Erxchange™ is your premier electronic document recording solution. Hundreds of title companies, mortgage banks, mortgage brokers, fee attorneys and other organizations have been using Erxchange™ for over six years to reduce costs and improve service levels associated with document recording. This brochure addresses common questions about e-recording with Erxchange™. Welcome to Erxchange™, where we’re changing the way document submitters interact with county recording offices. Why Should I E-Record My Documents? There are a host of benefits to e-recording, including: • Eliminating the expense of mailing or handdelivery • Reducing potential for document rejection • Reducing turnaround time for most recordings • Reducing possibility of fraudulent activity • Improving service levels for your customers • Improving document tracking during the recording process
Does E-Recording Cost More Than Traditional Recording? No. Counties charge for the same fees for e-recorded documents as for documents processed “over-the-counter”.
Erxchange™
Although Erxchange™ assesses a nominal fee per document recorded, this fee is much lower than the cost of sending a document via courier or overnight mail. In addition to cost savings, e-recording also enhances quality and increases efficiency.
Is E-Recording Really Faster Than Traditional Recording? Absolutely. Erxchange™ transmits your document to the appropriate county within a matter of minutes. Most counties can then e-record a document much faster than a traditional recording and some give priority to e-recorded documents. After the county has completed their review, Erxchange™ retrieves the processed document automatically and makes it available to you. Because time is a critical factor in recordings, a fault tolerance built into Erxchange™ ensures that your documents will get recorded even if there are slow downs in the system.
In short, the entire Erxchange™ cycle time is less than the time required to “stuff it and send it.”
Do E-Recordings Share the Same Legal Status as Paper Recordings? Absolutely. Due to federal legislation such as UETA, E-SIGN and URPERA, electronically generated or scanned documents have the same legal legitimacy and enforceability as paper documents, whether or not they ever existed in paper form.
How Does Erxchange™ Work? Erxchange™ subscribers interact with our network through two methods: • Our web-based interface at www.erxchange.com • Our SOAP-based XML web service • A custom-developed interface into subscriber systems
The Web-Based User Interface Our user interface provides an easy-to-use, intuitive method to submit documents for recording through Erxchange™. The basic system requirements and process is outlined below. System requirements: • Windows XP, Windows Vista or Windows 7-based PC • Microsoft Internet Explorer 7 or later • PDF or Group IV TIFF format capabilities Process: • Create a transaction by selecting the county and entering a unique identifier (loan number, GF number, etc.) • Select appropriate document type • Upload document image in PDF or Group-IV TIFF format • Add basic indexing information based on county requirements (as provided by Erxchange™) • Submit the document to the county
• Come back to download your recorded documents
• Your documents are recorded or rejected based on specific requirements
The SOAP-Based XML Web Service
Process assurance:
High volume submitters integrate Erxchange™ e-recording functionality into their internallydeveloped software using our SOAP-based XML web service.
• Documents are processed in the order in which they were uploaded
Our XML web service is based on standards published by the Property Records Industry Association (“PRIA”) for easy integration.
If the county records your transaction, your documents are stamped, fees are assessed, and the documents are entered into the public record.
I’ve Uploaded and Submitted My Document. Now What? After you submit your transaction through Erxchange™, the file: • passes our county-specific validation routines • is encoded for the target county • is transmitted to their work queue over Secure Socket Layer (SSL) Once received: • An examiner at the county reviews your transaction
• If one document is rejected, the whole transaction is rejected
Erxchange™ then pulls back your recorded documents and recording receipt. Authorized personnel can retrieve, view, print or download the document and the process is complete. If your document is rejected, we’ll tell you why and you will have the opportunity to correct the document and resubmit—without paying a penny until it is successfully recorded. If you don’t understand a rejection reason, simply use the Erxchange™ online help system and our expert staff will assist you.
Do I Have to Keep Coming Back to the Website to See if My Document Has Been Returned? No. Users may simply elect to receive an e-mail notification each time a transaction they created has been recorded or rejected by the county. You will then know to return to Erxchange™ to finish processing your transaction.

• ACH is the industry standard and is completely safe and secure Pre-Funded Escrow Account • A check is sent to Erxchange™ to cover the projected first month’s recordings • Erxchange™ provides a weekly invoice for the volume of transactions recorded

• Funds are deposited into the escrow account to prevent shortages and temporary suspensions
How Can I Verify My Erxchange™ Account Charges? Erxchange™ provides nightly reports in Excel format to any e-mail addresses you specify. These reports list all relevant information on daily charges including reference ID, county of recordation, fees and/ or taxes assessed. If there is ever a dispute about a given charge, we can work with you the next business day to resolve it and, if necessary, credit your account as quickly and easily as we debited it the night before.
