Travel Team Financial Aid Policy Effective Date: 21 March, 2012
Revised: Second revision 10April 2014 Scope: This policy defines the procedures for applying for and approving Financial Aid for Travel Team players and their families.
Responsibilities: It is the responsibility of the Travel Team Committee to apply this policy when receiving applications for financial aid. Overview It is the belief of the Valley Soccer Club that when possible all players that are capable should have an opportunity to play Travel Team soccer for the club and that personal financial constraints should not be a deterrent. The club will, where possible, assist financially with players Travel Team costs such as registration fees and uniforms that are essential for players to be able to participate in the fall Travel Team program. Valley Soccer Club does not offer Financial Aid for optional activities such as tournaments, indoor play, camps, training etc. It is not the intent of the Valley Soccer Club to pry into personal matters but the club feels a fiscal responsibility to its members to ensure that funds are distributed and used appropriately.
Procedures and Guidelines Application All players and families applying for financial aid must submit in writing to the Travel Team Coordinator a request that should minimally contain the following:
Players/Family involved Contact information and preferred means of contact The reasons for the request including the rationale behind the need for financial aid (no personal finance figures need be given only an overview of the issue) Any timeframes that the applicant deems would be useful for purposes of review (eg currently out of work but expecting…) Any volunteer work at the club that the applicant would be willing to be involved in
Review and Approval Process
Upon receipt the Travel Team Coordinator will bring the application up for review and vote by the Travel Team Committee within 10 working days. A yes vote of 51% of the Travel Committee members (5 members required for quorum) will be considered an approved request. Upon approval the Applicant will be notified as well as the players Head Coach and Team Manager who would be responsible for collecting team funds. All Financial aid will be considered as a relief from payment and the club, once granted, will have no recourse to request repayment or have any other expectations of future actions. Applicants must re-apply annually and include any changes to their circumstances from the previous year on the new application. Valley Soccer Club reserves the right to alter this policy without notice upon approval Board approval of any changes
