Barcodes Configuration General Information This module is an optional add on. If you cannot access the module from the HOME PAGE and would like further information, please contact [email protected] The Barcode module allows you to define your barcode generation method using the new barcode configuration setting and then the system will automatically generate barcodes (depending on the generation method selected) for you when you add new products to the system. You will also be able to print barcode labels and run reports containing barcode information.

From the HOME PAGE, click on BARCODES - you will see the following options:

Barcode Configuration - This is where you define the settings to be used for generating your barcodes.

1. Manual You can manually enter the barcodes and the system does not generate them for you 2. Random Produces the barcodes with random codes, starts and ends with the numbers specified in the start number field and end number field. 3. Sequential Produces the barcodes in sequential order, starts and ends with the numbers specified in the next number field and end number field. Barcode Type Specifies the type of barcode that should be generated: “EAN-13” or "UPC-A" Start or Next Number Specifies the number the Random and Sequential barcode should start from

End Number Specifies the end of the range barcode should end at Note that if you select “Random” or “Sequential” for the barcode type then when you save the settings Zedonk will automatically generate a barcode for every existing product by size. Also with either of those two barcode types selected, every time you create a new product (or size) it will automatically create a barcode straight away for the new product. If you select “Manual” as the barcode type then you will have to manually enter a barcode against each product size both for existing products and when you create new products. You can do this in bulk with an export/import. Once you have defined your settings, click the “Save and Close” button. This will prompt you to confirm that you wish Zedonk to generate a barcode for every product size that does not currently have a barcode. This will not change the barcode for any existing barcodes. If you have changed any of the settings and you want a new barcode generate for all products then you should first use the “Clear All Barcodes” button described below.

Manual - allows the user to manually enter the barcode as the system does not generate them for you

You can chose the Label Style, Label Retail Text and Label Layout - Make all your selections from the drop down menu and click save and close. If you have existing barcodes and want to replace them. Select CLEAR ALL BARCODES first. To see barcode label styles, click here To add barcodes, go to DATA ENTRY To add barcodes in bulk, go to IMPORT/EXPORT Remember to add barcodes to any new products that are added.

Zedonk will tell you the number of barcodes that you have left and when you do not have any left

Clear All Barcodes

The “Clear All Barcodes” button will prompt you to confirm that you wish all the barcode information held against every product size (for all seasons) to be wiped. If you give this confirmation, then Zedonk will remove all calculated and manually entered barcodes from all products. Barcode aren't season based and are generated in the order the products are created. The "Clear All Barcodes" option in the Barcode configuration screen clears all your barcode and the best way to clear barcodes in a certain season is to export the data, clear it and then reimport it.

Inactive Products

You can chose to apply barcodes to inactive products by ticking this option

Barcode Sticker Styles When you decide which "style" to use, you must consider also the "Size" of sticker and make a sensible choice. It is your responsibility to ensure that the barcode image is readable by your scanners. This would be affected by the quality of paper and printer.

Barcode Data Entry This screen allows you to view all your products and their sizes along with their defined barcodes. You can amend, remove or enter barcodes as you wish. The check digit (last digit) is automatically added and no validation is performed on what you enter other than that the barcode is of the correct length length..

From the HOME PAGE, click on BARCODES - you will see the following options:

Enter the barcode number: first 12 digits of your EAN or first 11 digits of your UPC, and click SAVE AND CLOSE when finished.

The check digit (last digit) will be automatically added when you save.

