After a job has been closed using the Deliver Plugin InCharge applies additional database fields and runs required clean up and back up actions. Files are emailed, copied or sent via FTP and the job’s archive times and settings are reconfirmed.

Archive to Disk After a job is closed InCharge moves the job to the designated archive disk and flags the job as nearline. Archived jobs are easily retrieved and restored to the desired location when needed.

Migrate to offline Media InCharge introduces the ability to migrate jobs from disk archive to offline media when the archive time runs out. Ready-to-burn folders are created and the Venture database is updated with the correct location of your migrated jobs.

Keep it all in Perspective. InCharge Admin is an overview tool that allows you to see the status of active jobs, jobs on their way to archive, archived jobs and jobs that have already been moved offline. Being in complete control of your workflow has never been so easy!

JOB FOLDER STRUCTURE InCharge uses a templated folder structure when it adds a new job. The job structure template appears as a normal folder on the server, making it easy to update as needed.

The Tracker Project Creator is used to create new Jobs. The plugin asks for Customer and Job IDs and the archiving parameters in order to create the job at the correct location on the server and to apply the appropriate archiving setup. In addition to that, it can ask for optional information that will be applied to the job’s database records.

SERVER STRUCTURE A new job is inserted into the server structure using a “path recipe.” It is easy to keep an organized and consistent server structure using the InCharge tools to create jobs. VENTURE DATABASE CONNECTIVITY All relevant InCharge information including optional custom database fields are applied to the job folder when created. Consistent database tagging makes it easy for the entire staff to find jobs. INTEGRATION WITH OTHER SYSTEMS Since access to the Job Creator is through a URL, it is easy to integrate this tool with common database systems like FileMaker Pro.

Job Delivery: CLOSE JOB AND PREPARE FOR ARCHIVE When closing a job, the archiving setup is confirmed and the job is flagged “ready to archive.” Based on its configuration, the job will stay online for a buffer time or be archived to disk immediately. It is also possible to enforce admin approval before archving. HouseKeeping A live job may contain items that don’t need to be archived: copies of CD contents, mockups, temporary psd files, etc. These files can automatically be deleted by InCharge before archiving happens. OPTIONAL ACTIONS InCharge is fully integrated with Tracker and therefore can run custom actions. This makes it possible to make backup copies, deliver files back to the customer, etc. Since Tracker is fully customizable, you can easily add your own scripts to the InCharge workflow. HoT FOLDERS Legacy jobs and other workflows may need optional ways to incorporate jobs into InCharge. Hot folders make it possible to import and add jobs by using drag-and-drop.

InCharge Delivery Plugin: The Delivery plugin closes the project and reconfirms the archiving options. The job is flagged “ready to archive” and InCharge will include it on the next archive schedule.

Nearline Disk Archive: Structured archive InCharge maintains the disk archive structure the same way as the server structure. It is possible to mirror the archive to the server or maintain a different structure. archive time The need to keep jobs in nearline archive is influenced by business decisions: What type of job? Who is the client? Has the client purchased the archive option? InCharge keeps track of the time a job will stay in the nearline disk archive. Every job can have unique archive settings. Webbased restores Any job living in the Nearline Archive can easily be restored using the Tracker Move plugin. For controlled environments, restores can be forced to a specific location.

Job Migration to Offline Media: scheDuled Migration to offline media A job will not be needed forever. After the chosen archive time has expired, InCharge migrates the job to the final media. InCharge creates ready-to-burn folders suitable for burning DVDs or CDs. Naming of folders is automatic and the unique names are passed back to the Venture database so users can find the proper disc name in WebNative.

Administrators Tool: admin approved archiving and migration Admin approvals before moving a job to Nearline Archive or migrating to Final Media can be set to require Administrator approval. This gives more control over the archiving process as well as CSR checkpoints for contacting customers.

job status at a glance The InCharge administrator tool is configured to give quick answers for typical questions like: What jobs are open? What jobs are awaiting archive? What jobs are due to be migrated? The tool can be used by CSRs in sales or customer service related projects as well as by the production managment when assigning jobs to staff or housekeeping the server and offline media storage.
