncovered items that are not understood and can use clarification. DPR has been open to sharing information. One proposal is to have the sports commission involved in setting team fees yearly. Sports Commission members are interested in this. Group is also looking into where the funds go in terms of to the general fund or back to DPR.
II. Sports Commission goals discussion. (7:20-7:47pm & 8:158:35pm)
Goals are listed on the handout in Appendix A. These are items put together that could be considered as statements of what the Sports Commission will work on for the next year. The list is only a starting point. Goal Specific Feedback: 1 – This goes with #10, part of overall vision. 2 – Should a statement be made in relation to this? If the pool does not happen what will be done with the land? 3 – Long standing wish list item, does have support. 5 – Bluemont project should be a part of the diamond d field initiative, where do diamond fields fit into the master plan? Can there be a master plan just for diamond fields? 6 – 2017 is the plan from the field fund work. 7 – DPR has released a statement. Appendix B. 15 & 17– Could ask all sports groups to present their best ideas and have board members attend to hear them. Unlikely that this will happen. 18 – Do we have a good representation from adult sports in survey/feedback data? Overall feedback: Goal 1-3 are expensive. Many items depend on getting funding. Commission should look at what’s happened in the past, how things got done and use that to guide choosing items. Should there be both short term and long term strategic goals? Could look at what are the needs of the Sports Groups, what is ideal and how far behind are we? Focus on building coalitions around issues such as lighting. Commission should also look at what they don’t want to happen and how they could prevent that such as not looking fields to construction.
Action Items
Craig will send commission members an email with instructions on how to rank the items. Members may rank as many as they like. They may also create themes from the list of items. Additional work on this will occur at future Sports Commission meetings.
III. Staff Liaison follow up (7:48-7:50pm)
At the last Sports Commission meeting two action items were set for the Staff Liaison. 1. Find out if the outfield area at Bluemont Park can be reserved as a rectangular field and report to the commission. a. Yes it can be reserved. 2. Check on the status of the donation/sponsorship work DPR had started earlier in the year and report to the commission. a. Work has been taking place with a focus on donations under $50,000. The group will present to the Sports Commission in the future.
IV. Field Fund discussion. (7:51-7:52pm)
DPR Director is working with DPR staff and should have a response to the Sports Commission soon.
V. Approval of September 25, 2014 meeting minutes. (7:53-7:55pm)
Question was raised; do we have to include enter later/leave early times? It keeps accurate records of attendance.
Consensus
Meeting Minutes were approved.
VI. TJ Work Group update (7:56-8:14pm)
Craig is on the work group and asked the group what opinions they wanted to be shared. Baseball field at TJ is nice and was recently worked on, do not touch that field please. In the past construction set up has occurred on fields, it leaves debris and the fields in bad condition.
VII. Leveling The Playing Field (8:36-8:42pm)
Heather provided information about an organization called Leveling the Playing Field. They collect used sports equipment and donate it to needy individuals. Does the Sports Commission want to sponsor this? Soccer and Baseball groups currently or in the past have done similar things but not though this organization. Heather and Ellen are interested in working on this together.
Action Item
Heather and Ellen will work with Leveling the Playing Field to see if they can do a presentation to the Sports Commission to get more information.