Barcode Import/Export If you have your barcodes defined outside of Zedonk (e.g. in another system or in a spreadsheet) Zedonk can assist with importing those to avoid the need for you to enter each manually. The import facility requires data to be in a certain format and you need to use the export facility to generate a file with all your existing data and in the correct format. You can then amend that file to enter the barcodes and import it back in to Zedonk. You can also use this function if you want to chose specific products to have BARCODES In both cases, please be sure to select MANUAL in the BARCODE CONFIGURATION area - see this

You can export your data in a comma-separated value file (CSV) or in an Excel compatible file format. 1. Select the season 2. Select to include inactive products or not. 3. You can rename your file 4. Select the export file type ( XLS or CSV ) 5. Click on EXPORT

Whichever format you choose, the file contains one row of data for every product size. Each row has seven columns; an internal identifier for the product ( SKU_ID), product ID, fabric, colour , size, barcode, Description. You should amend the 6th column as required to enter the required barcode. You do not have to enter a barcode on every line just change or add those that you wish. Do not change any other data as Zedonk may not be able to import the file back in. The barcode you enter should be the full barcode you wish (e.g. a thirteen digit number if you have selected EAN-13 as your barcode type). However Zedonk will remove and recalculate any check digits when you reimport.

N.B. before preparing to import back into Zedonk you MUST ensure that the 6th column that contains the new/amended barcode must be in numerical format. To change this select FORMAT CELLS, select NUMBER as the category, SET DECIMAL PLACES to Zero and click OK

To import the data back in, there are two options. 1. You can save the data in CSV format on your computer and then import that file.

2. If you are working in Excel or a similar application you can use cut-and-paste to bring the data in by copying the six columns and paste the data into the box on Zedonk. NB When pasting data it must contain the column header. The import facility will ignore any barcode which is not of the correct format (i.e. is not 13 digits if you are working with EAN-13) and any existing barcode in Zedonk will remain in place and will not be overwritten. If your records do NOT upload, please ensure you have formatted the barcode data correctly.

1. Choose the CSV file you have saved. 2. Click Import. A message will appear with the total number of records imported

Barcode New Season You have created a new season - what do you have to do in the barcode module?

Barcode - New Season - From the HOME PAGE, select BARCODES and then BARCODE CONFIGURATION

When you create a new season, if you have chosen to generate barcodes SEQUENTIALLY or RANDOMLY you must go to BARCODE CONFIGURATION and tick the new season to ensure that barcodes are generated for products as they are created

Barcode Printing (from PRODUCTION BOOK OUT/BOOK IN) You can print barcodes for specific production orders

Preselect a default setting when you set up the BARCODE CONFIGURATION

You can print barcodes from either PRODUCTION BOOK OUT or BOOK IN To print from PRODUCTION BOOK OUT - the docket needs to be PARTIAL or COMPLETE

click on PRINT OPTIONS

BARCODES - generates the print document as per your default settings for all items on the this production order. BARCODES (ADV) - gives you the opportunity to select another layout or label size. BARCOSDES (SELECTED) - you select the quantity required per each sku on this production order.

To print from PRODUCTION BOOK IN - the status must be PARTIAL or COMPLETE

Click on the word PARTIAL or COMPLETE to go inside the BOOK IN area

The list of your book in's will show at the bottom of the page

How do I print a selection of barcode stickers from a production order? (inventory users only) You need to print only a selection of barcode stickers from a production order ....

From HOME PAGE, go to PRODUCTION BOOK IN/BOOK OUT

Find the relevant docket and click on PRINT OPTIONS and then BARCODES(SELECTED)

You will see the full Production Order on the screen. You can either a) Click on ZERO ALL and then enter the quantity you want or b) just overtype the existing quantity.

Barcode Printing - Troubleshooting Why are my printed labels not aligned correctly ?

The most common issue with printing is 'page scaling' which can be set in the print dialogue box. Page scaling should be set to NONE or NO SCALING or 100%

The format of the print dialogue box will change depending on which version of Adobe you use. This is what it looks like in Adobe 9

How to add barcodes to additional products in a season You have already created barcodes for all your products but now new products have been added and they need barcodes.

If you are using SEQUENTIAL or RANDOM from BARCODE CONFIGURATION , any new products created in Zedonk will automatically be allocated a barcode provided the season is selected in the CONFIGURATION area

If you set to MANUAL, then you will need to use the DATA ENTRY or the IMPORT/EXPORT function to add barcodes to the new products. DATA ENTRY to input barcode numbers one by one IMPORT/EXPORT to input barcode numbers in bulk
