Child and Youth Programs (CYP) Hiring Event Registration Station Checklist
Registration Station Checklist Station Leads must be available during the event to provide onsite training for Registration Station staff and facilitate oversight and quality assurance for the HET registration process. Station Runner:
Folder Distribution
Give the applicant one Hiring Event Applicant File (HEAF) and one Roadmap Folder (RF). Note: If the applicant is claiming veteran or spousal preference, provide him/her with the appropriately color-coded or numbered HEAF per event guidance. Station Staff:
Number Assignment
Assign applicant numbers in sequence for the type of applicant (preference versus general public). Give the applicant a name badge with that corresponding assigned number. Write the assigned number on the HEAF in the space provided. Station Staff:
Copy Center
If the applicant needs to make copies of (or download and copy) any required documents, ask a Station Runner to escort the applicant to the copy center and help him/her make the copies needed. Station Staff:
Documentation Review
Ensure that applicants have all of their required documents present, copied, and placed in their HEAF. Documents must include: Veteran/Spousal Preference Forms (include DD Form 214/a copy of sponsor orders for spousal preference applicants) Educational documentation (e.g., diploma, transcripts) Certificates, credentials, and licenses Identification (photo ID and social security card) Résumé and/or Application Reference Letters
Station Runner Handoff
Station Staff: Introduce the applicant to a Station Runner who will escort the applicant to the Verification Station waiting area. Station Staff:
No Entry to Event
If the applicant does not have all required documents, notify the applicant that he/she may not advance further in today’s event. If the applicant is able to obtain the required documents quickly, provide him/her with the event hours of operation and encourage him/her to return later in the day. If the applicant is able to download or access the documents electronically, direct him/her to a Station Runner who can help print items at the copy center.
