Colonie Girls Softball Travel Team Manager Agreement Congratulations on being selected as a travel team manager with Colonie Girls Softball. This is a position that we as a league take serious as you will be a representative to the community and beyond as an ambassador of our league and more importantly to our girls. Your selection as a travel manager was voted on and agreed to by the Colonie Girls Softball Executive Board based on your history with the league and your knowledge of the game. As a representative of the league, you will be bound by the responsibilities set forth below. Failure to comply with these rules can and may lead to a fine, suspension or dismissal as a travel manager and/ or a representative of Colonie Girls Softball. 

Each manager must hold public and open tryouts for your team. These tryouts must be posted on the league’s website for all girls in your age group to know when the tryouts will be held. Other means of advertising your tryouts are acceptable but should be made public through the league website.



Teams will be selected based on skill level and need. The travel manager must contact all girls that tried out for their team to let them know that they did or did not make the team. There is nothing worse for a player to have to deal with then not getting a call in either direction.



Managers are responsible for setting their team’s dues based on the schedule they intend on playing and are responsible for collecting and maintaining an accounting record and bank account for their team.



Managers must pay their players league dues for each player on their team. The league treasurer will reimburse the manager for the budgeted cost for league sponsored tournaments and uniforms only after each team had been registered and paid in full. There will be no exceptions to this rule.



Managers are responsible to register every player and coach with ASA and/or USSSA softball for insurance purposes. All coaches must pass the background check and be ASA certified. A copy of team’s active roster including coach certification and background checks must be available at all times for the board to review.



Managers are responsible for selecting, ordering and paying for their teams uniforms. All uniforms must include Colonie Girls Softball colors with no exceptions.



Managers are responsible for all team activities such as putting a practice & drill plan together and also including fund raising.



Managers are responsible to schedule their own tournament schedule and pay tournament fees to the respective tournament directors.



Managers must be present every day and all day for their Colonie Girls Softball sponsored tournaments. During this time each manager must arrange for the concession stand to be manned and fields tended to. This will require each manager scheduling parents of their players to be present at the fields to work concession and

Colonie Girls Softball Travel Team Manager Agreement field duty. The people scheduled may have to be at the field when their daughter is not playing however they must be present when scheduled. If the scheduled person is not present during their scheduled time the manager and/ or coach of the travel teams are required to fill in. There will be no exceptions to this rule. We are a volunteer run league and everyone must step up to help. Please work with the tournament director on scheduling. 

Managers must obey and follow the league’s Code of Conduct and make sure that their parents are following it as well. There will be no tolerance for parents harassing umpires, coaches or players on their own team or team they are competing with.



Managers need to take responsibility for their bench and be in control at all times. Each manager needs to provide their parents with a player/parent expectations sheet which should outline what your expectations are as a team as well as what your expectations are of parent participation. A copy of your expectation letter should be approved by the board before being distributed. If you do not have one the board will and can provide a copy for your use.



Every manager must support Colonie Girls Softball which includes the following: o

Every manager is a non-voting member of the board and must attend every board meeting. If a manager cannot make the meeting they must have a coach present for the board meeting to represent their team.

Every manager is asked to participate and assist with a mentoring program for new coaches to the league. It is important for all new coaches to understand how to put practice plans together and run their teams successfully and have a clear understanding of the game. We ask senior coaches to invite any new travel coaches to their practice so that they will have an opportunity to ask questions and gain ideas to incorporate into their own.

Managers will be scheduled to work at the fields during the recreation league scheduled season which will include assisting a member of the executive board to control the games, assist with umpires and disputes during games, working concession stand and tending to the field maintenance. If you cannot make your scheduled shift make sure you arrange for one of your coaches to fill in for you. Failure to participate in this activity will result in a fine set by the executive board. Each consecutive offense will carry more weight which can lead to fines, suspension from games or dismissal from the league. Again, this is a volunteer league and everyone needs to lend a hand.

If your team is not playing in a tournament during a weekend the league is sponsoring a tournament out of your age group, managers and coaches must make an effort to assist with the league sponsored tournament.

Managers must schedule their own practices and coordinate the usage of the fields with the appropriate division coordinator. At the end of each practice, managers and coaches must rake the infield, put away the bases, cleanup all trash, lock the fields and gates. Please make every effort to coordinate your practice times on the Google Calendar to avoid conflicts.



Managers must carry first aid kits for their teams and it is recommended that all managers and coaches be first aid trained and/ or AED Certified.

I have read the requirements set forth in this document and agree to follow them and to be a positive role model to the girls and be an ambassador for Colonie Girls Softball. I understand that my failure to comply with the rules stated above can lead to fines, suspension from games and possible dismissal from all league activities. I also agree to support all of Colonie Girls Softball activities, all travel and recreation teams and all girls participating. I will assist with and provide a positive role model and assist the girls with their development as players and as citizens. I will protect the well-being and safety of the girls both on and off of the field. I understand that by being a travel manager I have a responsibility first and foremost to the girls and agree to keep the game honest, fair and fun for the girls after all this is for and about the girls.
