WHITMAN COLLEGE ATHLETICS OVERNIGHT HOST AGREEMENT AND GUIDELINES 1. Once you have met your guest it is a good idea to go over their schedule for the next day. You should make a plan for the morning. Make sure they know where they are going, how to get there, and when to arrive. Take a look at their class schedule and ask around your section to see if anyone is in those classes. Visiting students attend classes alone, but a recognizable face in the classroom can make the experience much less intimidating. Remind your student that these appointments have been made especially for them and they should attend. Please do not offer to take them to a different class than what is scheduled. We notify faculty in advance that they will be attending. This keeps us on good terms. 2. Appropriate Conduct. No physical and/or sexual relations of any kind between you and a prospective student staying in your room will be tolerated. Failure to comply will result in permanent removal from the overnight hosting program and follow up with the Academic Resource Center. Physical and/or sexual conduct between the prospect and any Whitman College student – including other team members is also strictly prohibited. 3. Drugs, alcohol, and parties are off limits without exception. Remember the age of these students and the liability issues attached for both you and the college. The student may seem comfortable around such activities, but these situations may be threatening. You may have a visitor that wants to engage in such activities, but you need to say no. If a guest puts you, or a member of your section, in an uncomfortable position, or engages in any activity you feel is inappropriate for any member of the Whitman community, you should contact your coach or if you would like to speak to someone in the Office of Admission please contact Christi Hayes, Interim Campus Visit Coordinator, 509-522-4423. In case of an emergency, call Campus Security. If you hear of or observe this happening with other prospective students, please notify Christi right away via phone or the next day by email:
[email protected] (depending on the urgency). 4. An incident report alleging any misconduct will go to the Dean of Students office for judicial proceedings. It should also be noted that the prospective student’s admission to the college could be jeopardized if he or she violates college policy- so it is in the best interest of all involved to discourage any misconduct. 5. What to do for the evening? It is good policy to ask your guest what they would like to do, but most will not know what is available and not be able to offer many ideas. If the student says “I don’t know or I don’t care,” take charge and offer activities you enjoy. The worst thing you can do is to let your guest be bored. Most visiting students will be content to hang out and follow you around for the evening. As prospective students, they want to learn about the daily life of a Whitman student. Feel free to connect them with your friends as well. However, please remind your friends of the guidelines in #2 & #3. You are ultimately responsible for this student. 6. Breakfast. Take your prospective student to breakfast or provide them with directions on where they need to be at the appropriate time. If you are unable to eat with them, please connect them with someone in your section that can take them to breakfast. 7. Sleep. Don’t forget these students are probably living on a normal sleep schedule and may not want to stay up until 3:00 a.m. Many will have appointments with faculty members and/or have admission interviews early the next day – we want them to be awake during these appointments! Also, while it is certainly fine to introduce your prospective student to your significant other, please do not have your partner spend the night in your room with your guest. Some students may feel uncomfortable with this situation. Finally, please refrain from public displays of affection in front of your guest as they might be put in an uncomfortable position. 8. Luggage. In the morning, work out a plan for luggage. They can bring it to the Office of Admission and store it with us. Some hosts will make arrangements to meet later in the day and pick it up from their room. PLEASE SIGN TWO COPIES OF THIS FORM. KEEP ONE COPY FOR YOUR RECORDS AND RETURN THE OTHER TO YOUR HEAD COACH.
