Best Practices for Exam Managers 1. Prepare Exam Taker (ET) Data Import ETs and courses from the Import Data File Section within the ‘Account Management’ Tab on the CHP. Always import your ETs and courses before the start of each semester to ensure the accuracy of your roster(s).

Tips for Posting An Exam Post exams at least 48 hours before the scheduled exam date whenever possible. Double check to ensure that the exam was posted to the correct course and that an Exam Password was set. This password is highly recommended as it will help prevent the exam from being opened early. ETs should also be given only ONE download for an exam. If additional downloads are needed, they can easily be changed on an individual basis.

Announce ExamSoft to your Exam Takers Once you have imported the Exam Takers’ (ETs) accounts, it is recommended that Exam Managers (EMs) and Administrators send a notification of account activation and include ETs individual login IDs and passwords. A default email message with the exact instructions for the ET’s next steps is available and titled Default Sample Text within the Exam Taker Tracking communication page. This email has instructions for the ET in terms of where to go to download and install SofTest for both Windows and Mac. Monitor Exam Taker Registration Activity After sending the Welcome Email, you can start tracking your ETs’ Registrations from the Exam Taker Tracking Page.

Track Exam Taker Preparation Activity Efficiently Tracking downloads and uploads is a great way to research which ETs have downloaded their exam files and uploaded their answer files (returned) for grading. Running this report before and after each exam enables you to quickly identify the ETs you need to communicate with about who have yet to download their exam files or upload their answer files.

Creating a Successful Exam Day Experience Bring a list of all ETs scheduled for the exam. Take attendance to determine who must be contacted and scheduled for a make-up exam. If possible, provide the proctor access to the Exam Tracking page before the exam. This will allow the proctor to make any necessary changes and track all downloads and uploads in real time. Give Exam Takers an Exam to Practice You should create a Mock Exam for ETs prior to their first exam posting which will enable them to become familiar with the exam features you will choose to utilize, such as Spell Checker and Text Highlighting. When building a Mock Exam, make it as similar to a regular exam as possible. Add a few notices, an exam file password, and at least one of each item type that you plan on using this semester. The ET should download and upload the exam file as they would a real exam. This critical process will familiarize the ETs with SofTest and how it will run on their laptops. Preview Your Exams as an Exam Taker The Preview Exam Feature will allow EMs to view exams as an ET would, without actually taking the exam. This is an excellent way to review the items on the exam and make any necessary changes before making it available for download.

Bring a few paper copies of the actual exam in the event an ETs computer experiences hardware failure during the exam. ETs who wish to exit the exam room before the exam is officially over must do 1 of 2 things if they are in a Wi-Fi network exam environment: #1 Verify they have uploaded their answer file (i.e. show the green congratulatory window on Windows/Mac Desktop). #2 Notify the proctor if they are unable to upload their answer file if internet connection is available at the exam site. A manual upload of the answer file may be necessary.
