Valparaiso University Private, residential university Enrollment @ 3900 Undergraduate, Graduate, Law Divisions Four undergraduate colleges, plus an honors college Datatel client since 1998, V. 17 current WebAdvisor since Fall 2002, V. 2.12 current
The beginnings Conversion to pre-registration Spring 1985 for Fall 1985 Previously “bull pen” registration 2 days prior to start of semester “How will you know that they have come back in the fall?”
The options Pay your bill or classes cancelled Faculty verify rosters at the beginning of the semester Students confirm registration at beginning of semester Don’t worry about it
For 20 years we: Prepared confirmation packets for each students, registered or not (16 bank boxes) Inserted student schedule or registration information, biographical information sheet Coordinated physical arrangements with VUPD, Dining Services, Health Center, Student Accounts Offices Confirmation Center: Union Great Hall, 2 days prior to start of semester
Conversion to WebAdvisor Process mapped during Datatel conversion Committee worked for a year beginning Fall 2003 Promotion of change, late Spring 2004 Implemented for Fall 2004 Still a work in progress, reviewed and refined each time
The process Begin one week prior to start of classes No, not returning Verify permanent address
Yes, returning
Check/edit biographical information Student Accounts Information Student Life Policies Dining Services – not law students Law only: ABA work requirement
The result Workfile record with original/edited information when student completes the process Workfile queried daily for changes that need to be made Student not allowed to drop/add courses until confirmed “P” status automatically changed to “R” status with date on STDT Registrar’s Office contacts students with “P” status after classes begin
The advantages Less physical work and coordination in the Registrar’s Office No students allowed to bypass holds Can be done from anyplace that there is web access (e.g., overseas or off-campus programs)
The fall out Can be done from anywhere (failure of International Studies Office to communicate student status to Registrar’s Office/Dean) University Relations and Church Relations information dropped after first semester (newspaper, church affiliation and membership) Graduate students not initially included
We won’t go back!! Ease of use for students – 5 minutes Much quieter, calmer in Registrar’s Office at beginning of semester Far less physical preparation, more computer setup Most complex, longest web process
