Group Photo Name Collection OBJECTIVES STEP 1 | L E A R N Editors will think critically about how to organize group photo day as they read the Group Photo Name Collection handout.
STEP 2 | P R A C T I C E Editors will collaboratively discuss the best options for group photo day and select one that will work, given the location, timing and staffing of the event. Students will modify the plan, if necessary.
STEP 3 | U S E Students will create any necessary forms, gather any necessary supplies, communicate in writing with group sponsors and coaches, and implement the plan they have selected.

In advance of photo day, create passes and have the advisers (or presidents) clearly print the name of each club member on their pass. On photo day, no student is allowed in a group photo without a pass. When each student is in place on the risers, have each person send their pass down the line, keeping them in order. Staff members collect the stack from each row, staple each row together, and label as “National Honor Society row 1,” for example. When students are positioned on the risers, distribute clipboards, one per row. Each form should include a header identifying the club and row (for example, “Student Council — Row 1.” ), and lines on which students can print their names. Group participants pass the clipboards, writing neatly. In coming weeks, yearbook staffers with a slow work day can type the names into a Google Doc or another program so they can be copied and pasted when the photo is ready for its caption. Ask each group member to print their name on a sheet of paper and hold it up for a digital photo that can be enlarged. Create numbered cards in a variety of colors. Require that clubs arrive with a roster of participants. Distribute the numbered cards to the club members and write each number on the roster next to the correct name. If the club arrives without a roster, record the names and numbers on a clipboard. The photographer will position the group and take a shot with them holding up the numbered cards before taking the real photo. Email or give a hard copy of the group photo proof to the club president or sponsor to identify students. This method requires a significant amount of follow-up.

Use smartphones to make a voice recording by passing the phones down each row. Yearbook staff members first record the label, like “NHS Row 1” and then walk down the line, having each club member state and spell his name. Program an Excel spreadsheet and use the school’s scanners. Scan the student ID cards as they exit each photo row. The program can automatically transfer the information onto the spreadsheet, which can be easily transferred into a caption at a later date.

On photo day, have students rack collaborate to gather names and information. Keeping a digital spreadsheet like Google Sheets is a great way to stay organized through all the chaos.

If you are taking photos for a sports team, remember to also collect individual jersey numbers. That way, when a great action shot is taken but no face is visible, you can still possibly tag the photo.
