TERMS OF EMPLOYMENT: Support employees new to Mid-Del are considered probationary during their first year of employment. QUALIFICATIONS: One-year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience. Desired efficiency in MS Office (Word, Excel, PowerPoint, Outlook), Adobe Acrobat and various data entry related programs. QUALIFICATION REQUIREMENTS: Schedules appointments, gives information to callers, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the essential duties and responsibilities. EDUCATION and/or EXPERIENCE: One-year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience. LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers and employees of organization. MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole number, common fractions and decimals. Ability to compute rate, ration, and percent and to draw and interpret bar graphs. REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. The noise level in the work environment is usually moderate. ESSENTIAL DUTIES AND RESPONSIBILITIES: 1. Composes and types routine correspondence. 2. Files correspondence and other records. 3. Answers telephone and takes messages. 4. Schedules testing appointments for clients and notifies clients of said appointment times. 5. Greets visitors, ascertains nature of business, and conducts visitors to appropriate person. 6. Obtains and organizes data on potential students. Serves as backup to financial secretary as needed. Maintains and executes knowledge of various computer programs and student accounting programs. 7. Assists ELITE students in enrollment for daytime and short-term classes. 8. Maintains files for each ELITE student and schedules ELITE students for individual counseling and conferences with program coordinator. Checks each student’s file for program intake papers, ET-2, ET3, test scores and individual training plans. Enters student data into ODCTE Work Prep data base. Also maintains current addresses and phone numbers as clients reports change. 9. Obtains and organizes pertinent data for State Department of Career Tech reports. Prepares program reports, letters, and ET-13 attendance reports for DHS. Reviews attendance reports for completion and signatures. 10. Types requisitions for ELITE program. Maintains purchasing expenditures, budget and statistics. 11. Maintains inventory. Maintains supplies and books for students to checkout. 12. Maintains classroom schedules for ELITE activities. 13. Makes phone contacts and prepares correspondence. 14. Collects information and maintains files on vendors, service providers and client resource materials. 15. Provides clerical support for the ELITE program. 16. Prepares accommodations and assists in meetings. 17. Assists with pay related documents for all ACD instructors and with creation of purchasing and payment documents from various ACD accounts. 18. Executes responsibilities for construction of short-term catalogs and mailers for fall and spring. 19. Other duties and responsibilities as required by Coordinator or Director of Adult Career Development.
