End of Year Procedures

Checklist

Use this list as a guide to help you clean up your site at the end of the semester or school year to prepare for the next semester or next school year. Remember, this is a suggested list, and these actions are not required. Please use this list as a good starting point and modify it to meet the needs of your school or district.

Reports Tab (Actions can be addressed by Admins and Super Teachers) • Faculty Progress– to see if there are any open actions that need to be graded prior to close out • Course Percentage Complete– to determine what courses have been completed and should be archived NOTE: Large schools may want to run this report by course so you can batch archive courses NOTE: It's a good practice to run these in CSV format

Course Enrollment Tab (Actions can be addressed by Admins and Super Teachers & Teachers with the permission to enroll courses) • Archive complete courses and courses students will not work on during summer school or the next school year. NOTE: Choose the appropriate Reason code IMPORTANT: Archive courses before archiving students!

Gradebook Tab -NWEA Schools Only- (Action can be addressed by Admins only) • Archive MAPs no longer needed

Students Tab (Actions can be addressed by Admins and Super Teachers & Teachers with the permission to edit students) • Archive graduating seniors (select students and apply status) • Place all other students On Hold WHY? Placing On Hold cleans up the student list. Not all students will return the next school year. You’ll start the year with only current students rather than a large list, and it’s a good check point to review a student’s permissions when reactivating their profile

Teacher/Admin Tab (Action can be addressed by Admins only) • Archive teachers who are no longer overseeing the Odysseyware program or who are retiring. IMPORTANT: Archive courses and students before archiving teachers!

School Settings Tab (Action can be addressed by Admins only) • Delete obsolete terms. • Create new terms for summer school and the new calendar year • Set up calendar for summer school and the new calendar year • Review all global settings: Grading, Pacing, & Assessments; Permissions; Archive. IMPORTANT: Archive courses and students before archiving terms!

Courses Tab (Actions can be addressed by Admins and Super Teachers & Teachers with the permission to edit courses) • Review all custom courses; archive courses that were not used or did not work •Convert all custom courses to newest edition once released NOTE: new curriculum is typically released in the beginning of June
