Top tips for Xero users February 2017
In this month’s top tips we will help you get to know your contacts details inside out, with Xero’s new contact transactions reports. We also review the app Capsule. Contacts are an integral part of any business. You need to know who your key contacts are, who owes you money, their payment history and how much you spend with a particular supplier or sell to a customer. Xero have released four new contact transaction reports - -

What you see in the report summary is up to you. Simply tick the details you want to show, drag-and-drop to reorder the columns and then save the report as custom for everyday use. All of these reports are accessed via the contact transactions summary in the report centre. To quickly navigate to this report, simply search ‘contact’ in the search box in the top right. To access the individual reports you will need to click on each report you want to view i.e. receivables, payables or cash.
Detailed statement of account The contact transactions receivables report combines all of the contact’s invoice transactions together on one page. This report is essentially a detailed statement of account showing a customer’s opening and closing balance, as well as a running balance that includes outstanding invoices and credit notes.
Using the filters you can choose to include prepayments, show decimals or break down into tracking categories.
Top Tip… Another great tool for keeping on top of contact activity is the integration that allows your email messages to or from a contact to be seamlessly accessed in Xero alongside their financial transactions. By selecting the email tab in a contacts window you will be able to set up a connection to either a Gmail or Office 365 account. Once this is completed the email tab will show your email communications with that contact. But its more than just viewing emails. If an email contains an attachment, you can add those to your contact’s record. Or if a contact has emailed you about a quote, you can initiate a new quote right from within Xero. It will even attach the original email as a record. App review Capsule is a simple customer relationship management (CRM) system that integrates seamlessly with Xero to provide a complete picture of your customers. The contact page gives you a bird’s-eye view of everything you know about a contact so that you can keep track of the people, companies and other organisations you do business with. It goes a step further than Xero’s integration with emails and also allows you to: • • • •
Add notes and store emails by sending them from any email into Capsule Attach documents, agreements, proposals and other files Add and complete tasks that need to be done for each contact Share contacts with co-workers ensuring that you all have a single up-to-date view of them
