SXSW 2017 Volunteer Expectations, Policies & Guidelines SXSW, LLC (“SXSW”) is thankful for our diverse and talented group of volunteers who wish to participate in the SXSW 2017 C onference and Festivals (“Event”). This document outlines SXSW’s expectations for volunteers, and policies and guidelines, which must be agreed upon by each volunteer in order to participate in the Event. Expectations: SXSW will provide the following:

 At least one pre-event online training session and quiz to familiarize you with the role of a SXSW Volunteer, and the Event environment.

 Supplies and verbal and/or written instructions as needed to assist in the performance of your volunteer position.

 Volunteer crew managers and SXSW staff to support you throughout the Event.  A schedule of shifts in advance of the Event, and w i l l communicate any changes to such schedule as soon as possible.

 Be available to answer any questions about scheduling and/or general volunteer concerns.  Confidentiality of all personal information supplied to SXSW via the SXSW o n l i n e s c h e d u l i n g s ys t e m , Shiftboard.

 Strive to create a positive and memorable experience for each volunteer. Each Volunteer commits to:

 Follow within the volunteer policies and guidelines as well as any direction that is provided by crew managers or volunteer coordinators.

 Have a valid email address that is not shared or used by anyone other than you.  Make sure your Shiftboard online profile is complete and up-to-date at all times.  Use Shiftboard to view your schedule and contact a crew manager if there are concerns about scheduling.  Attend all required pre-event meetings or training sessions with crew managers.  Cooperate with crew managers and fellow volunteers.  Be prompt to and reliable for all scheduled volunteer shifts.  Notify S X S W t h r ou g h Volunteer Central and crew managers as soon as possible if if you are running late to a shift or will miss a shift.

 Not have a family member or friend fill in for a shift for which you are scheduled.  Contact SXSW staff prior to consenting to an interview if approached by media.  Discuss any concerns you have about other volunteers or SXSW staff with Event Staffing and Resources staff.

 Accept the right of SXSW to dismiss any volunteer for poor attendance or inappropriate performance. Policies & Guidelines



The submission of a volunteer application does not guarantee a volunteer role with SXSW.

 SXSW Volunteers play a valuable part in the success of the Event. Volunteers are expected to act courteously and professionally with patrons, registrants, speakers, volunteers and during interactions with others associated with SXSW and follow the SXSW Code of Conduct available here: https://www.sxsw.com/attend/code-of-conduct/.

 Volunteers must be at least 16 years of age AND meet the age requirements set forth by individual volunteer crews. Parental consent is required if a volunteer is under the age of 18.

 Volunteer schedules will not be confirmed until a meeting with crew managers has taken place or the online training session has been completed. Volunteers are responsible for any and all communications sent by crew managers and volunteer coordinators.

 In the course of volunteering for SXSW, volunteers may be exposed to confidential information and it is expected that such information will be kept confidential.

 Any violation of sexual harassment or other laws will jeopardize future opportunities with SXSW and SXSW affiliated events and may result in legal action if warranted.

 Volunteers must indicate any physical or mental conditions, or limitations they might have on the Volunteer Application and notify the volunteer coordinators o f a n y s p e c i a l n e e d s prior to the first shift. Volunteers are not obligated to participate in any activities, which may cause injury, conflict or distress. However, if volunteer does participate in such activities, volunteer assumes the risk of such activities.

 SXSW will provide one basic meal for volunteers assisting for 6 or more hours within a 24-hour period. It is the responsibility of the volunteer to arrange for any special dietary needs, or restrictions.

 The SXSW credential earned in exchange for volunteer hours is not transferable and may be revoked if an attempt to share, sell or give the credential to another individual is made, or for any violation of SXSW policies. The badge must match the volunteer’s valid, government or school issued ID.

 Prior to volunteering, each volunteer will be required to sign SXSW’s Volunteer Release and Waiver of Liability.

 If it is necessary for a volunteer to withdraw a volunteer’s services during the Event, the volunteer m u s t n ot i f y E v e n t S t a f fi n g a n d R e s ou r c e s s t a f f , as well as crew managers, as soon as possible. I n
