TO: AIC Faculty and Coaches FROM: Paul Kleschick, Registrar Jill McCarthy Payne, Faculty Athletics Representative DATE: September 15, 2015 RE: Yellow Jacket Academic Progress Checklist (progress reports) Attached is the Yellow Jacket Academic Progress Checklist. This report form has been approved by the Registrar to be used by the Athletic Department. Completing this form and returning it to the requesting student‐athlete is not a violation of FERPA as long as the student‐athlete has signed his/her portion. The form is simple to complete yet gives coaches the key information they need to identify academic difficulties and seek supportive services for their student‐athletes. The goal is to make sure student‐ athletes are academically eligible to play which in turn improves the College’s retention rate. For the convenience of all involved, the Yellow Jacket Academic Progress Checklist is submitted to faculty directly by the student‐athlete during the 5th week of the semester and then individually on a periodic basis if a coach feels he/she needs to a follow certain student‐athlete more closely throughout the semester. The form cannot be emailed to the professor from the student‐athlete or anyone else. Coaches must not contact professors about any academic issue regarding their student‐athletes. Coaches must direct all academic questions or concerns to the Faculty Athletics Representative (FAR) who will then make a determination if it is appropriate to make a further inquiry of the professor. The Yellow Jacket Academic Progress Checklist allows the coaches to fulfill their academic monitoring role as found in the AIC Student‐Athletic Handbook: Academic Monitoring The coaches regularly monitor the progress of student‐athletes. The Assistant AD of Compliance supplies coaches with the academic schedules of all team members prior to the beginning of each semester. Progress is formally evaluated at least once per semester through the College’s mid‐semester grades report. In addition coaches may utilize the Yellow Jacket Academic Progress Checklist. This Athletic Department progress report asks for feedback in regards to attendance, completion of assignments, whether the student‐athlete is earning a grade of C or better, and the professor’s comments/concerns. In the event a problem is discovered, an individual conference is scheduled with the athlete to develop strategies in order to rectify the situation. Actions could include assignment to tutors, assignment to study halls, follow‐up Yellow Jacket Academic Progress Checklist reports or a combination of the above. Your cooperation in assisting our student‐athletes in their progress towards graduation is greatly appreciated.
